    Regional Finance Manager - GFFO

    The Role Summary:

    The Regional Finance Manager, in collaboration with World Vision Germany’s team, will manage the wider project financial demands across three countries; Sudan, South Sudan, and Somalia of the German funded German Federation Foreign Office (GFFO) project.

    The position holder will support all financial aspects of the GFFO regional project, in the preparation and consolidation of the project’s annual budgets, financial reports for management, donors and partner’s consumption. S/he will be responsible for compiling all project related financial documentation between the three implementation countries and management of World Vision Somalia financial demands of the GFFO budget component.

    With cross-border operation and risk associated with Partnering/Sub granting, the position holder will help mitigate any risks that the office is exposed to through this unique business model.  The incumbent will assist the Finance & Support Services Director in facilitating initiatives towards integration of finance team with the other stakeholders for ministry effectiveness. This includes carrying out any special tasks that will not affect his/her commitment to the GFFO project.

    Key Responsibilities:

    • GFFO Project Financial Management.
    • Risk Management.
    • Cash and Liquidity Management.
    • External and Internal Audits Management.
    • Records Management.
    • Others: Finance Staff recruitment, accounts team supervision & capacity building.

    Essential:

    • Holder of a Bachelors’ degree (Relevant disciplines preferred e.g. Finance, Economics etc.)
    • Qualified Accountant-Minimum CPA-K /ACCA Part3 (finalist)
    • Over 5 years grants management knowledge with major bilateral and multilateral donors. Working knowledge with large German donors’ projects is an added advantage.
    • Experience in working within a cross country team model desired.
    • Team management, and fragile context working experience is required.
    • In-depth understanding of project donor guidelines, GAAPs, and financial accounting in fragile context.
    • Strong analytical skills and preparation of consolidated grants finance reports.
    • Proficiency in Computer applications (Advanced Excel, Sun systems, Word etc)
    • Key Donor grants training is an advantage.

    Regional Monitoring, Evaluation Accountability and Learning Coordinator

    The Role Summary:

    This position holder will provide technical leadership in Monitoring, Evaluation, Accountability and Learning (MEAL) functions for World Vision’s multi-country projects in Kenya, Somalia Sudan, South Sudan and Tanzania. The Regional MEAL Coordinator will lead in the development and implementation of comprehensive Monitoring and Evaluation plans for German funded German Federation Foreign Office (GFFO) and Federal Ministry for Economic Cooperation and Development (BMZ) funded projects in targeted countries. The position holder will build capacity of the national office projects’ MEAL team to meet donor and World Vision partnership program quality standards. The position holder will lead the roll out of accountability to affected population platform for the project in line with Core Humanitarian Standards and World Visions’ Program Accountability Framework (PAF). Core to the function is providing leadership and direction in evidence building, knowledge management and promote a culture of reflection and learning in projects to inform decision making processes at all levels of project management.

    Key Responsibilities:

    • Development and implementation of MEAL plans.
    • Quality assurance and strengthening the capacity of the MEAL function.
    • Project Reporting, including Capacity Building/Quality Control.
    • Humanitarian Accountability.
    • Research, Knowledge Management and Learning.
    • External engagement, Collaboration and coordination.

    Essential:

    • A Masters’ degree in relevant technical field preferred (Monitoring & Evaluation, Agricultural Sciences/ Public Health/ Humanitarian Protection/ International Development/ International Relations,)
    • DM&E training with practical experience of at least 10 years, Humanitarian standards (SPHERE), specific training on donor reporting requirements, Security training. 
    • At least 5 years of experience in the field of development issues, humanitarian emergency affairs, preferably with experience in developing countries.
    • Experience of working and living in developing or fragile contexts.
    • Demonstrated, superior project cycle management skills, including the ability to plan, track progress, match activity plans with budgets, and follow donor regulations.
    • Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written, as well as negotiation skills.
    • Exceptional English languages skills, particularly writing skills.
    • Computer skills with data analysis packages as SPSS, STATA, Excel, ACCESS,
    • Ability to apply IT and mobile platforms for M&E.
    • Presentation skills and experience in delivering M&E training programs for teams.
    • Understanding of WVI DME framework.

    Guest Relations Officer

    Key Responsibilities:

    Guests relations and coordination 80%

    • Promote strategic and cordial communication and relationships with approved visitors in relation to itinerary, travel requirements, bookings
    • Ensure there is an approved protocol for visitor management and is communicated across all relevant departments.
    • Handle issues regarding issuance of Visa invitation letters to all international visitors in collaboration with government protocol department
    • Coordinate implementation of visitor management protocol from -pre-arrival information, briefing to visit conclusion
    • Coordinate with hosting departments to ensure harmonized communication to ensure successful visits.
    • Coordinate with security department and child safeguarding for briefings, support and adherence to the same
    • Develop itineraries, task schedules and master calendar for all key activities to be carried out by WV Kenya visitors.
    • Ensure timely, courteous and accurate response to enquiries from guests.
    • Plan, manage and coordinate logistical needs for all approved visitors in conjunction with administration and WV Kenya hosts.
    • Ensure timely airport pick up and accommodation for approved guests as per schedule.
    • Compile and update welcome information package for guests annually.
    • Ensure feedback by guests are received, filed and used to improve guest relations experience and support.
    • Ensure all guests comply with WV Kenya guest relation’s guidelines, policies and procedures.
    • Ensure all WV guests sign an acknowledgement that they know, understand and will follow World Vision Kenya’s Safeguarding Policy and keep signed agreements on file.
    • Coordinate with administration for visitor vehicle facilitation and where necessary facilitate the visitors directly

    • Ensure that feedback from guests is received, filed and used to improve guest relation’s support.
    • Compile monthly reports of anticipated and actual approved visits, and share with SLT for planning purposes
    • Facilitate and file duly signed protocol documents (eg. Child and Adult Safeguarding protocols, Security Acknowledgment, Evidence of Informed Consent for photos and videos and Trip Evaluation/Satisfaction forms).
    • Work closely with Liaison Officers to ensure effective and efficient maintenance and use of vehicles as per WVK motor vehicle policy
    • Ensure timely submission of approved vehicle report and consolidate monthly fuel receipts to Fleet Manager

    • Accurate timely and credible reports
    • Timely follow up on feedback received from guests.

    Knowledge, Skills and Qualification for the role

    • Bachelor’s degree in Public Relations, Hospitality, Communications, Social Sciences, Community Development or related field from an accredited institution.
    • At least 3 years of experience with non-government organization or busy guest relations/ hospitality office preferred.
    • Excellent communication and public relations skills
    • Demonstrate awareness of Occupational Health & Safety policies and procedures including Basic First Aid training
    • Valid and clean driving license with class A, B, C and E.
    • Three years’ experience in driving class A (Motor omni bus), B, C and E vehicles.
    • Ability to work effectively with guests and colleagues from different viewpoints, cultures and countries
    • Must possess professionalism with impeccable grooming and presentation
    • Excellent organizational skills with a high level of responsibility and commitment
    • Ability to work well under pressure in a fast-paced environment.
    • Willing to work flexible schedule with changing shifts including Weekends and Holidays
    • Must be a committed Christian, able to stand above denominational diversities.
    • Demonstrate awareness of Occupational Health & Safety policies and procedures including Basic First Aid training
