    Procurement Coordinator

    Position Overview;

    The Procurement Coordinator main responsibility will be to ensure there is efficient procurement of goods and services required for hotel operations while maintaining quality standards and cost-effectiveness. This position involves Strategic Planning, Supplier Management, Negotiation, Maintaining Vendor relationships and overseeing the activities carried out by the Store Keeper to ensure the smooth functioning of the hotel's supply chain.

    Key Responsibilities;

    • Develop and implement procurement strategies aligned with the hotel's goals and budgetary constraints.
    • Source suppliers, negotiate contracts, and establish favourable terms and conditions for procurement agreements.
    • Monitor market trends and supplier performance to identify cost-saving opportunities and ensure quality standards are met.
    • Coordinate with various departments to understand their procurement needs and provide timely support.
    • Oversee the management of inventory across various hotel departments, including food and beverage, food production, housekeeping, maintenance, and administrative supplies.
    • Implement inventory control measures to optimize stock levels, minimize waste, and prevent stock outs.
    • Develop and maintain efficient systems for receiving, storing, and issuing goods.
    • Cultivate and maintain strong relationships with suppliers to secure favourable pricing, terms, and service levels.
    • Resolve any issues or disputes with suppliers promptly and effectively.
    • Continuously evaluate supplier performance and identify opportunities for improvement or alternative sourcing.
    • Monitor procurement expenditures against budgetary allocations and identify areas for cost optimization.
    • Prepare reports and analysis on procurement spends, cost savings, and other relevant metrics for management review.
    • Ensure compliance with legal and regulatory requirements related to procurement activities..
    • Maintain accurate records of procurement transactions and contract

    Qualifications and Skills;

    • Bachelor's degree in Business Administration, Supply Chain Management, Hospitality Management, or related field
    • 3 years proven experience within the hospitality industry
    • Strong negotiation skills and ability to build and maintain effective relationships with suppliers.
    • Excellent analytical and problem-solving abilities.
    • Proficiency in inventory management software and Microsoft Office suite.
    • Solid understanding of procurement best practices, including sourcing strategies, contract management, and risk mitigation.
    • Strong leadership and communication skills, with the ability to collaborate effectively across departments.
    • Attention to detail and a commitment to maintaining high standards of quality and efficiency
