    Administration Officer - Makueni and Kakuma Turkana

    What is the opportunity?

    Working under the supervision of the Regional Manager, this position will perform critical administrative functions and serve as the primary point of contact for internal and external constituencies on all matters within the regional office. As Water Mission continues to grow, the responsibilities of this position may change and flex to adapt to the needs of the ministry. The incumbent needs to be flexible and comfortable with changing priorities and responsibilities.  These are two vacancies located in Makueni and Turkana. The position will supervise the Grounds’ staff and the Housekeeper.

    A successful Administration Officer will:

    General Responsibilities:

    • Maintain a strong Christian witness and model servant leadership to colleagues, partners, the communities we serve, and the public. 
    • Engage and participate in prayer before and after team meetings.
    • Lead and participate in biblically based staff devotions.
    • Have a personal and growing relationship with Jesus Christ.

    Other Responsibilities:

    FRONT OFFICE 

    • Receive visitors and respond to inquiries.
    • Maintain office filing and record keeping systems.
    • Receiver of important mail, documents and items as well as forwarding to the relevant officer to handle.
    • Provide timely, professional, and courteous communication.
    • Perform a series of secretarial functions for the organization and provide additional services as assigned.
    • Ensure daily smooth running of the office.
    • Excellence in office appearance, cleanliness, and professional appearance
    • Furnish essential office supplies.
    • Maintain accurate and accountable inventory of office equipment.

    PROGRAMS SUPPORT

    • Receive Safe Water Request Forms, check for completeness and upload the requests on PUMP.
    • Provide feedback to communities on Safe Water Requests.
    • Keep an updated Safe Water Requests register.
    • Upload all project photos on one drive every time an activity is done and update projects media links on PUMP with most recent photos.

    INFORMATION TECHNOLOGY

    • Work closely with Kitale Office IT officer to ensure standardization of procedures.
    • Enforcing defined standards, procedures, policies, and best practices in management of ICT infrastructure in the Regional Office.
    • Troubleshoot application software installations and configurations, electronic mail, internet and network access problems.
    • Provide support for deployed computer application systems.
    • Install computer application systems software and hardware according to specifications.
    • Perform 2nd level desktop troubleshooting in conjunction with Kitale Office IT Officer.
    • Administration of wireless Internet/E-mail connectivity.
    • All aspects of data backup and recovery. Ensure backup files are updated regularly and stored safely.
    • Organize the periodic checks and cleaning of all IT equipment as part of the preventive maintenance service.
    • Setup and maintain system security, access level privileges and password protection.
    • Carry out simple, on-the-job training for staff as required.
    • Prepare and file incident reports for each incident.
    • Maintain an inventory schedule of all IT equipment and software in the office.
    • Audit of all IT equipment in the store and advice on the status
    • Other duties as may be assigned by your supervisor.

    What is required?

    • Bachelor’s degree in business administration or social science
    • 1 to 3 years’ experience in administration, front office related field.
    • Self-starter that takes initiative to complete tasks.
    • Basic computer skills in MS Office products.
    • Demonstrated high level of integrity and excellent judgment handling sensitive and confidential information required.
    • Excellent written and verbal communication skills, including articulating ideas and feedback constructively. 
    • Keen attention to detail required
    • Demonstrated organizational skills and ability to work independently and within a team, assess priorities, and manage various activities with attention to detail.
    • Good relationship and conflict resolution skills.   
    • Ability to work both independently and collaboratively with a team.
    • Commitment to ending the global water crisis.
    • Citizen of Kenya.
