The University of Nairobi is implementing a United States Agency for International Development (USAID) in to support implementation of the Kenya Health Partnerships for Quality Services (HIV, FP/RMNCAH, Nutrition and WASH) in Nairobi and Kajiado Counties through the USAID Fahari Ya Jamii Project. This is a five-years project that began in April 2021.
The position
The Grants Officer is a full-time position to be based in our office in Nairobi.
Duties and responsibilities
Reporting to the Grants and Compliance Manager (GCM), the Grants Officer will be responsible for the administrative management and compliance oversight for sub award agreements. The Grants Officer will support the GCM in preparation of outgoing agreements, disbursements to sub awardees, reconciliations, maintaining grants file and tracker. In addition, this role will build the capacity of the project teams and sub awardees to ensure compliance in the project implementation and management through to closeout. The Grants Officer, in collaboration with the Grants and Compliance Manager will advise staff on contractual and grant issues, management of risks and reporting requirements and donor compliance.
Job specifications
At a minimum, the Grants Officer will have:
- A Bachelor’s Degree in Accounting, Finance, Business Administration or related field ii. CPA Part 3 Section 5 certificate.
- Five (5) years’ experience in Donor compliance/Grants management
- Experience with MS Word, Excel and any other Enterprise Resource Planning (ERP).
- Demonstrated Knowledge and Experience in USAID Rules and Regulations
- Experience working with Counties Sub awardees will be an added advantage.

Job description
- This position reports to the COP with responsibility of liaison between the technical, finance and operational work streams for timely and seamless execution of activities. This post shall provide administrative and secretarial support services to the senior management, including Principal Investigator/Project Lead, the
- Chief of Party (COP) and Deputy Chief of Party (DCOP). The Program Associate is responsible for ensuring the smooth running of senior project offices including management of information and following up on implementation of management decisions.
Duties and Responsibilities
- Provide executive assistance and secretarial support services to senior management, ensuring smooth running of the senior management offices and effective processing of information and data
- Provide effective office operations, systems and procedures facilitating team work, collaboration and timely implementation of executive actions
- Manage immediate PI/COP office operations with respect to communications, meetings and work flow; and identify priority issues that need PI/COP attention;
- Establish internal tracking systems and procedures for correspondence and documents; monitor work progress and priority cases
- Arrange appointments and maintain PI/COP/DCOP calendar, as well as support communication needs of the PI/COP/DCOP
- Organize high-level meetings including taking responsibility for finalization of meeting agenda, invitations, production and distribution of documentation, and preparation and filing of the minutes
- Distribute meeting reports and information; and ensure follow-up on required actions.
- Collect and prepare briefing materials for PI/COP/DCOP trips and special meetings;
- Undertake travel arrangements for COP/DCOP
- Establish and maintain a records management system containing reference materials and confidential records as required
- Prepare correspondence for COP’s signature
- Establish follow-up systems of actions taken and report to the PI/COP.
Minimum requirements
At a minimum, the PA will have:
- A Bachelor’s degree in either Public Administration, Journalism, Secretarial Studies, Law, Language
- Studies or any related field.
- At least two (2) years’ experience in a similar position in a large organization
- Possess superlative communication (written, spoken and electronic) skills

The Position
The position is domiciled in the Department of Clinical Medicine and Therapeutics in the Faculty of Health Sciencies, under the IMPALA study. This is a two (2) year project that will be conducted in (2) hospitals: namely Kenyatta National Hospital and Jaramogi Oginga Odinga Teaching and Referral Hospital.
Location
This is a full time position based at the Jaramogi Oginga Odinga Teaching and Referral Hospital in Kisumu, its holder reports to the Study Coordinator.
Duties and Responsibilites
- Recruitment, follow up, retention and monitoring of study participants in accordance with the study protocols and sops for the IMPALA and BFTAF Study
- Screening and enrolment of eligible participants
- Obtaining informed consent from participants
- Providing clinical care of study participants
- Supporting treatment adherence
- Collection and entry of study information in approved clinical report forms
- Completion of required MoH tools, registers and electronic medical records
- Safe and confidential custody of study source and other study documents
- Collection and shipment of study specimen
- Prescribing of study medication
- Assessing for and reporting adverse events and serious adverse events
- Ensuring retention of study participants in care
- Data entry on electronic and manual study tools and timely response to data queries
- Submission of weekly reports
- Any other duties described in the study protocols and SOPs and/or assigned by supervisor
Job Specifications
- Diploma in Clinical Medicine
- Registered to practice with the Clinical Officers Council (COC)
- Current practice certificate from the COC
- Certification in the National Advanced HIV Clinical Course
- Minimum of 5 years’ experience with direct HIV clinical care provision, including prescribing ARVs
- MUST have a current Certificate of Good Clinical Practice (GCP)
- Excellent written and verbal communication skills
- Keen attention to detail
- Evidence of intermediate IT skills
- Research experience is an added advantage
