    Monitoring and Evaluation Associate (Kenyan Nationals Only)

    DIVISION / DEPARTMENT: RESEARCH AND KNOWLEDGE MANAGEMENT PROGRAMME

    JOB PURPOSE: To assist under the direct supervision of the program Officer in designing, coordinating and implementing the monitoring and evaluation, research, and learning framework of the organization and projects.

    REPORTING LINES: Program Officer – Research and Knowledge Management Programme

    KEY RESPONSIBILITIES:

    • Assist the program Officer in designing and implementing projects and organisational M&E activities.
    • Assist in the development/ updating of monitoring framework to improve projects’ qualitative and quantitative evidence gathered.
    • Assisting the Program Officer in preparing monthly, Quarterly and Annual project progress reports.
    • Support in measuring, monitoring and assessing project activities and performance against the performance indicators on a regular basis.
    • Assist in the development of M&E tools such as projects log frame matrix, data collection tools (surveys, questionnaires etc) and performance indicators and their measurement.
    • Assist in routine data collection and accurate analysis and generation of reports from entries in the clients’ management system.
    • Ensure proper filing of M&E documents including questionnaires, monitoring reports, datasets among others.
    • Identify lessons learned and develop case studies to capture qualitative project outputs.
    • Such other duties temporarily or on a continuing basis, as may reasonably be required, commensurate with your grade.

    QUALIFICATIONS & EXPERIENCE:

    1. Bachelor’s degree in Social Sciences, Project Management or Statistics or a related field.
    2. 1-2 years’ experience in Monitoring & Evaluation
    3. Experience with Monitoring & Evaluation systems in NGO context is an added advantage.
    4. Experience in qualitative and quantitative data collection methods
    5. Strong analytical and report writing skills
    6. Good team player with excellent multi-cultural interpersonal skills able to exercise diplomacy, flexibility and assertiveness.
    7. Technology Awareness. Fully proficient computer skills and ability to use relevant software applications, in particular information databases, internet/intranet services, library sources etc

    Project Associate – Procurement/HR (Kenyan Nationals Only)

    DIVISION / DEPARTMENT: INSTITUTIONAL SUPPORT & DEVELOPMENT

    JOB PURPOSE: Under supervision of Finance and Admin Officer, s/he will be in charge of procurement as well as support human resource and office administration functions.

    REPORTING LINES: Finance & Administration Officer

    Staff reporting to this post: Interns/Volunteers

    KEY RESPONSIBILITIES:

    • The Project Associate, Procurement / with some human resource and admin functions will liaise with the project and programme officers to determine organization purchasing and logistics needs based on project specifications.
    • Ensure procurement best practice is followed using the detailed guidelines provided in the RCK’s Procurement Manual SOPs.
    • Receive and review procurement requests and initiate procurement procedures for RCK equipment, supplies and services in a transparent and cost effective manner.
    • Assist with the preparation of Request for Quotation, Initiations to Bid, Requests for Proposal and co-ordination of their timely dispatch, in consultation and collaboration with the relevant project and or programme officers.
    • Filing, invoicing, record keeping, following up payments, order disbursement and distribution, responding to inquiries, quotations.
    • Maintain appropriate records such as vendor quotes, purchasing requisitions, purchase orders and reports to ensure that procurement process decision, and contractual agreements are accurately documented for accountability and audit purposes.
    • Assist in any internal and external audits and the maintenance of a running list of previous audit recommendations and the status of their implementation.
    • Maintain regular contact with contracted suppliers to monitor adherence to delivery period according to the terms of procurement agreement.
    • Preparation and sharing of procurement reports with the management team once the process is complete.
    • Assist HR in revising and updating job specifications/descriptions for various positions within the organization.
    • Assist the HR Officer in drafting of written reports, memos, letters, and policies.
    • Assist in developing long lists of applicants, planning for interviews and responding to unsolicited applications.
    • Assist HR during the drawing of new staff contracts and annual renewal of contracts.
    • Assisting in the management of the staff annual leave schedule for the organization in adherence with the HR policies.
    • Propose improvements to the RCK procurement, Logistics and HR processes.
    • Train procurement committee on procurement guidelines and standards.
    • Assist in running of the staff welfare program for all staff.
    • Maintain cordial relations with RCK vendors and suppliers of goods and services.
    • Such other duties temporarily or on a continuing basis, as may reasonably be required, commensurate with your grade.

    QUALIFICATIONS & EXPERIENCE:

    1. Higher diploma in Supply chain management, Procurement, business administration, Human Resources or related field
    2. A minimum of one-year experience in procurement.
    3. Experience in Logistics, communication and human Resources Management is an added advantage.
    4. Conversant with laws and regulations governing public procurement and asset disposal
    5. Must be reliable and should accurately follow instructions with the ability to multitask and acclimatize in a fast-paced environment.
    6. Ability to coordinate sourcing strategies and developing a comprehensive supplier base for the supply of goods and services.
    7. Outstanding administrative, communication and negotiation skills.
    8. Familiar with Employment and Labour Legislation of Kenya.

    Project Officer – Fundraising (Kenyan Nationals)

    DIVISION / DEPARTMENT: EXECUTIVE DIRECTOR

     

    JOB PURPOSE:

    • Contribute to the achievement of RCK mission by coordinating fundraising initiatives and increasing funding streams to enable RCK achieve its objectives as well as explore opportunities to ensure RCK is responsive to the changing environment. He/She will have strategic guidance from the Senior Programme Officer, and work in consultation with and with the support of relevant programme heads.

    REPORTING LINES: Executive Director

    KEY RESPONSIBILITIES:

    • Lead RCK’s fundraising initiatives through development of project proposals, writing concept notes and project ideas.
    • Work closely with the PO Research and Knowledge Management, exploiting lessons learned and achieved outcomes in developing new programmes that are attractive to donor community in refugee protection.
    • Advise the Executive Director on RCK’s fundraising strategy(ies).
    • Maintain complete and orderly records/database of current and potential donors.
    • Support regular donor communications in consultation with the Executive Director.
    • Build upon existing donor relationships and form new donor relationships on a regular basis.
    • Contribute updates of fundraising events and activities for the RCK Newsletters.
    • Organize or provide assistance in organizing any fundraising events for the organization.
    • Leverage technology and social media where possible to improve fundraising activities by regularly monitoring websites identifying and informing donor opportunities matching the work of the organization.
    • Stay abreast of fundraising good practice and legislation, ensuring compliance with the NGO Board rules and other relevant regulations.
    • Support timely response to donor requests related to grants agreements, budgets and spending.
    • Participate in RCK’s ongoing projects in other programmes, such as Advocacy Campaigns, Capacity Building workshops etc when called upon.
    • Suggest other innovative ideas for effective resource mobilization.
    • To take part in RCK functions as may be specified from time to time and any other duties as prescribed by management

    QUALIFICATIONS & EXPERIENCE:

    1. Degree in social science including project management, Communication, Community Development, Business Administration with experience in fundraising.
    2. 3 years’ hands on experience working in fundraising and grant management process in an NGO such as RCK.
    3. Demonstrated ability to establish new funding streams within reasonable time.
    4. Ability to set and accomplish goals and targets.
    5. Excellent writing and communication skills.
    6. Demonstrated experience maintaining accurate records including data entry, extraction, analysis, monitoring and compliance.
    7. Demonstrated ability to liaise with relevant internal and external stakeholders and build constructive and effective relationships.
    8. Excellent time management skills with the ability to handle the administration of projects within tight timeframes and perform under pressure.
