    Legal Operations Specialist

    RESPONSIBILITIES

    Legal Department Processes and Projects

    • Lead and manage Legal Department projects from planning through successful execution. 
    • Assess, implement and optimize technology solutions, including AI-powered tools, such as contracts management systems, e-signature platforms, online survey tools, reporting hotlines and other digital resources. 
    • Proactively identify, learn and implement digital tools to streamline and support core Legal Department functions. 
    • Develop, update and manage a centralized repository of standard operating procedures (SOPs) and reference materials for Legal Department staff. Serve as Legal Department records custodian. 
    • Oversee SharePoint sites and file libraries in compliance with records retention guidelines and promote information management best practices. 
    • Respond to information requests related to due diligence, proposals and legal disputes 
    • Leverage data analytics tools to create interactive dashboards and reports that provide actionable insights into legal department performance, contract management, and operational metrics. 
    • Use these insights to support data-driven decision-making and promote a culture of continuous improvement and operational excellence. 
    • Conduct legal research as needed to support attorneys. 
    • Provide administrative support, and perform other duties as assigned to support the Legal Department.

    Registrations and Governance Support

    • Support country offices with registration and deregistration of legal entities and assist with subsidiary governance and corporate secretarial functions. 
    • Maintain accurate and well-organized records and respond promptly to requests for documents and information from in-country staff and external legal counsel. 
    • Support nonprofit corporate governance activities, including assisting with IRS Form 990 reporting, preparing board materials, maintaining governance records, and providing general support for board and committee operations.

    Contracts Management

    • Draft, review, and process routine contracts, certificates, and related legal documents. 
    • Maintain and update contract templates and supporting tools to ensure consistency and efficiency. 
    • Oversee the Legal Department’s contract intake, triage, and review workflow to promote timely processing and uniform application of legal standards across all agreements.

    Required Qualifications:

    • Undergraduate degree
    • 5-8 years of relevant experience in legal operations, corporate paralegal, or similar role, preferably within an in-house legal department
    • Experience supporting the evaluation and adoption of emerging technologies to improve legal workflows, increase efficiency, and drive innovation within the Legal Department.
    • Advanced proficiency with Microsoft Office tools and SharePoint. Demonstrated ability to quickly learn and effectively use new software platforms; highly tech-savvy and adaptable.
    • Strong problem-solving skills and sound judgment, with the ability to work independently, manage shifting priorities, and perform effectively in a fast-paced, dynamic environment.
    • Exceptionally organized with proven project management capabilities and keen attention to detail.
    • Excellent verbal and written communication skills, with the ability to manage complex or sensitive matters with professionalism, discretion, and sound interpersonal judgment.

    Project Manager, Global HR Data Implementation

    JOB SUMMARY

    • The Project Manager will lead the planning and execution of a global HR data initiative as part of CARE’s broader Oracle implementation. This role will focus on deploying Oracle Core HR to capture essential workforce data across CARE’s global offices. Reporting to the Senior Project Manager for Supply Chain Transformation, the Project Manager will coordinate with stakeholders from human resources, regional and country offices, and our implementation partner. They will also work closely with internal project team members, including change managers, a business analyst, and a data analyst, to ensure alignment, progress tracking, and successful delivery of project milestones. This role is critical to enabling CARE to make data-informed decisions about its global workforce. 
    • This position is currently funded through June 30, 2026. There is a strong possibility of extension beyond this date, contingent on organizational decisions to expand the scope of HCM functionality and the availability of additional budget.

    RESPONSIBILITIES

    • Project Planning and Execution
    • Lead the day-to-day management of the HR data implementation workstream, including maintaining the project plan, tracking milestones, and ensuring timely delivery. This ensures the organization can meet its strategic goal of capturing accurate, centralized workforce data.
    • Stakeholder Coordination and Communication
    • Serve as the primary liaison between the project team and human resources stakeholders at HQ, regional, and country levels. Facilitate meetings, manage communications, and ensure alignment across diverse teams to support smooth implementation and adoption.
    • Risk and Issue Management
    • Identify, document, and mitigate risks and issues related to the HR data workstream. Proactively escalate challenges and collaborate with cross-functional teams to resolve blockers, ensuring project continuity and success.
    • Documentation and Reporting
    • Maintain clear and organized documentation, including meeting notes, decision logs, and status reports. Provide regular updates to leadership and contribute to knowledge sharing across the transformation team.

    Required Qualifications:

    • Bachelor’s degree in project management, business administration, HR systems, or a related field. (Significant relevant experience can substitute for a specific degree, where warranted.)
    • Project management certification (e.g., PMP, PRINCE2) or equivalent experience.
    • Strong organizational and communication skills, with the ability to manage multiple stakeholders across time zones.
    • Availability for meetings between 7–11am in the US Eastern time zone
    • 4 years of project management experience, including at least one implementation of an HCM or HRIS system.
    • Experience working in large, geographically dispersed organizations.
    • Proficiency with Microsoft 365 tools, especially Excel and Teams. Exceptional PowerPoint skills, with a strong eye for design, clarity, and visual storytelling.
    • Strong understanding of waterfall project management methodology.
