    Availability Advisor - Supply Chain

    Overview

    Ipas works globally so that women and girls have improved sexual and reproductive health and rights. We believe in a world where every woman and girl has the right and ability to determine her own sexuality and reproductive health.

    Reporting to the Safe Care Manager, the Availability Advisor provides technical oversight to the supplies chain management at the Ipas Africa Alliance to enhance availability of comprehensive abortion care and contraceptive services. He/ She develops and implements strategies designed to enhance availability and accessibility of abortion care technologies and commodities including Ipas MVA plus kits, MA drugs Contraceptive commodities and related supplies in all intervention facilities. He/ she works closely with the quality of care team and ASRH advisor to ensure to enhance program implementation and sustainable supplies in intervention counties. S/he is responsible for supporting the planning, development, and implementation of the organizational medical supplies quality assurance policy for sustainable Ipas programming. This position is based at the Alliance field office in Kisumu.

    Responsibilities

    • Provides supplies oversight and coordination of the supplies chain process to ensure that Ipas procurement and product selection standards align to the national formulary and equipment specifications.
    • Review and monitor organizational budgets for commodity and equipment and track utilization of the budgets for effective program implementation.
    • Develops and maintains an organizational supplies schedule for commodities, supplies and equipment and liaises with the procurement unit to ensure timely scheduled procurement.
    • Sets and reviews periodically the minimum and maximum stock levels for the organization.
    • Liaises with the quality advisor on technical issues arising from health facilities and supplies management and participate in county and provide programmatic support as a member of the provider support team.
    • Work with County Pharmacists to oversee inventory management for abortion care and contraceptive supplies and commodities within the Ipas storage facilities in liaison with the availability associates.
    • Provide semi -annual status of stock/ equipment and distribution reports to the Senior Health management team and follow up recommendations to improve efficient and effective program implementation.
    • Work with the technical lead to develop and implement a sustainability strategy for service delivery programs with regards to commodity and equipment security.
    • Identifies and recommends suppliers of abortion care equipment, commodities and supplies in accordance to Ipas policies and processes
    • Participate in relevant technical working group meetings at national and county level working on commodity security.
    • Ensures compliance to the Ipas Medical supplies and Pharmaceuticals procurement and Quality Assurance Policy and standards.

    Requirements

    Minimum Requirements:

    • Bachelor Degree in Pharmacy with 8+ years professional experience in supplies chain management/ Diploma in Pharmacy with 10+ years’ experience
    • Must be familiar with the MoH National and County National Supplies Chain system
    • Experience in working with MoH National/ County health management teams with good understanding of the public health delivery system and the community strategy.
    • Previous experience on capacity building and supervision of supplies chain management in programming

    Policy Associate

    Overview

    The Policy Associate works collaboratively to support the Policy unit efforts within Ipas Africa Alliance. The Associate provides both technical and administrative support to policy advocay projects. The position also provides support to local activists and is responsible for maintaining local organizational alliances.

    Responsibilities

    • Conceptualizes and implements programmatic activities aimed at improving the policy environment through engaging with key policy makers including partnerships with coalitions and networks
    • Documents the negative impact of the criminalization of abortion by coordinating with local organizations and monitoring the media, compiling testimonies and providing humanitarian support
    • Conceptualizing and drafting white papers and policy position papers
    • Researching and blue-booking on legal and policy documents that are applicable to Ipas work
    • Maintaining partnerships with organizations and managing list-serves
    • Develops activity budgets and tracks team expenditures, reviews budget discrepancies with the respective Advisors or Manager and provides support during budget creation and revision processes
    • Develop status reports for the policy team on various work plan activities
    • In coordination with other office staff, provides policy support and technical assistance as needed for global policy unit and national policy activities
    • Provides administrative support including scheduling and coordinating meetings and conferences, taking notes, setting-up meeting rooms, making copies, travel planning, and other tasks as requested
    • Assists team members by tracking activity deadlines and drafting or reviewing reports, grant agreements, service contracts, program work plans, and other related documents as needed
    • Responsible for the production of documents, including agreements, contracts, disbursement schedules, project timelines and work plans, activity reports and financial and narrative reports during contract period
    • Enters and or supports to enter activity events in Terra after each activity and reports to verify that the documentation (registration sheets, attendance lists, pre- and post-tests, and programs) and information requested in reports are entered on time, accurately, and are included in the activity reports
    • In collaboration with the Senior policy advisor and Regional Manager, may provide support in the monitoring of the implementation of the in-country work plans by conducting a monthly review of plans versus results and documenting the variances.
    • Contributes to the development of reports, participates in planning area activities, and ensures the administration of resources to carry out actions

    Requirements

    Minimum requirement

    • Bachelor's degree in law
    • Post graduate Diploma in law from Kenya School of Law
    • 5+ years relevant experience
    • Ability to travel 20%
    • 2+ years working in Sexual and Reproductive health arena

    Preferred Requirement

    • Excellent communication and collaboration skills
    • Mastery of MS office applications
    • Must be able to pay attention to detail
    • Prior experience working with multiple stakeholders
