Tally Clerk-Outbound at Platinum Outsourcing and Logistics

Job Purpose

• To accurately tally, verify, record, and monitor coffee being dispatched from the warehouse, ensuring that the correct quantity, quality, identification, and documentation are maintained throughout the outbound process.

Key Responsibilities

• Accurately count and tally coffee bags/packages during loading and dispatch.
• Verify coffee against dispatch orders, release instructions, delivery notes, and other relevant documents.
• Confirm bag numbers, lot numbers, marks, grades, and other identification details where applicable.
• Record all coffee dispatched accurately in tally sheets, registers, or warehouse systems.
• Monitor loading activities to ensure only authorized coffee is loaded onto the designated vehicle.
• Verify the number of bags loaded against the approved dispatch quantity.
• Identify and immediately report shortages, excess quantities, damaged bags, or other discrepancies.
• Check the condition of coffee bags before loading and report any damage or abnormalities.
• Ensure dispatch documentation is completed, signed, and properly filed.
• Reconcile physical quantities dispatched against warehouse records and dispatch documents.
• Maintain accurate records of daily outbound movements and submit required reports.
• Coordinate with warehouse staff, transporters, drivers, supervisors, and relevant operations teams during dispatch.
• Assist with stock counts and investigations of stock variances where required.
• Ensure proper handling of coffee during loading to prevent damage, contamination, or loss.
• Maintain strict control of warehouse stock and prevent unauthorized movement of coffee.
• Comply with warehouse safety, security, quality, and food-handling procedures.

Qualifications And Experience

• Diploma/Certificate in Supply Chain Management or equivalent
• Previous experience as a Tally Clerk, Warehouse Clerk, Receiving Clerk is an added advantage.
• Experience handling agricultural commodities, coffee, grain, or other bulk products is an added advantage.
• Basic computer literacy, particularly MS Excel and warehouse systems.
• Good numerical and record-keeping skills.
• Ability to work accurately under pressure and for extended periods when required.
