Key Responsibilities
Candidate Sourcing
- Prepare job descriptions for new roles and review and update job descriptions for existing roles with the Line Managers to reflect any changes in the job requirements.
- Utilize strategic recruitment methods, including job boards, networking platforms and recruitment agencies to identify and attract top talent.
Candidate Screening and Assessment
- Review resumes and applications to identify qualified candidates.
- Prepare interview questions beforehand in liaison with Line Managers.
- Prepare and administer pre-employment assessments and Interview Challenges as needed.
- Conduct interviews to evaluate candidates’ skills, experience, and cultural fit.
Interview Coordination
- Schedule and coordinate interviews with the Hiring Managers.
- Support hiring managers by sharing interview guides and recruitment best practices.
- Ensure positive and professional candidate experience throughout the recruitment process.
- Communicate clearly and consistently with candidates, providing timely updates and feedback.
Offer Management
- Draft offer letters and employment contracts for new hires in a timely manner.
- Facilitate quality background checks for all roles.
Onboarding and Integration
- Work closely with the Talent Acquisition Team and Line Managers to facilitate a smooth onboarding process for new hires.

Qualifications and Requirements
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
- 1–2 years of experience in talent acquisition, recruitment, or a related HR role.

- Strong communication, interpersonal, and organizational skills.
- Proficiency in Microsoft Office Suite; experience with ATS/HRIS is an added advantage.

Key Responsibilities:
Logistics and distribution
- Run the daily distribution of fresh fish from the farm to logistics centers and branches nationwide, protecting freshness and cold-chain integrity end to end.
- Manage inbound feed logistics from local mills and import channels to the farm, ensuring the farm never runs short.
- Manage inbound logistics of all materials from local and international suppliers to target operational sites across the country.
- Own fleet and transport strategy: route planning, vehicle utilization, 3PL contracts, and cost per kilogram moved.
Warehousing and inventory
- Oversee the warehouse and stores network with tight stock accuracy, GRN discipline, and FEFO/FIFO controls.
- Plan inventory for feed, packaging, spares, and consumables – preventing stock-outs without tying up working capital.
Procurement
- Build and lead the Kenya procurement team covering category buying, local-for-local sourcing, imports coordination, and P2P analysis.
- Own all local-for-local sourcing: Opex, services, consumables, and operational CapEx, at the best total cost.
- Enforce P2P discipline: clean supplier master data, PO management, 3-way match, and audit-ready records.
- Execute Group-led framework agreements in-country (feed, large CapEx, major imports, supplier panels)
Imports and customs
- Own the country’s end-to-end import process for feed, CapEx, spares, and materials – from supplier PO through customs clearance to delivery on site – run as a controlled, repeatable, and fully documented workflow.
- Manage the full Kenyan import documentation pack for every consignment: Import Declaration Form (IDF), commercial invoice, packing list, bill of lading / airway bill, certificate of origin, and all commodity-specific permits and licenses.
- Ensure correct HS code classification and accurate computation of import duty, VAT, excise, IDF fee, and Railway Development Levy on every entry; catch and resolve mis-declarations before lodgment.
- Manage pre-shipment conformity (KEBS PVoC / Certificate of Conformity) and any regulatory approvals required by commodity (e.g. KEBS, radiation board, fisheries or veterinary import permits).
- Lodge and track customs entries through KRA systems (iCMS) and manage licensed clearing agents to agreed cost, accuracy, and turnaround SLAs.
- Proactively control demurrage, storage, and detention exposure through documentation readiness and disciplined clearance planning.
- Maintain an audit-ready import records archive and keep the standard operating procedure for the country import process current with changing KRA and regulatory requirements.
Planning and performance
- Drive weekly and monthly supply planning with Farm Operations, Sales, and Finance.
- Own the supply chain KPI suite: OTIF delivery, cost per kg distributed, stock accuracy, PO compliance, and import clearing lead times.
- Lead structured cost-reduction program across feed logistics, distribution, and procurement.
Leadership
- Lead, coach, and develop a multi-site team of managers, buyers, coordinators, and clerks; build bench strength and succession.
- Champion ERP adoption and data quality across all supply chain transactions.
How the Role Works with Group
Victory Farms is part of Victory Group, with sister operations in Rwanda and expansion underway in the region. The Group function sets standards: specifications, policies, procurement frameworks, and supplier panels for strategic categories such as feed, large CapEx, and major imports. The country team owns and executes the end-to-end sourcing and logistics processes – local sourcing, import clearance, warehousing, distribution, and all transactional activities. The Head of Supply Chain reports solid-line to the Managing Director, Kenya, with a dotted line to the Group Supply Chain Director, and is expected to deliver against Group standards without deviation unless approved by the relevant Group function.
Qualifications & Requirements
Must have
- 10+ years of progressive supply chain experience in Kenya or East Africa, with at least 4 years leading procurement, warehousing, and logistics as an integrated function.
- A background in high-volume, fast-moving product businesses – FMCG, food and beverage, dairy, edible oils, consumer goods manufacturing or distribution – known for tight cost control, working-capital discipline, and rigorous supply chain processes.
- Hands-on experience with perishables and cold-chain distribution strongly preferred.
- Deep, hands-on imports and customs expertise – running a country-specific import documentation process end to end (IDF, HS classification, duty and tax computation, KEBS/PVoC conformity, licensed clearing agents, and KRA iCMS entry) for consignments through Mombasa port and JKIA, with a proven record of controlling demurrage and clearance lead times.
- Strong ERP-driven procure-to-pay discipline and a track record of clean audits.

Roles & Responsibilities
Meeting & Leadership Rhythm Support
- Coordinate the calendar of Senior Management forums — weekly leadership meetings, monthly business reviews, quarterly planning sessions, and all-hands — scheduling participants and securing rooms, dial-ins and logistics.
- Prepare and circulate agendas and pre-reads ahead of each forum, working with the Business Operations Manager to confirm content and timing.
- Prepare clear, accurate minutes, capturing decisions and action items with named owners and due dates.
- Maintain the action log across leadership forums and follow up with responsible stakeholders proactively so commitments are delivered on time.
- Communicate outcomes and follow-ups promptly after each meeting.
Project Coordination & Tracking
- Coordinate and deliver assigned projects from end to end, under the guidance of the Business Operations Manager.
- Support larger cross-functional projects by maintaining workplans, tracking milestones, and flagging slippage early.
- Maintain accurate and up-to-date project trackers and status dashboards, providing regular status updates.
- Coordinate across departments to gather inputs, unblock dependencies and keep work moving.
Reporting, Data & Documentation
- Maintain company-wide KPI and OKR trackers, ensuring data is current, accurate, and ready for review.
- Prepare first drafts of briefing materials, presentations, and operational summaries for the Business Operations Manager and the Managing Director’s office.
- Transform raw data into clear, accurate, and well-structured spreadsheets, concise reports and presentation-ready materials.
- Organise and maintain shared files, templates, and documentation ensuring information is accurate, accessible and up to date.
Coordination & Special Tasks
- Serve as a reliable point of contact between the Business Operations Manager and departments, ensuring clear communication and follow-through.
- Facilitate effective communication across departments by ensuring relevant information is shared accurately and in a timely manner to support informed decision-making.
- Take on ad hoc tasks and small initiatives as directed — research, data pulls, event coordination, and similar.
- Handle confidential and sensitive information with a high degree of professionalism, integrity and discretion.
Qualifications and Skills
- Bachelor’s degree in Business Administration, Project Management or a related field.
