    Executive Director

    Main Responsibilities for the Executive Director Job

    Secretariat leadership 

    • Provide overall leadership of the organisation’s secretariat and offer supervisory role to all staff of the secretariat to ensure everyone meets their set targets and deliverables
    • Ensure that the operation of the organization meets the expectations of its clients, Board and Funders.
    • Provide periodic updates to the Board of Directors on internal matters within the organisation’s secretariat and external factors affecting the organisation and act as the chief advisor to the Board of Director on all aspects of the organization’s undertakings
    • Oversee and provide leadership to all PAMCA’s key programmes such as the annual conferences, symposia and other key initiatives undertaken in collaboration with PAMCA’s donors and others in the pipeline
    • Be available to travel to and represent the organisation at high level meetings related to policy, funding and partnerships and provide reports and updates to the board on such activities to enrich its operations 

    Administration 

    • Principal administrative head of the secretariat
    • Oversee the planning, implementation and evaluation of the organization’s processes and activities
    • Develop, review and implement an internal organisation’s administrative manuals ranging from human resource policies, occupational health and safety, ethics and code of conduct to be adhered to by all secretariat staff
    • Monitor the day-to-day delivery of the programs and services of the organization to maintain or improve quality
    • Ensure that personnel, client, donor and volunteer files are securely stored and high level privacy/confidentiality is maintained
    • Act as the secretary to the Board
    • Maintaining a high level performance culture driven by highly motivated and competent staff who consistently deliver outstanding results
    • Ensure that the organisation’s resources, physical, financial or otherwise, are prudently used and only for the benefit of the organisation and detect and prevent all forms of wastage, pilferage or any unauthorized or illegal use of the organisation’s resources 

    Financial stewardship and budgeting 

    • Preparation of a comprehensive budget plans and ensure sound accounting procedures and adherence to the organisation’s budgetary guidelines.
    • Oversee the development of fund raising plans and work together with the fundraising manager/consultant to write funding proposals to increase the funds of the organization
    • Manage all forms of partnerships/collaborations with funding agencies to ensure long-term healthy and sustainable relationship
    • Approve expenditures within the authority delegated by the Board
    • Provide the Board with comprehensive, regular reports on the revenues and expenditure of the organization 

    Strategic planning 

    • Develop an operational plan which incorporates goals and objectives that work towards the strategic direction of the organization
    • In liaison with the Board of Directors develop the strategic plan to guide the organization
    • In collaboration with the Board, advertise for, recruit and hire an external consultant(s) to carry out the strategic planning exercise
    • Monitor and track the progress with the development of the strategic plan with the consultant (s) to ensure that the consultant(s) adheres to timelines and achieves the key deliverables
    • Manage all relationships with the external strategic planning consultant(s) to the logical conclusion of the exercise

    External communication and stakeholder management 

    • Communicate with key external stakeholders including but not limited to the organisation’s funders, sponsors, strategic partners, suppliers, etc. to keep them informed of the work of the organization
    • Represent the organization at high level meetings
    • Receive and respond to all communications from external stakeholders and manage external stakeholder relationships
    • Establish good working relationships and collaborative arrangements to help achieve the goals of the organization 

    Key deliverables

    • Establish a self sustaining secretariat including recruitment of staff
    • Oversee the recruitment of consultants to lead an entomological capacity analysis across Africa
    • Manage the organisation’s annual conference and symposia
    • Plan and organise Board Meetings
    • Support and oversee the delivery of the organisations strategic plan
    • Develop and implement annual operations plans
    • Oversee the development of a fundraising strategy
    • Financial and narrative reporting to donors and the Board
    • Oversee the development of a fundraising strategy 

    Technical skills, knowledge & experience 

    • Served in a senior position for not less than 10 continuous years in a Public Health, Life Science, International Development or related sector
    • Ability to keep abreast of, interpret and apply international development policy
    • Experience of leadership and line management as they relate to non-profit/ voluntary organizations
    • Experience of managing large budgets/ financial management
    • Experience of managing complex programmes and projects
    • Facilitation skills
    • Proficiency in MS Office

    Executive Director Job Minimum qualifications 

    • Bachelor’s degree in a biomedical, public health, social science or any other relevant and equivalent qualification from a recognized institution.
    • Master’s degree qualification in any of the above
    • Certificate in Leadership and Management
    • Duration of the position

    This position will be initially available for one year beginning January 2017 to December 2017 with a possibility of extension
