Procurement Manager, General Warehouse And Distribution at Nairobi Hospital

PROCUREMENT MANAGER, GENERAL WAREHOUSE AND DISTRIBUTION REF: TNH/HRD/PMG/03/2022

Reporting to the Director Supply Chain & Distribution, the successful candidates will be responsible ensuring proper warehousing, inventory control of goods, maximum utilization ofwarehouse facilities and the efficient receiving, transfer, and dispatch of goods in line with the

Hospital’s objectives.

1. Ensure effective utilization of warehouse areas and ensure proper loading, offloading,
2. stocking and safekeeping of items to maintain the quality of goods in order to prevent
3. product damage and avoid occurrence of pilferage, accidents and occupational hazards.
4. Effectively monitor flow of goods and implement First-In First-Out (FIFO) method in dispatching of goods.
5. Coordinate with the procurement unit with regards to incoming deliveries of goods and supplies.
6. Develop a data storage system for the warehouse.
7. Ensure accuracy of product inventories against system records by conducting regular cycle count as per established schedules and guidelines.
8. Evaluate and analyse inventory variances and implement preventive measures to forestall inventory variances.
9. Comply with regulations on warehousing, material handling, and shipping requirements.
10. Manage stock control and reconcile with data storage system.
11. Identify, deploy and motivate the procurement team including performance appraisal,
12. identification of training needs, mentorship and coaching as well as leave and absence management in line with the hospital’s people agenda; and
13. Any other responsibilities that may be assigned to the job holder by the supervisor from time to time.

EDUCATION SKILLS AND EXPERIENCE

1. Bachelor’s degree in Supply Chain, Procurement or any other related field from a recognized institution.
2. Full professional qualification in Purchasing and Supplies Management.
3. Must be a Professional Member of Kenya Institute of Supplies Management with a valid practising license.
4. Minimum of 8 years’ experience in warehousing or stores management in a large establishment with 5 years at management level.

Technical & Behavioural competencies

1. Experience in warehousing and inventory management.
2. Thorough understanding of procurement laws and procedures.
3. Knowledge and experience in demand and supply system and best procurement practices.
4. Knowledge and effective application of all procurement and relevant hospital policies, processes, procedures and guidelines to consistently achieve required compliance standards or benchmarks.
5. Ability to lead, influence and drive change initiatives in support of business strategies within the department/unit.
6. Strong leadership and skills to foster teamwork; develop and motivate staff, resolve conflicts as well as ability to provide direction, guidance, momentum and vision in order to achieve organizational objectives.
7. Demonstrated business acumen - able to create strategy and actions that impact business success.
8. Strong communication and presentation skills including ability to develop proposals,
9. concept papers, position papers as well as write reports and prepare relevant publications.
10. High level interpersonal and cross-cultural skills, including ability to build alliances and
11. collaborative relationships with sensitivity to diversity.
