    Operations Supervisor

    To lead, plan, and oversee the end-to-end logistics operations of the company, ensuring the efficient, safe, and cost-effective movement and delivery of petroleum products. The Operations Manager will play a key role in optimizing supply chain processes, managing field and depot teams, ensuring compliance, and maintaining high service standards for clients.

    Job Description

    Operations Planning & Execution:

    • Oversee the scheduling, dispatch, and delivery of fuel and oil products to client locations.
    • Manage daily logistics activities including fleet coordination, route optimization, and load tracking.
    • Monitor and manage fuel inventory levels at depots and client locations.

    Fleet & Asset Management:

    • Ensure proper maintenance and availability of trucks, tankers, and related logistics assets.
    • Implement preventive maintenance programs and coordinate repairs.
    • Maintain compliance with transport regulations and safety standards.

    Compliance, Quality & Safety:

    • Ensure compliance with industry regulations (e.g., ERC, NEMA, OSHA) and company policies.
    • Enforce strict adherence to HSE (Health, Safety & Environment) protocols across all operations.
    • Conduct regular audits and risk assessments.

    Team Leadership & Coordination:

    • Manage and supervise operations staff including drivers, logistics coordinators, and depot teams.
    • Set KPIs, monitor performance, and build capacity through training and mentorship.
    • Promote a culture of accountability, safety, and customer focus.

    Client & Stakeholder Liaison:

    • Coordinate with customer service and sales teams to ensure timely and accurate deliveries.
    • Address operational issues affecting customer satisfaction.
    • Maintain strong relationships with external service providers, regulators, and logistics partners.

    Process Improvement & Reporting:

    • Review operations workflows and propose cost-saving and efficiency-enhancing strategies.
    • Analyze operational data to identify bottlenecks and opportunities.
    • Prepare regular reports on operations performance, delivery metrics, and fuel reconciliation.

    Job Requirements

    Key Qualifications and Experience

    • Bachelor's degree in Logistics, Supply Chain, Engineering, or related field (Master’s degree is an added advantage).
    • Minimum 7 years’ experience in logistics or supply chain, with at least 3 years in oil & petroleum distribution.
    • Strong knowledge of fleet management, depot operations, and fuel distribution logistics.
    • Familiarity with industry regulatory bodies and compliance requirements.
    • Proficient in logistics management systems, MS Excel, and operational reporting.

    Service Centre Supervisor – HQ Nairobi

    • To Manage, Organize, and Coordinate the Daily Operations of the Service Centre, ensuring accurate and timely data management, system updates, and efficient collaboration with the depot team to meet lead times and uphold operational excellence within the company.

    Key Responsibilities:

    • Service Centre Operations Management
    • Oversee the day-to-day operations of the Service Centre, ensuring all activities are executed efficiently and in line with company standards.
    • Monitor system lead time indicators, flag service failures, and action immediate resolutions in collaboration with the Service Centre and depot teams.
    • Coordination with Depot Operations
    • Liaise with the Depot Supervisor and depot team to ensure key lead times are consistently met.
    • Support the seamless flow of information and documentation between the Service Centre and the depot.
    • Data Management & System Updates
    • Supervise Service Centre Assistants to ensure timely and accurate data receipt and uploads into the KPC system.
    • Troubleshoot and resolve any KPC system-related issues with the KPC team promptly to prevent operational disruptions.
    • Team Supervision & Development
    • Mentor, guide, and develop Service Centre Assistants, ensuring they meet performance and accuracy expectations.
    • Conduct regular team briefings to align on operational priorities and system updates.
    • Reporting
    • Generate and submit daily, weekly, and monthly Service Centre performance reports for management review.
    • Highlight trends, bottlenecks, and improvement opportunities within the reports.

    Other Duties

    • Perform any additional tasks as may be assigned to support Service Centre and depot operational objectives.

    Key Requirements:

    • Degree in Business Administration, Logistics, Supply Chain Management, or a related field.
    • 3–5 years’ experience in a supervisory role within an oil and gas or logistics environment.
    • Strong understanding of KPC system operations and depot workflows.
    • Proven ability to manage data accuracy and system updates in high-volume environments.
    • Excellent organizational, problem-solving, and troubleshooting skills.
    • Strong leadership and team mentoring abilities.
    • Proficient in MS Office Suite and operational reporting.
    • Excellent communication and stakeholder management skills

    Documentation Clerk

    To ensure accurate preparation, processing, filing, and retrieval of operational and compliance documentation related to fuel, lubricants, and LPG transactions within the company, supporting smooth depot, transport, and sales operations.

    Key Responsibilities:

    • Document Preparation & Processing
    • Prepare delivery notes, loading orders, gate passes, and dispatch documents for fuel and lubricant products.
    • Check and confirm transporter and driver documentation prior to loading and dispatch.
    • Process invoices and delivery confirmations in collaboration with the sales and finance teams.
    • Record Management & Filing
    • Maintain organized filing (physical and electronic) of delivery documents, transport records, and compliance certificates.
    • Update documentation trackers to ensure easy retrieval and audit readiness.
    • Label and archive completed documentation accurately for compliance and operational reference.
    • Verification & Reconciliation
    • Verify documents against stock dispatch records and transport schedules.
    • Assist in reconciling transport and delivery documentation with ERP system data.
    • Follow up on any missing or incomplete documents with depots, drivers, or customers.
    • Compliance Support
    • Ensure documentation complies with company SOPs and regulatory requirements.
    • Assist in preparing documentation required for regulatory and internal audits.
    • Reporting
    • Generate and share daily or weekly document status updates with supervisors and operations teams.
    • Escalate discrepancies or delays in documentation to management promptly.

    Key Requirements:

    • Diploma or Certificate in Business Administration, Records Management, or a related field.
    • At least 2 - 3 years’ experience in documentation or clerical roles, preferably within the oil & gas, logistics, or FMCG sectors.
    • Proficiency in MS Office and document management systems (ERP experience is an added advantage).
    • High attention to detail and accuracy.
    • Good organizational and time management skills.

    Data Clerk

    • To support the accurate collection, entry, and management of operational, stock, and transaction data within the oil company’s systems, ensuring data integrity for reporting and decision-making.

    Job Description

    Key Responsibilities:

    • Data Entry & Management
    • Accurately enter fuel stock movements, sales transactions, and depot dispatch data into the system.
    • Update inventory and reconciliation reports daily.
    • Maintain organized filing (physical and electronic) of delivery notes, receipts, and operational documents.
    • Data Verification & Reconciliation
    • Cross-check data entries with source documents to ensure accuracy.
    • Assist in reconciling stock records with physical counts at depots and retail stations.
    • Flag and report any data discrepancies promptly.
    • Reporting
    • Generate daily, weekly, and monthly reports as required (stock, sales, and dispatch reports).
    • Assist in preparing management reports and dashboards for tracking operational performance.
    • Compliance & Record-Keeping
    • Ensure all records are up to date and stored according to company policies and audit requirements.
    • Maintain confidentiality of company data.
    • Collaboration
    • Liaise with depot staff, drivers, and operations teams to confirm data accuracy.
    • Support the finance and operations teams with data needed for analysis and audits.

    Key Requirements:

    • Diploma or Certificate in Business Administration, IT, Statistics, or a related field.
    • At least  3-4 years’ experience in a data entry or clerical role, preferably in oil & gas, FMCG, or logistics.
    • Proficiency in MS Excel and data entry systems (ERP experience is an added advantage).
    • Strong attention to detail and accuracy in data handling.
    • Ability to work under minimal supervision and meet deadlines.
    • Good organizational and communication skills.
