    Programme & MEL Coordinator-SEI

    Duties and responsibilities

    Programme Coordination role

    • Monitors and reports back to Project Leads, Programme Managers and centre director on project financial gaps and challenges to ensure efficient resource allocation and spending through a consultative process.
    • Ensures monthly timesheets are approved as per allocation and Centre’s timeline.
    • Ensures proper budgeting and financing of proposals and projects based on the resource allocation and agreed requirements and allocation.
    • Ensures the centre project management Tools are updated with precise project information according to donor agreement and amendment.
    • Ensures project and work plans are clear for all projects, and ensure time planning of team members is correctly updated in the centre time management system.
    • Shares the monthly financial reports to the team for the review by project managers regarding resource spending and planning. 
    • Ensures timely update for teams to deliver donor reporting, including supporting finance team on the invoices and financial reports.
    • Supports the team in planning and project implementation, for example by taking minutes of meetings and assisting in event organization.

    MEL Role

    • Lead the design and implementation of MREAL result frameworks and ‘Theory of Change’ for centre and programmes.
    • Integrates MREAL in project design, implementation, and reporting.
    • Implement and optimize online solutions for MREAL in projects and programmes.
    • Oversee data collection, assess project progress and results, and generates insights to refine project design and implementation.
    • Update project results frameworks as needed.
    • As appropriate, train and guide partners and stakeholders in MREAL and field monitoring.
    • Manage administrative and reporting tasks related to projects, including time reporting and expense claims.

    Fundraising & Partnerships

    • Identify opportunities, support fundraising and enhance multi-stakeholder partnerships for SEI Africa’s portfolio.
    • Supports fundraising initiatives, donor profiling, and coordinates the Centre’s monthly funding opportunities update to the team. 
    • Provides support to proposal development by ensuring the internal project management tool process and advising on donor requirements. 
    • Assists in building and expanding strategic partnerships and networking with governments, civil society organizations, the private sector and donors in implementing research project activities and developing new research projects.  
    • Supports in preparing documents (e.g. agenda, work plan, reports, publications, proposals) related to research projects as assigned.
    • Performs other tasks that might be assigned by the Project Leader, Line manager and the team.

    Leadership and Management

    • Provide technical leadership in the design, development, planning, budgeting, and implementation of the project MREAL frameworks
    • Actively oversees implementation, reporting, monitoring and learning of projects and results.
    • Provides professional and ongoing guidance to MREAL/MEL work for the research staff under the Programme, addressing professional and competence development.
    • Committed to supporting the employees in the Programme through a significant presence in the office, and availability to handle issues arising.

    Requirements

    • A Bachelor’s degree with at least four years of work experience, or a Master’s degree with at least two years in relevant fields. 
    • Proven experience in project administration, coordination and working within interdisciplinary teams.
    • Knowledge of project management, MEL and finance/budgeting
    • Certification and/or training in project management
    • Knowledge of climate finance, policy, sustainable development, and participatory research.  
    • Experience in the Africa region. 
    • Proficiency in an Asian language is an advantage.

    Project Administrative Assistant – BMI/BRS- CIMMYT

    Duties and responsibilities

    • Provide general administrative support  Africa-based BMI and BRS program staff and projects.
    • Organize and lead BMI and BRS regional workshops and trainings, including basic budgets, advances, reimbursements, and logistics arrangements such as visa applications, invitation letters, accommodation, flight tickets, airport transfers, and venue selection. Work with the Program Admin Coordinator to organize international workshops/trainings.
    • Assist with onboarding new staff: support country moves, computer allocation, phone purchase, vehicle allocation, driving license acquisition, and help with accommodation and office setup.
    • Responsible for timely local payments and keeping simple account of payments/reimbursements, preparing travel reports and travel expenses for IRS Staff credit cards.
    • Managing the BMI/BRS infrastructure, including procurement of supplies, ensuring best practices on procurement guidelines.
    • Coordinate all communications with members of the organization, external stakeholders, and meeting follow-ups.
    • Provide monitoring support in all routine matters as requested by the Administrative Coordinator and in cases of absence, when required, to keep abreast of all commitments and tasks.
    • File correspondence, including incoming/outgoing correspondence, maintaining data, and ensuring proper records are maintain in good order.
    • Other support tasks as required: representing BMI and BRS in CIMMYT country/regional administrative meetings, taking minutes, maintain a staff travel.
    • Perform any other tasks and assignments related to as directed by Administrative Coordinator.

    Requirements

    • Bachelor’s degree in business administration, Communications, or a related field.
    • At least 3 – 4years of experience as a program/project administrator assistant or a similar role, preferably in an international or non-profit organization setting.
    • Familiarity with ERP tools, Icertis, and ticketing systems
    • Strong troubleshooting and diagnostics skills
    • Understanding of business functions (HR, Finance, Procurement, Grants)
    • Excellent communication and interpersonal skills
    • Experience working in multicultural, multi-country contexts
    • Familiarity with Microsoft tools (Teams, SharePoint, Office 365).
    • High level of discretion and confidentiality.
    • Ability to work effectively in a multicultural team environment and under tight deadlines.
    • Ability to work independently and well within teams.
