    Executive Coordinator

    JOB DESCRIPTION

    The Executive Coordinator to the Africa RMD will be responsible for providing direct support to the Africa Region Regional Managing Director and may also support other senior managers within the region as well as take on some direct project management for tasks under the Africa RMD. Reporting to the Africa Regional Managing Director, the position will be based at the Africa Regional office in Nairobi, Kenya

    ESSENTIAL FUNCTIONS

    The Executive Coordinator to the Africa RMD will perform a variety of high-level administrative tasks including domestic and international travel arrangements, meeting logistics, reporting and tracking information, and scheduling for the regional managing director. They will create, oversee, and work to consistently improve communications to all members within the region and other parts of the Conservancy. They will provide operational support to the executive, such as scheduling, travel, support with recruiting and other HR support, regional strategy review scheduling and follow-up, creating/submitting financial and technical reports, weekly leadership team calls and other duties to ensure efficient management. The Executive Coordinator will provide guidance in satisfying requirements based on extensive knowledge of policies and procedures. They will manage operational program guidelines and modify processes to achieve results, improve workflow, and solve problems. They will provide advice, recommendations, and training related to the needs of executive. They must have advanced knowledge of the systems and resources utilized by the region in order to provide support. The Executive Coordinator will work in close cooperation with senior managers, staff, trustees, board of directors, and donors, as well as vendors and business relations. They will manage diverse tasks, analyze situations, evaluate alternatives, project outcomes, and implement solutions in order to improve effectiveness

    RESPONSIBILITIES AND SCOPE

    1. Facilitate effective coordination between the RMD and the Africa Development and External Affairs teams and other fundraising teams across the organization on meetings, proposals, and other business.
    2. Assist the RMD in managing weekly activities and follow up
    3. Assist RMD with expense reporting.
    4. Support Africa Leadership Team weekly calls, including agenda development and follow-up.
    5. Facilitate project and strategy reviews in close cooperation with the RMD and the Africa Director of Conservation
    6. Coordinate with the EA or Chief of Staff of the Chief Conservation Officer on key workstreams that involve the Africa Region RMD (full cost budgeting, SCA priorities, Conservation Team, RMD Team, etc.).
    7. Provide support for new staff interviews for key positions.
    8. Ensure the RMD’s travel schedule is known to key individuals identified by the RMD.
    9. Maintain accountability for strategic goals related to functional area.
    10. Act independently and in supervisor’s stead as needed, exercising independent judgment to identify and solve complex problems.
    11. Develop and implement new initiatives that will ensure department and organization-wide goals and strategies are achieved
    12. Ensure programmatic commitments, Conservancy policies and procedures, financial standards, and legal requirements are met and managed for compliance; decisions may bind the organization financially or legally.
    13. Assist with the development of and work within a budget; negotiate and contract with vendors.
    14. Maintain confidentiality of frequently sensitive and emotionally charged information
    15. Manage and implement multiple projects, including managing budget, setting deadlines, and ensuring accountability.
    16. May manage or participate in complex negotiations.
    17. Travel occasionally, working long and flexible hours, as needed.
    18. Work is diversified and may not always fall under established practices and guidelines.
    19. Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain

    MINIMUM QUALIFICATIONS

    1. Bachelor’s degree and 5 years related experience or equivalent combination, including 2 years providing direct administrative support to a senior manager;
    2. Experience managing and implementing multiple projects;
    3. Excellent communications and detail management skills;
    4. Experience with current technology in relevant field;
    5. Experience working with a wide range of people, such as board of directors, donors, volunteers, and/or all levels of staff across multiple geographies and time zones
    6. Experience negotiating agreements
    7. Experience working with cross-functional teams.

    Finance & Accounting Manager, Africa Region

    JOB DESCRIPTION

    The Finance & Accounting Manager is responsible for the Finance and Accounting activities of the Africa Busines Unit and has responsibility  for the management, maintenance and reporting of financial data , monitoring of management controls and processes to ensure compliance with TNC policies and procedures, relevant legal and regulatory frameworks, and financial management best practice, developing and coordinating tactics for approved plans to meet programmatic commitment, completing and overseeing day-to-day tasks in the finance function. 

    ESSENTIAL FUNCTIONS

    The Finance & Accounting Manager is responsible for managing the activities and personnel for Finance Operations and Accounting of the BU. Responsible for the management, maintenance and reporting of financial data, monitoring of management controls and processes and ensures compliance with TNC policies and procedures, relevant legal and regulatory frameworks, and financial management best practice. Ensures programmatic commitments, are met in a timely manner by developing and coordinating tactics for approved plans. Overseeing day-to-day tasks in the finance function. The Finance & Accounting Manager provides high-level financial analysis to the Africa Council, BU leadership on budgets, and financial performance. Acts as the main point of contact for addressing any inquiries related to financial management, accounting, and operations treatment that arise from across the BU and World Office (WO). Serves as a key resource to staff and management on financial matters, policies and procedures. Responsible for the implementation of finance initiatives rolled out to International programs. Provides training related to finance operations and related policies. Co-leads the fiscal year budgeting process with the Conservation Director. Point person for payments and back up for payroll to ensure smooth running of financial operations and programmatic support to the BU. Manages the finance diary to ensure financial activities are met within set deadlines including end of year close process, the development of year-end projections of expense, periodic analysis of balance sheet accounts and making necessary adjustments. Ensures the accuracy and timeliness of accounting transactions such as journal entries, business and payroll taxes, creation of program Project/Activity and Award charge codes. Responsible for the continuous update of financial information on TNC Connect site. 

    The Finance & Accounting Manager ensures financial reports accurately reflect donor intent, working with development team to perform revenue allocation and ensure costs are charged accurately to respective funding sources. Participates in the design and implementation of finance policies, procedures, and systems to comply with all applicable financial and accounting regulations. Reinforces compliance and consistency across the BU in the organization’s policies and procedures. Reports to the Director of Finance and Operations, Africa region and it will be based in any of the TNC offices in Africa.

    RESPONSIBILITIES AND SCOPE

    1. Manages functional activity towards program’s strategic goals.
    2. Works toward meeting the strategic priorities of the program by developing and coordinating actions for approved plans,
    3. Implements and manages new initiatives, completes, and oversees day-to-day tasks. 
    4. Manages and implements multiple projects.

    8. Ensures programmatic commitments, TNC policies and procedures, financial standards and legal requirements are met and managed for compliance.
    9. Reinforces consistency in the organization’s policies and procedures and provides support. 
    10. May manage or participate in complex negotiation
    11. Focal point person for accounting, bank, payroll, organization tax matters, tax vendors and the BU advisor.
    12. Provide operational support including onboarding new staff, facilitate the opening and closing of a country operation by providing financial guidance and assistance
    13. Ensuring a proper physical and electronic filing system of financial documentation
    14. Conducting periodic field visits to projects to understand the activities, monitor financial activities on the ground and engage with teams. 
    15. Reviews and monitors Income Statement & Balance Sheet items monthly and year-end close to ensure adherence to TNC requirements, reporting and accuracy of the BU reports.
    16. Responsible for the management of local bank treasury to meet BU financial obligations, timely addition, and removal of bank signatories, ensuring compliance to local laws and TNC policy, manages all country bank relations and service standards, approval of monthly bank account and cash reconciliations.
    17. Supervise one or more professional staff with responsibility for training, professional development, and performance management.
    18. Frequent travel may be required; working long hours and weekends occasionally required.

    MINIMUM QUALIFICATIONS

    1. Bachelor’s Degree in Finance, Accounting or Business Administration and 5 years’ managerial related experience or equivalent combination.
    2. CPA or CIA qualification is a requirement.
    3. Experience with accounting principles, practices, and regulations.
    4. Experience with GAAP.
    5. Experience using financial accounting systems.
    6. Experience in Non-Profit accounting experience.
    7. Experience with government regulations related to grants or contracts, including working with applicable U.S. Federal government circulars (OMB Circulars A-110, A-122 and A-133, state and local regulations, and standard contract clauses.
    8. Experience of supporting multiple projects in various locations and/or countries
    9. Experience in MS Office (Word/excel) with technical command of spreadsheets at advanced level, general ledger reports and other financial management tools. Ability to manipulate, analyze and interpret data.
    10. Experience in developing finance related policies and procedures.
    11. Experience in supporting program teams on budgets, reporting, expense charging and interpretation of financial information.

    DESIRED QUALIFICATIONS

    1. Technical expert on complex accounting/financial issues. 
    2. Experience in monitoring, interpreting guidelines, ensuring compliance with organizational policy, applicable law and regulation, and financial management best practices.
    3. Experience in performance management and recruitment 
    4. Experience in the application of regulatory frameworks, for example tax, legal requirements, and organization policies.
    5. Experience evaluating the adequacy and effectiveness of management controls and modifying processes for improvement.
    6. Ability to resolve complex issues independently.
    7. Experience acting as a resource to others to solve problems.
    8. Experience using organizational, analytical, and critical thinking skills to identify and solve problems.
