    Senior Officer- Property, Leases, Assets & Archiving

    Brief Description

    • Reporting to the Manager-Property and Asset management, the individual will administer and provide support services to the property and asset management section including managing leases, assets and archiving.

    Detailed Description

    • Maintain all project records in a central projects /record library including but not limited to;-Project authorization records, Procurement Records, Costing records e.g. Bills of Quantities, Statutory Authorization Records etc.
    • Chronology filing of Negotiated Commercial Terms, Structural assessment report, Executed Letter of Offer, Lease documents, Physical and Security Survey Reports, Negotiated Commercial Terms, Tenancy Agreements, Termination notices and Deposit Collection Status etc.
    • Landlord relations: Invoice and payment processing (end to end)
    • Manage expatriate house requests, allocation and movements.
    • Management Reports.
    • Payment status reports (monthly).
    • Space audit reports (monthly).
    • Initiative proposals (periodic).
    • Property data base for both residential and commercial (current to 1 month).
    • Trend analysis reports (Quarterly) User departments: Provide information on pertinent lease issues.

    Requirements for Property Officer Job

    • A degree holder in a Construction, Engineering, and Quantity Surveying, Real estate or business related discipline from a recognized university.
    • Must be proficient in the use of MS Project and all other MS Office packages.
    • Must have at least 3 years’ experience working on various projects in a busy corporate environment e.g. in a project administration/coordination or task leader role.
    • Ability to generate and interpret drawings and technical specifications.
    • Pro-actively adapts own style and approach to build rapport, and work with others more effectively.
    • Builds and maintains strong relationships and networks.
    • Prioritises effort and resources on high-value, high impact activities.
    • Focuses on achieving maximum performance,business continuity and driving continuous improvement.
    • Thinks about processes and problems cross-functionally and end-to-end.
    • Uses knowledge of products, technology, process, systems and policy to solve problems.
    • Finds creative and unorthodox approaches to exploit opportunities and solve problems
    • Acts in line with legal, regulatory, professional and ethical standards.
    • Applies Health& Safety policy, structures and systems to ensure the business delivers a safe working environment.
