To lead, plan, and oversee the end-to-end logistics operations of the company, ensuring the efficient, safe, and cost-effective movement and delivery of petroleum products. The Operations Manager will play a key role in optimizing supply chain processes, managing field and depot teams, ensuring compliance, and maintaining high service standards for clients.
Job Description
Operations Planning & Execution:
- Oversee the scheduling, dispatch, and delivery of fuel and oil products to client locations.
- Manage daily logistics activities including fleet coordination, route optimization, and load tracking.
- Monitor and manage fuel inventory levels at depots and client locations.
Fleet & Asset Management:
- Ensure proper maintenance and availability of trucks, tankers, and related logistics assets.
- Implement preventive maintenance programs and coordinate repairs.
- Maintain compliance with transport regulations and safety standards.
Compliance, Quality & Safety:
- Ensure compliance with industry regulations (e.g., ERC, NEMA, OSHA) and company policies.
- Enforce strict adherence to HSE (Health, Safety & Environment) protocols across all operations.
- Conduct regular audits and risk assessments.
Team Leadership & Coordination:
- Manage and supervise operations staff including drivers, logistics coordinators, and depot teams.
- Set KPIs, monitor performance, and build capacity through training and mentorship.
- Promote a culture of accountability, safety, and customer focus.
Client & Stakeholder Liaison:
- Coordinate with customer service and sales teams to ensure timely and accurate deliveries.
- Address operational issues affecting customer satisfaction.
- Maintain strong relationships with external service providers, regulators, and logistics partners.
Process Improvement & Reporting:
- Review operations workflows and propose cost-saving and efficiency-enhancing strategies.
- Analyze operational data to identify bottlenecks and opportunities.
- Prepare regular reports on operations performance, delivery metrics, and fuel reconciliation.
Job Requirements
Key Qualifications and Experience
- Bachelor's degree in Logistics, Supply Chain, Engineering, or related field (Master’s degree is an added advantage).
- Minimum 7 years’ experience in logistics or supply chain, with at least 3 years in oil & petroleum distribution.
- Strong knowledge of fleet management, depot operations, and fuel distribution logistics.
- Familiarity with industry regulatory bodies and compliance requirements.
- Proficient in logistics management systems, MS Excel, and operational reporting.

To ensure accurate preparation, processing, filing, and retrieval of operational and compliance documentation related to fuel, lubricants, and LPG transactions within the company, supporting smooth depot, transport, and sales operations.
Key Responsibilities:
- Document Preparation & Processing
- Prepare delivery notes, loading orders, gate passes, and dispatch documents for fuel and lubricant products.
- Check and confirm transporter and driver documentation prior to loading and dispatch.
- Process invoices and delivery confirmations in collaboration with the sales and finance teams.
- Record Management & Filing
- Maintain organized filing (physical and electronic) of delivery documents, transport records, and compliance certificates.
- Update documentation trackers to ensure easy retrieval and audit readiness.
- Label and archive completed documentation accurately for compliance and operational reference.
- Verification & Reconciliation
- Verify documents against stock dispatch records and transport schedules.
- Assist in reconciling transport and delivery documentation with ERP system data.
- Follow up on any missing or incomplete documents with depots, drivers, or customers.
- Compliance Support
- Ensure documentation complies with company SOPs and regulatory requirements.
- Assist in preparing documentation required for regulatory and internal audits.
- Reporting
- Generate and share daily or weekly document status updates with supervisors and operations teams.
- Escalate discrepancies or delays in documentation to management promptly.
Key Requirements:
- Diploma or Certificate in Business Administration, Records Management, or a related field.
- At least 2 - 3 years’ experience in documentation or clerical roles, preferably within the oil & gas, logistics, or FMCG sectors.
- Proficiency in MS Office and document management systems (ERP experience is an added advantage).
- High attention to detail and accuracy.
- Good organizational and time management skills.
