    Store Clerk (Nairobi)

    Introduction

    The job holder is responsible for optimal materials availability aimed at optimizing flow and delivery of materials to our manufacturing site. The job holder will also be in-charge of maintaining established inventory levels that support business objectives while ensuring Specified Quality and technical specifications are met during receipt and storage. He/She is also responsible for driving continuous improvements in the area of management of materials under his/her purview.

    Specification

    • Manage raw materials receipt and storage in reference to defined specifications and food safety requirements.
    • Planning and reporting on raw materials based on utilization rates, S&OP requirements
    • Establish optimized inventory targets, replenishment processes and materials flow to manufacturing site to achieve Production plans, efficiency and productivity goals
    • Monitor daily inventory levels (raw materials, WIP, consumables etc) and maintain direct communication with key internal stakeholders ensure sufficient stock is available to manufacture scheduled product
    • Categorize materials received into batches and shelf-life dates to assure proper traceability and stock control
    • Liaison with Procurement, user department and Quality Departments on quality of inbound materials for accuracy and compliance.
    • Manage the tracking and reduction of inventory waste associated with handling of various material and related transfers.
    • Carry out weekly and monthly stock take as defined in the stock take procedure.
    • Carry out aging analysis of Stock and advise the immediate supervisor on any foreseeable risks on monthly basis.
    • Ensure materials received and duly inspected are processed timeously in the system
    • Ensure materials issue out / dispatching is authenticated, inspected and issued out in the system
    • Ensure warehouse space optimization
    • Manage stock reservation/booking for tax declaration on raw materials under Customs control (Bond) on a timely manner within stipulated leadtime.
    • Keep proper custody of all stocks and records in compliance with the QMS procedure

    Requirements

    • Diploma in a business-related field
    • Knowledge in Food safety requirements is necessary
    • At least two (2) years’ experience in handling stores management in FMCG preferably in a food industry
    • Practical experience in use of MS packages and ERP systems.
    • Knowledge in Food safety requirements is necessary
    • Excellent verbal, written and interpersonal communication skills
    • Proficient in Microsoft Office
    • Ability to work well with others, self-motivated, the ability to multi-task in a fast-paced environment
    • Demonstrated organizational skills and ability to manage multiple priorities within established deadlines

    Store Controller

    Introduction

    Custodian of the inventory in materials Stores and the winery. Responsible for the effective stock management and offers an effective and efficient customer service delivery to all stakeholders in the supply chain as well as well as ensuring that all requisite regulatory compliances are adhered to.

    Specification

    • Area 1: Stock Management Operations
      • Ensure optimal stock availability based on the prevailing demand and S&OP forecast.
      • Prepare daily work plans and ensure smooth execution and completion of tasks assignments to meet the business needs.
      • Supervises and carry out confirmation on receiving and dispatching of stock as per laid down procedures.
      • Coordinate and accurately maintain and update Bin Cards / system posting for all the stock movements in the assigned store at all times.
      • Plan and oversee the loading and offloading of stocks in an efficient and effective manner.
      • Ensure proper stock rotation is practiced in the warehouse at all times to eliminate expiries and damages in line with the stock policy/procedure.
      • Conduct regular weekly and monthly stock take of all stocks in the warehouse and account for any observed variances promptly as per laid down stock procedures.
      • Coordinate effectively handling of customer product returns from customers service as per product return guidelines and customer complaint policy/procedure.
      • Ensure the inter-warehouses stock transfers are keyed in the system in an accurate and timely manner.
      • Prepare daily stock movement (reconciliations) and weekly out of stock, aging report, write-off tracking.
      • Take charge of forklift operations including LPG gas usage and overall maintenance cost.
      • Ensure all the customers’ orders are fully processed, dispatched and delivered as per approved orders.
      • Record and maintain a tracker showing goods damages/breakages are investigated, root causes determined and a review of corrective and preventive action is undertaken and closed within the month of occurrence.
      • Ensure storage space optimization in materials stores
      • Coordinate handling of empties/returnable glass/crates and accurate reporting as per laid down procedures
    • Area 2: Compliance
      • Keep proper custody of all stocks and records in compliance with the QMS procedure
      • Plan and oversee the arrangement and cleaning of the assigned warehouse as per Health, Safety and Environment requirements.
      • Coordinate annual renewal of requisite licenses including Inspection and Insurance certificates for the Forklifts.
    • Area 3: Team Management
      • Appropriately offer support and coach the Store Clerks and support staff (outsourced) skills in material handling to effectively and consistently address customer needs.
      • Support the HR to engage and retain talented individuals and create an environment where they can realize their full potential and contribute to the attainment of departmental and organizational goals.
    • Area 4: Planning
      • Participate in Weekly production planning for insights on stock availability as well as alignment on materials issuance.
      • Give feedback to internal stakeholders on non-fulfilled call offs for timely intervention and mitigations.

    Requirements

    • A Bachelors’ degree in a business-related field.
    • At least three (3) years’ experience in stock management with at least one (I) year being in a supervisory position in a similar organization.
    • Practical experience in use of MS packages and ERP systems.
    • Demonstrate sound judgment and problem solving skills
    • Excellent communication skills both written and oral.

    • Demonstrated leadership abilities.
    • Strong attention to detail and the ability to determine the root cause of a problem.
    • Ability to set priorities and work independently within set guidelines.
