    Secretary III

    Job Description & Overview

    Duties and responsibilities at this level will entail:

    • Record dictation in shorthand and transcribe it into a written comprehensive form
    • Type from drafts and manuscripts as required to ensure timely communication of information
    • Handle incoming and outgoing telephone calls to ensure timely communication is passed on to the relevant office
    • Operate office equipment in printing and photocopying documents to provide administrative assistance to the institution
    • Prepare responses to simple routine correspondence promptly
    • Assist the head of department in the preparation of presentation materials and other documentation for internal and external circulation
    • Organise administration records and correspondence to ensure easy accessibility to the documentation/ information whenever required
    • Classify documents and materials to ensure security and confidentiality of office records
    • Receive and attend to visitors and clients professionally and courteously and direct them to the respective offices
    • Monitor cleanliness of the office and ensure that the office is well-managed to promote a good working environment
    • Maintain an efficient, smooth and easily accessible filing system to ensure required documents are traced in an efficient manner

    Successful candidates will be expected to fulfil the requirements of Chapter Six by providing the following documents.

    • Certificate of good conduct
    • Tax compliance certificate
    • HELB clearance
    • Clearance from EACC
    • Clearance from a recognized Credit Reference Bureau (CRB)

    Key Qualifications & Requirements

    • Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) or its equivalent from a recognized Institution or
    • Typewriting III (50 w.p.m.)/ Computerized Document Processing III
    • Shorthand III (100 w.p.m.) or Audio typing III
    • Business English III/Communications II
    • Office Management III
    • Secretarial Duties II
    • Commerce II
    • Certificate in computer applications

    Librarian

    Job Description & Overview

    Duties and responsibilities at this level will entail:

    • Implement the library policies and procedures that conform to the national library guidelines in consultation with the Chief Librarian
    • Take custody of the institution’s publications to ensure proper maintenance and availability when needed for future use
    • Allocate tasks and supervise staff in the institution library for optimal resource utilization in accordance with set work plans and schedules
    • Ensure Security of Information materials and the office equipment to assist in the management of documents to be charged and discharged to users
    • Manage information storage and retrieval systems that conform to library best practices
    • Develop procedures of collection, organization, interpretation and classification of information to aid library navigation.
    • Participate in development of the budget for the library as a useful source of information for the institution
    • Supervise registration of new users and clearance of library users and compile a list of the fines for defaulters for sign-off by the Chief Librarian to establish security of information material
    • Coordinate with the Chief Librarian to ensure the library computerized security system is in good working condition to enhance the protection of information material
    • Update the website with important information and advise staff and other users accordingly to ensure accurate information dissemination.
    • Routinely supervise the library staff to ensure seamless flow of work and timely achievements of deliverables.
    • Conduct performance appraisal and handle disciplinary issues in the library for staff working under him to facilitate efficient performance management.

    Key Qualifications & Requirements

    • Bachelor’s Degree Library Science/Studies, Information Science or its equivalent from a recognized Institution
    • Minimum period of three (3) years relevant experience
    • Member Kenya Library Association
    • Certificate in computer applications;
    • Good communication and interpersonal skill
    • Demonstrated integrity, merit and ability in work performance and results
