    Hubspot Specialist

    We’re seeking a HubSpot expert for a short-term engagement focused on governance, sales pipeline architecture, and CRM standardization. This is not a generic automation or admin role—we need someone with deep technical fluency in HubSpot’s enterprise features who can deliver scalable structure, clean data processes and enforceable best practices across teams.

    Responsibilities:

    CRM Architecture & Data Governance

    • Conduct a structured audit of contact, company and deal records.
    • Identify and resolve data inconsistencies, duplicates and misaligned properties.
    • Standardize naming conventions and property usage across records.
    • Recommend a long-term data governance structure and documentation.

    Sales Pipeline Design & Workflow Enforcement

    • Redesign multiple deal pipelines to reflect real-world team processes (e.g., fundraising, partnerships, portfolio).
    • Define stage-level criteria, required fields and automated triggers for consistency.
    • Set up automation for task handoffs, notifications and time-based stage alerts.
    • Identify failure points in the current system and implement process enforcements.

    Automation Strategy & Conflict Resolution

    • Audit and optimize current workflows—remove redundancies and fix conflicting logic.
    • Deploy new automations aligned to team SOPs (e.g., deal stage movement, lead assignment, follow-up triggers).
    • Build logic-based workflows that adapt to user behavior and lifecycle stage changes.
    • Train key users on how to avoid automation drift.

    Reporting, Permissions & Team Views

    • Set up governance-aligned dashboards by function (e.g., Investments, Growth, Partnerships).
    • Build dynamic reports that reflect performance metrics and time-in-stage analytics.
    • Recommend role-based access and visibility protocols.
    • Configure filtered views and dashboards tailored to each team’s workflow.

    Documentation & Knowledge Transfer

    • Deliver written SOPs covering new governance rules, workflows and dashboard structures.
    • Provide Loom videos or lead a single live training session to walk through changes.
    • Leave behind a set of “admin guardrails” for future HubSpot users or contractors.

    Preferred Qualifications:

    • Extensive experience as a HubSpot admin, architect or technical consultant.
    • Expertise in HubSpot pipeline design, automation logic, data hygiene and governance at scale.
    • Proven ability to solve HubSpot CRM issues quickly and independently.
    • Strong communicator who can document and transfer ownership effectively.
    • Bonus: Familiarity with VC/PE firms, B2B sales pipelines or emerging markets.
