The Role Description

• The Payables Accountant is responsible for managing accounts payable, ensuring timely and accurate tax and statutory compliance, maintaining effective supplier and OEM relationships, and safeguarding the accuracy and integrity of financial records. The role also supports cost control, project costing, financial reporting, and internal controls to enhance operational and financial efficiency across the Kenyan entities.

Key Responsibilities

Tax and Statutory Compliance

• Prepare, file, and facilitate timely payment of statutory deductions and taxes, including PAYE, NSSF, NITA, HELB, Withholding Tax (WHT), VAT, and import duties, in accordance with applicable legislation.
• Ensure compliance with Kenyan tax laws, statutory requirements, and relevant regulatory deadlines.
• Monitor changes in tax legislation and advise management on their financial and operational implications.
• Liaise with the Kenya Revenue Authority (KRA) and other regulatory bodies on tax matters, assessments, reconciliations and compliance queries.
• Maintain accurate tax records, supporting schedules, and documentation for audits and regulatory reviews.

Accounts Payable and Supplier Management

• Receive, verify, and record supplier invoices in the accounting system, ensuring accuracy, completeness, appropriate approvals, and compliance with company policies.
• Process supplier payments accurately and within agreed payment terms, subject to cash flow availability and authorized payment approvals.
• Reconcile supplier statements and resolve discrepancies, disputed invoices, and outstanding balances promptly.
• Maintain effective working relationships with OEMs, suppliers, and other vendors to support uninterrupted operations and favourable payment terms.
• Reconcile intercompany accounts and investigate and resolve variances with the relevant entities.
• Maintain accurate accounts payable records and provide regular reports on outstanding payables, due payments, and supplier balances.
• Chair the Procurement Committee responsible for the annual supplier prequalification exercise, ensuring a transparent, documented, and consistent evaluation process in line with company procurement policies.

Bank Reconciliations and Financial Controls

• Prepare timely bank reconciliations for assigned bank accounts and investigate and resolve unreconciled items.
• Verify the accuracy and completeness of banking transactions and ensure appropriate supporting documentation is maintained.
• Identify unusual transactions, control weaknesses, and discrepancies and escalate material issues to management.
• Ensure compliance with established financial procedures, approval limits, and internal control requirements.
• Support internal and external audits by providing accurate records, reconciliations, and supporting schedules.

Expense Management and Cost Control

• Verify the accuracy, completeness, classification, and authorization of expenses and ensure appropriate supporting documentation is available.
• Monitor expenditure against approved budgets and identify significant variances for review by management.
• Recommend cost-saving opportunities, process improvements, and measures to enhance spending efficiency.
• Support internal control reviews and implement corrective actions relating to expense management and payment processes.
• Ensure expenses are recorded in the appropriate accounting periods and allocated to the correct cost centres, projects, or departments.

Project Costing and Financial Analysis

• Support the preparation of project budgets, cost estimates, and project profitability analyses.
• Monitor project expenditure against approved budgets and investigate and report significant cost variances.
• Ensure project-related costs are accurately captured and allocated to the relevant projects.
• Provide financial information to support project cost monitoring, forecasting, and management decision-making.
• Identify cost overruns, potential savings, and other financial risks associated with ongoing and upcoming projects.

Financial Reporting

• Prepare monthly financial reports for the Kenyan entities, ensuring accuracy, completeness, and timely submission.
• Prepare supporting schedules for expenses, accounts payable, statutory obligations, and other assigned balance sheet and income statement accounts.
• Review expense trends, supplier balances, tax liabilities, and other relevant financial information and highlight significant variances to management.
• Ensure timely completion of assigned month-end closing activities, including reconciliations, accruals, and expense cut-off procedures.
• Maintain proper accounting records in accordance with applicable accounting standards and company policies.

General Responsibilities

• Maintain an organized and up-to-date filing system for financial, tax, supplier, banking, and procurement records.
• Support the implementation and continuous improvement of accounting systems, policies, and procedures.
• Maintain confidentiality and integrity in handling financial and supplier information.
• Perform other finance-related duties reasonably assigned by the Chief Financial Officer.

Minimum Qualifications and Experience

• Bachelor of Commerce in Accounting, Finance, or a related discipline.
• CPA Part III qualification or equivalent progress towards a recognized professional accounting qualification.
• Three to five years of relevant experience in accounts payable, taxation, and general accounting within a busy finance department.
• Practical knowledge of Kenyan tax legislation and statutory compliance requirements.
• Experience liaising with KRA and other regulatory bodies on tax and compliance matters.
• Good understanding of International Financial Reporting Standards (IFRS).
• Demonstrated experience in supplier reconciliations, bank reconciliations, expense management, and project costing.
• Proficiency in Microsoft Office, particularly Excel, and accounting or ERP systems.

Competencies and Qualifications

• Technical Background – BSc. in Electrical Engineering, Electronics, Instrumentation, or a related field.
• Minimum 3 years’ experience in technical training, engineering, or a tests-and- measurement environment.
• Demonstrated abilityto build trainingcurricula from scratch— from Training Needs Analysis through to coursedelivery and assessment.
• Experience leveraging internal subject-matter experts as trainers and co-facilitators, not solely external or OEM resources.
• Familiarity with test & measurement equipment, calibration processes, or instrumentation (Megger, Fluke, FLIR,Anritsu or similarOEM products is an addedadvantage).
• Commercial mindset with a proven track record in business development — packaging, pricing and selling training solutions to B2B clients.
• Experience collaborating with sales and marketing teamsto develop training propositions, proposals and promotional content.
• Strong presentation and facilitation skills — able to simplify complex technical concepts for varied audiences.
• Comfortable workingacross multiple countriesin a matrixed environment; experience with regional sales collaboration is an advantage.
• Proficiency in MicrosoftOffice Suite; experience with LMS platformsis a plus.
• Goal-oriented self-starter who can work independently, manage a pipeline,and deliver against a revenue target.
• Experience working to ISO 9001:2015quality management processesis an advantage.

Training Lead Duties and Responsibilities:

• Establish the Training business unit — defining the operating model, processes, policies and quality standards aligned to existing company policies and ISO 9001:2015
• Conduct Training Needs Analyses (TNAs) for existing and prospective clients across all Amotech Africa regions to identify priority programmes.
• Develop all training curriculafrom scratch based on TNA findings, leveraging Amotech Africa's in-house technicalexpertise, OEM partnercontent, and industrybest practice.
• Identify, onboardand coach internalsubject-matter experts (engineers, lab staff, project leads) to serve as trainers and co-facilitators for relevant programmes, reducing dependency on OEM-only delivery.
• Own and deliver the Training businessunit’s revenue target,driving year-on-year growth through proactive business development — identifying prospects, buildingrelationships and closing training engagements.
• Package training offerings into clearly definedproducts with pricing,scope and outcomes that can be presented to clients by both the Training Lead and the regional salesteams.
• Work in close collaboration with the regionalsales teams in Kenya, Tanzania,Uganda, Rwanda, DRC and Ethiopia to identify trainingopportunities, co-develop proposals and ensure the trainingcalendar reflects demandacross all markets.
• Support the sales team in clientmeetings, tender responses and proposals wheretraining solutions form part of a broader Amotech Africa offering.
• Develop marketing materials, case studies, course brochures and digital content in collaboration with the Marketing & Communications team to promote training programmes across the region.
• Contribute to Amotech Africa's thought leadership — webinars, LinkedIncontent, industry
• events — to build brand visibilityand generate trainingleads.
• Manage the annual trainingcalendar, coordinating scheduling with OEM partners, in- house trainers, regionalsales teams and clients.
• Deliver classroom, practical/hands-on and on-sitetraining programmes, maintaining high standards of learnerexperience and assessment rigour.
• Track and report training KPIs to the COO — revenue, gross margin, attendance, pass rates, client satisfaction, and regional pipeline.
• Maintain continuous professional development to stay currentwith the latesttest, measurement and calibration technologies.
