    Construction Admin Assistant

    Role Description:

    Without you, construction at Penda would be very disorganized. You bring structure in our budgets and contracts, and help us keep track of everything happening in construction so we are better able to meet our timelines and learn from previous projects.

    Job Responsibilities

    • Raise purchase orders, track material/equipment purchases. Process bills in line with the purchase orders. Get receipts for all purchases from the Site Managers and enter them in our accounting system so they can focus on building beautiful Medical Centers
    • Track weekly spend by category of the budget for each project, reconcile actual spend and budget weekly and discuss with the Site Managers about variances. Send an email with the reconciliation results and explanations to the finance and construction team weekly. Escalate when we are overspending
    • Work together with our Finance department to ensure timely payments are made to suppliers and sub-contractors
    • Get updates on timelines for the projects from the Site Managers and send out a weekly update on the progress of construction projects to the launch team
    • Discuss construction updates in our weekly launch team meetings, and make detailed minutes for those meetings
    • Be the point of contact on construction for all Support Office staff and ensure you follow up well with the rest of the construction team
    • Coordinate administrative work between the construction and location team to speed up the due diligence process for new locations
    • Draft subcontractor / fundi agreements, work together with the Site Managers to get them signed in a timely manner and process the signed agreements
    • Ensure all construction documents (contracts, invoices / bills, construction drawings and reports, etc.) are always well stored and organized in Dropbox
    • Perform general clerical duties, including photocopying, scanning, and other miscellaneous errands
    • Support the Site Managers in doing a project review at the end of each project
    • Provide Support to the Construction Site Managers and Construction Manager as needed
    • Communicate clearly and openly, always
