    Compliance Officer

    DESCRIPTION

    To ensure that the organization operates in full compliance with applicable Kenyan laws, regulatory requirements, internal policies, and ethical standards.

    RESPONSIBILITIES

    Regulatory Compliance

    • Ensure compliance with relevant Kenyan laws, regulatory bodies, and industry guidelines.
    • Monitor changes in legislation and advise management on regulatory updates.
    • Liaise with regulators and external stakeholders during inspections and audits.

     Policy Development & Implementation

    • Develop, review, and update compliance policies and procedures.
    • Ensure policies align with statutory requirements and best practices.
    • Promote awareness of compliance obligations across departments.

    Risk Assessment & Monitoring

    • Identify compliance risks and recommend mitigation measures.
    • Conduct compliance reviews and internal audits.
    • Track corrective actions and ensure timely resolution of compliance issues.

    Reporting & Documentation

    • Prepare compliance reports for management and the Board.
    • Maintain proper records of regulatory filings, licenses, and statutory submissions.
    • Report non-compliance incidents and recommend remedial action.

    Training & Advisory

    • Conduct staff training on compliance policies and ethical standards.
    • Provide advisory support to departments on regulatory matters.
    • Promote a culture of integrity and ethical conduct.

    QUALIFICATIONS

    • Diploma or Bachelor’s in hospital administration, Occupational health and safety, quality improvement, or related field
    • Minimum of 3 years experience especially in a healthcare setting
    • Understanding of legal compliance for Hospital eg. Public Health Act, OSHA etc
    • Computer knowledge technical report writing, data analysis
    • Strong knowledge of Kenyan regulatory environment.
    • Analytical and problem-solving skills.
    • High level of integrity and confidentiality.
    • Excellent report writing and communication skills.
    • Attention to detail and ability to work independently.
    • Strong stakeholder management skills.

    Quality Systems Officer

    DESCRIPTION

    To develop, implement, maintain, and continuosly improve the organizaation's Quality Management System in line with applicable Kenyan regulatory requirements, industry standards and organizational policies to enhance service delivery, operational efficiency, and customer/patient satisfaction

    RESPONSIBILITIES

    Quality Management System Implementation

    • Assist in developing, implementing, and maintaining the QMS in line with ISO standards or industry-specific systems.
    • Monitor the effectiveness of quality controls, procedures, and processes.
    • Support preparation for internal and external audits.

    Audit & Inspection Support

    • Support internal quality and compliance audits and follow up on corrective and preventive actions (CAPA).
    • Help coordinate inspections by regulatory authorities (e.g., KEBS), and prepare documentation and evidence.

    Quality Documentation & Reporting

    • Maintain quality system documentation, including manuals, SOPs, forms, and records.
    • Prepare and present quality performance reports to management.

    Continuous Improvement

    • Promote a culture of quality and continuous improvement across departments.
    • Identify non-conformances and assist in developing implementation plans for improvements.

    Training & Awareness

    • Conduct or coordinate staff training on quality procedures, audit requirements, and quality culture.
    • Ensure that staff understand their roles within the quality system.

    Compliance Monitoring

    • Track compliance with statutory or contractual quality requirements.
    • Support corrective actions following quality incidents or compliance issues.

    QUALIFICATIONS

    • Diploma or Bachelor’s in health records, administration, quality, or related field
    • Minimum of 3 years experience especially in a healthcare setting
    • Process and systems improvement and auditing
    • Strong knowledge of quality management principles (QMS overview, ISO standards).
    • Excellent documentation, analytical, and report-writing skills.
    • Fundamental audit skills and understanding of corrective actions.
    • Good communication and interpersonal skills.
    • Competency in Microsoft Office tools.
