    Regional HR Administrator

    Purpose of the position

    The Regional HR Administrator ensures the smooth running of the human resources operations in the regional office as well as provides advice and support to the country offices.

    Key responsibilities

    • General HR: In cooperation with HR at Head office make sure to follow HR yearly plans. Take active part in employee surveys. Support managers within HR related issues. Support with staff related incidents.
    • Recruitment Support: Publish and remove job advertisements; carry out Initial scanning/filtering of job applications and assist in interviews; schedule interviews and candidates invitations. Maintain applicants records and related tasks whenever there are recruitments being done. Support with contracting processes and required paperwork for the successful candidates.
    • Employees Onboarding: When new staff join the organisation, assist in preparing required paperwork and coordinating the orientation process, while ensuring the new staff understand organisational policies and procedures.
    • Employee Offboarding: For the regional office: Coordinate exit interviews, process end of contracts or termination; Administer final pay and benefits; Handle offboarding paperwork and procedures in compliance with the law. For country offices: provide support and advice for the same.
    • Human Resource record Keeping: For the regional office: Organise, maintain, and update employees
    • digital and physical files such as CVs etc. Maintain and update HR databases (e.g. record sick, maternity leave, annual leave etc) with accuracy and confidentiality. Create regular reports and presentations on HR metrics (e.g. turnover rates) For country offices: provide support and advice for the same.
    • Payroll Management: Support payroll processing by providing relevant employee information (e.g. holidays, leaves of absence, sick days and work schedules); manage payroll inquiries from employees. Collaborate with finance on payroll issues.
    • Legal Compliance Support: Ensure the region is in compliance with employment laws and regulations. Support in HR audits and compliance reporting. Maintain and document matters relating to compliance efforts. Support in revising HR policies. Support in making sure that all the required insurance policies are in place and updated as required.
    • Training and Development Support: Assisting in scheduling training sessions and workshops.
    • Coordinate training logistics such as travels, accommodations, venue booking, materials preparation, and processing expense forms.
    • Wellness, Health and Safety Support: Maintain health and safety records. Coordinate safety training sessions. Support the implementation of workplace safety policies and procedures. Support in initiatives such as diversity and inclusion programs, wellness initiatives, or culture and team-building activities. Ensure relevant staff insurance policies are up to date.
    • Others: Liaise with external partners, like insurance vendors. Answer employees’ queries about HRrelated issues. Any other task assigned by the Regional Director

    Required qualifications.

    Education level:

    • Bachelors degree in Human Resources or related field

    Other professional qualifications:

    • Practicing membership with the Institute of Human Resources Management (IHRM) Work experience
    • 3 years proven work experience as an HR Administrator, HR Administrative Assistant or relevant role
    • Computer literacy (MS Office applications, in particular)
    • Proven knowledge of labour laws
    • Excellent organizational skills, with an ability to prioritize important projects
    • Strong phone, email and in-person communication skills

    Resource Mobilization and Communication Program Officer

    Purpose of the position:

    Vi Agroforestry Kenya is recruiting Resource mobilisation & Communications Program Officer. The position is responsible for improved and increased resource mobilisation in Kenya country office, as well as enhanced visibility of the organisation towards strategic partners, donors, stakeholders, and general public.

    The position involves scanning for opportunities, monitoring donor strategies and priorities at the country level in order to anticipate calls for proposals and identify bidding opportunities and leading the process of developing concept notes and project proposals through to submission to target donors. It also involves enhancing visibility of Vi Agroforestry to donors, engaging and building relationship with donors. In addition, the position will lead in building the capacity of country office staff and partner organization on resource mobilization and communication. The role also serves to encourage and support new innovations. We are seeking for an individual who has a passion for making a difference in the lives of people especially the smallholder farming community.

    Key Responsibilities
    R1: Resource Mobilisation

    •  Responsible for all resource mobilization activities in the country office.
    • In collaboration with Country Manager ensure compliance and implementation of policies, guidelines and other steering documents relating to Resource Mobilization
    •  Expand donor portfolio development in the country including providing and updating donor mapping and funding opportunity cycle.
    •  Develop and maintain active and quality working relationships with donors, strategic partners, implementing partners and identify potential consortiums.
    •  Be responsible for Vi Agroforestry’s visibility towards prioritized donors.
    •  Identify potential partners through networking and work with them to develop concepts in line with the organization’s strategic objectives and goal.
    •  Prepare, present, analyze and evaluate grant concepts, applications and grant agreements/award documents to ensure consistency with Organization goal and strategic objectives.
    •  Strive to reach the Resource Mobilization (RM) turnover target as set in the Resource Mobilization Strategy and report the progress to the country manager as scheduled.
    •  Take lead in and coordinate project development preparation from concept ideation to full proposal submission to donor and handover to implementation team; this will include coordination of country office staff and partners in the application process.
    •  Facilitate capacity building for country staff as well as partner organization on resource mobilization, proposal writing, strategic networking.
    •  Provide training on donor guidelines and requirements for all staff – both during the proposal development as well as to the implementing teams.
    •  Promote Vi Agroforestry’s positioning, approaches, technical knowhow and skills within the relevant networks with a view to developing consortium frameworks.

    R2: Communication

    •  Oversee quality production of country office related communication materials as per organization guidelines and manual.
    •  Prepare and conduct communication needs assessment for the country office including projects and programs and general organization communication.
    •  Integrate communication and advocacy into project proposals and other initiatives.
    •  Be responsible in Kenya Country office for communication material requests from Regional Office and Head Office.
    •  Support in postings on social media and website.
    •  Coordinate incountry Country Office and partner campaigns and special events.
    •  Develop and produce communication instruments and materials and manage dissemination.
    •  Promote and disseminate organization advocacy materials for flagship initiatives, publications and campaigns.
    •  Manage relationships with the press in the country.
    •  Facilitate knowledge and building and sharing by identifying and synthesizing best practices and lessons learned directly linked to organization goal and strategic objectives.
    •  Provide training for staff and partners on communication as appropriate.
    • Upon request from the country manager, fulfil other tasks at the country office/regional office or department level.

    Required Qualifications
    Education

    •  Bachelor’s degree in a relevant field.
    •  Project management training desirable
    •  Additional relevant certification

    Work Experience

    •  Must have at least five (05) years post qualification experience on Grant Management and Resource Mobilization and Communication in an NGO set up/development or related field.
    •  Prior experience in Environment, Climate change, and Agriculture Sectors are desirable.

    Other Professional Qualifications

    Environment, Climate Change and Resilience (ECCR) Program Officer

    The position is responsible for developing and maintaining high quality in all our work relating to Environment Climate Change and Resilience (ECCR) including agroforestry, SALM, SALM in ASAL, food security and nutrition, biodiversity and eco system services. The ECCR Officer reports to the Country Manager.

    •  Offer technical advice to Vi Agroforestry, Partners and Stakeholders on issues related to agroforestry, SALM, SALM in ASAL, food security and nutrition, biodiversity and eco system services.
    •  Ensure our methodologies, policies, guidelines and manuals in place are well known and implemented at the country’s operations.
    •  Support resource mobilization and QA new proposals and reports in relation to ECCR.
    •  QA workplans and reports received from partner organisations.
    •  Be active in advocacy related to above mentioned working areas and support the country office on the same.
    •  Take active part in networks and forums to strengthen our position as an Agroforestry and Climate Change organization, keeping a breast with the development in our core areas.
    •  Empower Partners and projects on enhancing livelihood improvement options through agroforestry value chains.
    •  Support partners to have Capacity in promoting use of Sustainable Energy technologies.
    •  Lead the country office in the establishment of Agroforestry Training centres and oversee the achievement of their objective, i.e. They are established as centres of excellence that provide leadership, best practices, research, support and training on agroforestry, sustainable agriculture land management (SALM), biodiversity conservation, management and governance of natural resources.
    •  Promote active participation of women, youths, and children in AF and SALM activities amongst partners and stake holders.
    •  Empower partners on seed technology, handling, and procurement.
    •  Support partners in mapping, review and updating seeds sources for their use.
    • Upon request from the country manager, fulfil other tasks at the country office/regional office or department level.

    Required Qualifications
    Education

    •  Bachelor’s degree in a relevant field

    Work Experience

    •  A minimum of three (03) years’ leadership experience.
    •  A minimum of three (03) years’ experience working with agroforestry, sustainable agriculture land management practices, climate change mitigation.
    •  A minimum of 2 years' experience in project management.
    •  Experience in partnership development and systems analysis.
    •  Technical and administrative experience with implementing partners management and engagement.
    •  Experience integrating inclusive approaches into ECCR (especially for gender, youth and social inclusiveness).
    •  Ability to handle multiple tasks simultaneously in a fastpaced environment set priorities and meet deadlines.
    •  Experience in carbon sequestration is an added advantage.
