    Field Associate _ Dadaab (6 Months Fixed Term)

    Job Description:

    Business Mentor Activities:

    • Manage all Business Mentors (BMs) in your region, ensuring high-quality Core Program implementation
    • Regular field visits (3-4 days a week) to assess training and mentoring by the Business Mentors and overall performance of businesses and carry out at least 6 business spot-checks per week.
    • Spearhead the Village opening process in all the sub-counties
    • Guide Business mentor on SBs and PRs grant applications for viable businesses and approve prior to submitting them to the County Lead for review.
    • Ensure BMs work plans are developed, followed and timely shared through a google sheet
    • Bi-weekly meetings and Induction Training for BMs
    • Prepare bi-weekly meeting and agendas, and ensure they are timely update and sharing through a goggle sheet.
    • Train BMs on new forms that need to be collected, constantly reinforcing the importance and value of the data we collect and helping BMs troubleshoot issues as needed.
    • Work with Monitoring and Evaluation during each biweekly meeting to confirm that the BMs have collected the proper forms and confirm their upload to the database.
    • Lead and conduct Induction Training/onboarding for new BMs. This includes working closely with departments to prepare agenda, schedule Field Visits, prepare materials 
    • Work with Finance & Admin to ensure that all, induction and bi-weekly materials are printed or made available in a timely manner

    Reporting Program Reporting

    • Work with the County Lead to Collect, Develop, validate, consolidate, revise and submit BM work plans in a timely fashion.       
    • Monitor the collection of Mentoring logs and activity reports on behalf of the organization.
    • Submit reports and minutes of any meeting attended on behalf of Village Enterprise.
    • Ensure updated reports on attendance is tracked.

    Managing Partnerships

    • Help establish a relationship with Local Government officials, community leaders and other stakeholders.
    • The Field Associate represents the organization at district and sub county level including general meetings with Local government leadership, humanitarian actors, partners, protocol meetings, security meetings, as well as sector program meetings in consultation with the County Lead.
    • Provide Management with reports and feedback from government and partnership meetings as needed within three days after the meeting.
    • Support the BMs to register all Business Savings Groups with relevant government authorities at various levels.
    • Develop and implement County and sub county entry and Facilitate expansion strategy to new areas of operation in collaboration with the County Lead.
    • The Field Associate provides general support, guidance, and serves as focal point during program planning and reporting.
    • Internal activity coordination
    • Participate in Innovation Team meetings, actively participating and bring a positive field perspective to the team
    • Support BMs in the implementation of pilots, studies and data collection as needed
    • Provide feedback and support to overall program, pilots and strategic expansion
    • Work with the innovations team to train other partners or organizations
    • Act as focal persons for capturing ideas, learnings from the Business mentors and communities and submit to the innovations team.
    • Work with M&E to deliver quality BM refresher activities
    • Support BMs in phone/Tablet troubleshooting and in guiding BMs through quality data collection protocols
    • Vision trip and Donor Visits
    • Represent Village Enterprises’ values and program to donors, Guests and visiting staff
    • Work with Management to arrange field scheduling for visitors, donors and guests
    • Coordinate all preparations at the field level
    • In some cases, work on the weekends to accommodate donor and staff visits
    • Business Mentor performance appraisal and Professional development.
    • Submit quarterly reports to the County Lead, People and Culture Coordinator on Business mentor performance.
    • Work with the County Lead and People and Culture Coordinator to identify professional development opportunities for BMs and implement them.
    • Work with the People and Culture Coordinator to conduct performance reviews for BMs
    • Assist with the improvement and development of monitoring activities and materials for business mentors.

    Management and Administration:

    • The Field Associate ensures that Village Enterprise procedures and donor regulations applicable to a project implemented in the area of operation concerning program, logistics, fraud control, protection of vulnerable groups and special interest groups in collaboration with the People and Culture Coordinator and County Lead.
    • The Field Associate is responsible for overseeing the management of day-to-day field operations including monitoring and reporting on staff attendance, staff leave and authorization of minor emergency field expenses in consultation with the People and Culture Coordinator and County Lead.

    Logistics:

    • Field Associate is in charge of overseeing and reporting on the logistics the field team including enforcement of field safety guidelines and adherence.
    • Responsible for monitoring and reporting equipment usage and storage, planning, and maintenance of equipment and the functioning of the means of communication appropriate for the respective field staff.
    • Assist in Computation of Field stipends for Field Staff

    Communication

    • Communicate field challenges, opportunities and constraints
    • Provide feedback to supervisors and other line managers through Email, phone,
    • Participate in Monday Morning Meetings (MMMs) and Partnership meetings by providing field updates and responses to field questions
    • Participate and provide content to Field Associates calls.
    • Ensure BMs Collect and submit success Stories with photos as needed

    Monitoring, Evaluation and Learning Coordinator- Tana River

    Responsibilities

    Regional/Project Specific MEL Responsibilities: 60%

    Lead implementation of MEL Team initiatives for region/project(s), including: 

    • Manage data collection budget and timeline 

    Measure and enforce adherence to data quality protocols, including: 

    • Supervise MEL Senior Enumerator(s), ensuring monitoring of data collection and ensuring audits are both carried out accurately and productively
    • Conduct timely data quality assessment of all incoming data and submit data quality reports to supervisor. Supervised DQA may be assigned to advanced MEL Senior Enumerator(s).  
    • Timely cleaning of all participant tracking and monitoring data 
    • Analysis of participant tracking and monitoring data when needed
    • Maintenance of participant tracking and monitoring dashboards and custom reports; creation of additional internal reports and memos as necessary
    • Creation of MEL Reports for funders/stakeholders in line with regional/project specific obligations
    • Train field teams of region/project(s) in data capture responsibilities as they relate to: targeting, participant enrollment, participant tracking, grant applications, and business spot checks
    • Supervise MEL Senior Enumerator(s) to ensure high quality trainings are delivered to enumerators in relation to all data capture responsibilities
    • Build and maintain relationships with field staff. Coordinate with staff from other teams as necessary towards the following goals: 
    • Procurement of enumerator protective gear and data collection equipment as needed
    • Open and clear communication channels are maintained for sharing of MEL findings; 
    • Clear timelines are in place for when staff might expect formal reporting (ex., targeting verification reports within 2 weeks of close of targeting; business owner registration stats available in real time but data fully cleaned within one week of final sync)
    • Additional findings are shared with relevant parties on an ongoing basis 
    • Problems are brought forward, ‘lessons learned’ are openly discussed, and innovations/solutions are tested
    • Staff understand why information is needed from them and by when (for example, each cycle BM assignments are needed at least a week before the refresher training so that the database can be prepared and the new targeting forms can be assigned to the Business Mentors in advance of the training)
    • Supervise MEL Senior Enumerator(s).

    In addition to responsibilities outlined above: 

    • Recruit and train new Senior Enumerators as appropriate and under the direction of Senior MEL Manager
    • Support Senior Enumerators in recruitment and training of Enumerators as needed under the direction of Senior MEL Manager
    • Review MEL Senior Enumerator(s) enumerator planned expenses
    • Review MEL Senior Enumerator(s) field activity plans
    • Review MEL Senior Enumerator(s) field activity reports; on a monthly basis, aggregate relevant details from reports for sharing with staff
    • Host weekly meetings with MEL Senior Enumerator(s)
    • Other monitoring and evaluation tasks as assigned.

    IT Associate - Kenya (Six Months Fixed Term)- Isiolo

    The IT Associate will support the IT infrastructure, systems, and users at Village Enterprise. The role focuses on ensuring smooth day-to-day operations of IT services, providing technical support to staff, and maintaining hardware and software resources. The IT Associate will work closely with the IT coordinator and the entire Technology Solutions Team to implement IT solutions that enhance organizational efficiency.

    Responsibilities

    Technical Support & Troubleshooting:

    • Provide first-level technical support to staff, including hardware, software, and network issues.
    • Diagnose and resolve technical problems for laptops, desktops, tablets, printers, and other peripherals.
    • Respond to and resolve helpdesk tickets in a timely manner.

    • Monitor network performance and security, ensuring reliable connectivity.

    Procurement & Administration Coordinator - Kenya (Six Months Fixed Term)- Isiolo

    This is a full-time staff member, 40 hours per week. The individual might be required to work on some weekends and occasionally holidays depending on the magnitude of work.     Job Description:

    Procurement Support 40%

    • Coordinate with internal stakeholders to determine procurement needs and specifications.
    • Prepare and issue procurement requests, including Request for Quotations, Request for Proposals, quotation analysis for procurement committee and preparing purchase orders.
    • Monitor and track procurement activities, including delivery schedules and payment terms and coordinate with suppliers to ensure timely delivery of goods and services.
    • Prepare all relevant procurement documents for payments and ensure timely processing of invoices and payments.
    • Manage supplier relationships, which include conducting supplier performance evaluations and addressing any issues or concerns and maintaining an up to date supplier list.

    Administration Support 25%

    • Provide administrative support to the Finance and Administration department.
    • Coordinate travel arrangements and logistics for staff members.
    • Assist in organizing meetings, workshops and events.
    • Coordinate logistics for program activities, including transportation, accommodation and venue arrangements.

    • Track all supplier procurement contracts and ensure timely renewal or re-award
    • Ensure that all the records and documentation are properly archived.
    • Maintain proper filing and documentation systems and support audits and reviews of procurement processes and documentation.

    Compliance & Safeguarding 15%

    • Ensure all Village Enterprise accounting policies are stringently followed and educating staff on these policies as required.
    • Promptly report any observed fraud, conflict of interest or safeguarding matters to the appropriate channels.

    • Approve the ordering of necessary goods and services
    • Finalize purchase details of orders and deliveries
    • Examine and test existing contracts
    • Track and report key functional metrics to reduce expenses and improve effectiveness
    • Collaborate with key persons to ensure clarity of the specifications and expectations of the company
    • Foresee alterations in the comparative negotiating ability of suppliers and clients
    • Expect unfavorable events through analysis of data and prepare control strategies
    • Perform risk management for supply contracts and agreements
    • Control spend and build a culture of long-term saving on procurement costs

    Qualifications and Skills:

    • Bachelor's degree in Business Administration, Supply Chain Management, or related field).
    • Proven experience of at least 5 years in procurement and supply chain management, preferably in the NGO or humanitarian sector.
    • Strong organizational and coordination skills.
    • Excellent attention to detail and ability to multitask.
