    Intergrator - Chief Operating Officer

    ROLE PURPOSE

    The Integrator is the senior operational leader responsible for executing the Vision of XanaLife by ensuring disciplined, compliant, and profitable operations across supermarket (minimart) and pharmacy businesses. XanaLife runs on the Entrepreneurial Operating System (EOS) enabling clear priorities, strong accountability, and consistent execution to drive profitable growth. Experience with the system is a plus but not required.

    JOB RESPONSIBILITIES

    1. Vision Execution & Alignment

    • Translate the Visionary’s strategy into clear, measurable operational priorities.
    • Cascade annual priorities and quarterly Rocks to all hubs, minimarts, and pharmacies.
    • Ensure alignment between head office strategy and frontline execution.
    • Eliminate distractions and enforce focus on agreed priorities.

    2. Lead, Manage & Hold Accountable (LMA)

    • Lead the leadership team using EOS principles and discipline.
    • Ensure each functional leader clearly owns their seat and responsibilities.
    • Hold leaders accountable to commitments, Rocks, and KPIs.
    • Resolve cross-functional issues quickly and objectively.

    3. Supermarket & Pharmacy Operations

    • Supermarket Operations:
      • Oversee daily operations across all Hubs and minimarts
      • Drive merchandising standards, planograms, and product mix optimization.
      • Enforce pricing discipline, promotions governance, and margin protection.
      • Ensure strong stock control, shrinkage reduction, wastage management, and replenishment cycles.
      • Enforce SOPs for hygiene, food safety, cash handling, security, and store presentation.
      • Ensure consistent customer experience across all retail outlets.
    • Pharmacy Operations:
      • Provide operational oversight of pharmacy operations in collaboration with the Superintendent Pharmacist.
      • Ensure full compliance with Pharmacy and Poisons Board (PPB) regulations.
      • Oversee prescription handling, controlled drugs management, and ethical dispensing standards.
      • Manage pharmacy stock availability, expiry control, slow-moving stock, and supplier coordination.
      • Improve workflow efficiency, patient service flow, and turnaround time.
      • Balance clinical compliance with commercial sustainability.
    • Integrated Governance:
      • Align supermarket and pharmacy operations under a unified operating model.
      • Ensure aligned EOS scorecards and reporting rhythms across retail and pharmacy.
      • Define and enforce clear accountability between Outlet Managers and Pharmacists-in-Charge.
      • Resolve conflicts between retail execution priorities and clinical governance.

    4. Scorecards & KPIs

    • Own and manage the weekly EOS Scorecard.
    • Track and review sales, gross margins, stock variance, expiry losses, shrinkage, and productivity.
    • Ensure leaders know and own their numbers.
    • Use data to drive corrective action and continuous improvement.

    5. Financial Discipline

    • Partner closely with Finance to protect margins and control operating costs.
    • Ensure outlet-level profitability visibility.
    • Support pricing strategies, supplier negotiations, and cost optimization initiatives.
    • Ensure operational decisions are financially sound and sustainable.

    6. People & Culture

    • Ensure the Right People are in the Right Seats across supermarkets and pharmacies.
    • Build strong outlet leadership and middle management capability.
    • Address underperformance swiftly, fairly, and consistently.
    • Embed Xana Life values into daily operations and leadership behavior

    7. Expansion & Scale

    • Lead operational readiness for new supermarket, hub, and pharmacy openings.
    • Coordinate fit-outs, licensing, staffing, training, and go-live execution.
    • Ensure new outlets launch on time, within budget, and fully compliant.
    • Ensure growth does not compromise controls, service quality, or culture.

    8. Process & Risk

    • Ensure all core operational processes are documented, followed, and continuously improved.
    • Reduce dependency on individuals through systems and standardization.
    • Proactively manage operational, regulatory, and compliance risks.
    • Ensure audit readiness across supermarket and pharmacy operations
    •  

     QUALIFICATIONS

    • Bachelor’s degree in Business, Operations, Supply Chain, Pharmacy Management, or related field.
    • MBA or equivalent postgraduate qualification is an added advantage.
    • 8–12+ years’ experience in senior operations leadership within multi-branch retail, FMCG, or pharmacy environments.
    • Demonstrated experience managing regulated environments.
    • Prior exposure to EOS or structured execution frameworks is a strong advantage.
