    Principal Assistant Office Administrator

    GRADE ADAK 5

    Salaries Scale: 107,700-148,200

    Duties and Responsibilities

    1. organizing seminars/workshops and upgrading courses for the secretarial personnel;
    2. undertaking postings and deployments of secretarial staff in the Agency;
    3. coaching, mentoring, and counseling secretarial personnel;
    4. drafting letters;
    5. recording dictation in shorthand and transcribing it in typewritten form;
    6. typing from drafts, manuscripts or recording from dictation machines;
    7. processing data;
    8. operating office equipment;
    9. attending to visitors/clients;
    10. handling telephone calls and appointments;
    11. ensuring security of office records, equipment and documents;
    12. effective management of office protocol and media issues; and

    Requirements for Appointment

    For appointment to this grade, an officer must have:-

    1. served for a minimum of eight (8) years in a comparable position
    2. a Bachelor’s Degree in Secretarial Studies or a Bachelor of Business and Office Management or equivalent qualifications from a recognized Institution;

     OR

    a Bachelor’s Degree in Social Sciences plus a Diploma in Secretarial Studies from the Kenya National Examinations Council or equivalent qualifications from a recognized Institution;

    OR

    1. a Bachelor’s Degree in Social Sciences plus the following qualifications from the Kenya National Examinations Council: -
      1. ShorthandIII (minimum120 w.p.m.);
      2. Typewriting III (50 w.p.m.)/ComputerizedDocument Processing III;
      3. BusinessEnglish III/Communications II;
      4. Commerce II;
      5. Office Management III/Office Administration and Management III;
    2. SecretarialDuties II.
    3. a Certificate in Computer Applications (Windows, Ms-Word, Ms- Excel, MsAccess and Internet) from a recognized institution;
    4. attended a Secretarial Management Course from the Kenya Institute of Administration or any other Government Training Institution; excellent interpersonal communication skills; and demonstrated outstanding professional competence in management of secretarial services.

    Method of Application
