    Data Administrator/ Tracing Secretary

    Job Description

    The Data Administrator/ tracing secretary supports the Protection office in its data management processes. S/He monitors the Restoration of Family Links (RFL) -related forms and updates the data in the system. This is a national/resident position based in Nairobi, Kenya.

    Duties and Responsibilities

    1. Receives and dispatches all mails received from ICRC Delegation and Somali Red Crescent Society (SRCS)
    2. Prepares the monitoring list and forms and dispatches the same to the relevant office
    3. Updates the ICRC data base related to the opening of tracing cases
    4. On a bi-annual basis extracts a report on all pending tracing cases and shares it with SRCS Tracing Coordinators for follow up purposes
    5. Captures the feedback received into the system and ensures that all closed cases are updated accordingly
    6. Ensures conformity to the set procedures and adherence to quality standards during the data entry for all the Restoring Family Links (RFL) cases
    7. Ensures proper record management and routinely files the enclosure list of pouches dispatched and received
    8. Follows up and ensures that the tracing documents are returned to ICRC after broadcast

    Minimum qualifications and required competencies

    1. Bachelor’s Degree in Business Administration, Business Management or equivalent qualification in a related field of study
    2. 2 years’ experience as a Data Administrator in a busy environment
    3. Solid experience in data management and familiar with various databases/software
    4. Fluency in written and spoken English and Somali language
    5. Excellent organizational and communication skills
    6. Ability to work independently and in a multicultural environment
    7. High level of confidentiality
    8. Proficiency in MS Office Suite

    Buyer 1

    Job Description

    Buyer 1 supports the procurement process in accordance with ICRC rules and regulations. This is a national/resident position based in Nairobi.

    Duties and Responsibilities

    1. Overall responsible for procurement files for transport related to Fleet rental and the vehicles movements
    2. Monitors contracts, frame agreements expenditure; follows-up on their validity and prepares extensions where applicable
    3. Follows up on invoices received for payment; compiles and reconciles suppliers’ invoices against purchasing documentation
    4. Monitors prepayment requests and keeps track of related delivery status
    5. Follows up on purchases, deliveries and checks that they comply with specifications and contract details
    6. Conducts purchase-payment reconciliation and their settlement with Finance
    7. Resolves transactional problems with financial services and suppliers
    8. Drafts requests for tenders/quotations, selection tables, frame agreements and contracts and submits to the Line Manager for review.
    9. Creates and maintains suppliers and product files and databases
    10. Maintains proper Purchase Order files and ensures that all relevant documents are filed accordingly as per the filing system
    11. Follows the delivery schedule of the services as per terms in the purchase contract / frame agreement and applies delay penalty where necessary
    12. Ensures that relevant copies of contracts are distributed to different sites
    13. Reports any problems/issue in relations to purchases, quality, price and highlights any unusual requests
    14. Completes his/her files and submits in “Paper Less Profiles” for Country Procurement Manager validation – he/she is the custodian of the file and responds timely to the comment/s from reviewer
    15. Promotes adherence to the logistical practice principles and compliance to the ICRC procedures.

    Minimum Qualifications and Required Competencies

    1. Degree in Logistics & Procurement Management, Warehousing, Purchasing & Supply Management, or equivalent qualification in a related field of study
    2. 3 years’ experience in Logistics or Procurement
    3. Good knowledge of and experience with financial rules, procurement procedures and supplier management
    4. Good knowledge of the local market(s)
    5. Excellent command of written and spoken English
    6. Computer proficiency especially in MS Office suite
