    Accountant

    Responsibilities

    • Settling the company records of accounting by determining the exact amounts payable as well as those pending for cash receiving.
    • Cross-check all the entries in the various accounting books and financial statements ensuring all records are accurate and also adopt immediate measures to solve the accounting problem.
    • Timely preparation of all management reports; Profit and loss, cash flow statement, Balance sheet.
    • Co-ordinate with various parties for signing financial contracts and agreements, with thorough adherence of legal issues.
    • Preparing and submitting financial reports including weekly, monthly operating reports, financial statements, audit reports, inventory, and capital purchases.
    • Ensuring the transparency and efficiency of the organizations financial operations and to safeguard compliance with reporting guidelines.

    Qualifications

    • Degree in Business Administration or BCOM (Accounting option)
    • Minimum qualification: CPAK Certified Public Accountant Kenya
    • At least 2 years' experience as an accountant. Experience from logistics industry will be an added advantage.
    • Entirely proficient in Microsoft Office and accounting softwares with a bias to Quickbooks
    • Excellent communication skills
    • Ability to work well under pressure without compromising work quality or standards
    • Superior attention to detail and accuracy

    Declaration Clerk

    Responsibilities:

    Shipment Documentation.

    • Confirmation/verification of received shipment documents.
    • Advising on additional information /documents required.
    • Confirmation of invoices to ensure values tally with customs valuation for similar items.
    • Confirmation and advice on HS Codes to be used for IDF/ entries.
    • Ensure documents in files are correct and in order.
    • Shipment Declaration

    Applying IDF on the KENTRADE System.

    • Registering customs entries for all regimes- Export, Imports, Warehousing, Transit and Transshipments.
    • Preparing the required clearance documents for Port Clerks.
    • Follow up with KRA, Kentrade and other government agencies for approval of entries, IDFs and other permits respectively.
    • Advising company and clients in respects to declarations.
    • Ensure timely resolving of declaration issues with authorities.
    • Attend meetings and forums especially those related to Customs Documentation.
    • Cargo Payments

    Operations & General

    • Ensure forwarding clerks have all required documents for clearance of cargo at KPA, CFS & KRA.
    • Tracking shipments and updating customers on arrival information.
    • Assist to sort out any tariff dispute by the custom officers during clearance and clarification on declaration in case it's required.
    • Follow up with the port staff for clearance of goods and advise the transport department on the same.
    • Advise the Operations and sales team on the customs procedures, clarifications, duty tariff codes that might be required by the client.
    • Advice management on correct and most preferred course of action to overcome technicalities that may arise in declaration or clearing operations so as to help realize growth.
    • Be conversant with the general forwarding office administration roles such as filling. Timely submission of daily, weekly and monthly Declaration Report to Operations Manager.
    • Any other duties assigned by the Management from time to time.

    Qualifications

    • At least 1 year of experience in a similar role
    • Diploma/Degree in related fields
    • EACFFPC/KRATI/KESRA Certification
    • Single Window, TRADEX and KENTRADE with vide usage of TRADEX and KENTRADE
    • Excellent Knowledge of Live Animal Regulations
    • Must know HSCODE to be used for IDF entries.
    • Experience with/knowledge of KRA ICMS system
    • Experience and full understanding of Air freights and Sea Freights clearance procedures.
    • Excellent knowledge of KENTRADE, TRADEX, ASYCUDA and TANCIS online systems.
    • Excellent Interpersonal & Communication Skills.
    • Attention to details
    • Ability to work long and strenuous hours.

    Reception

    Responsibilities

    • Greet and welcome guests as soon as they arrive at the office
    • Direct visitors to the appropriate person and office
    • Answer, screen, and forward incoming phone calls
    • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
    • Provide basic and accurate information in person and via phone/email
    • Receive, sort, and distribute daily mail/deliveries
    • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
    • Order front office supplies and keep an inventory of stock
    • Update calendars and schedule meetings
    • Arrange travel and accommodations, and prepare vouchers
    • Keep updated records of office expenses and costs
    • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

    Requirements

    • 2-3 years of Proven work experience as a Receptionist, Front Office Representative, or similar role
    • Diploma in Office Management, Business Administration, or any other related course
    • Proficiency in Microsoft Office Suite
    • Hands-on experience with office equipment (e.g. fax machines and printers)
    • Professional attitude and appearance
    • Solid written and verbal communication skills
    • Ability to be resourceful and proactive when issues arise
    • Excellent organizational skills
    • Multitasking and time-management skills, with the ability to prioritize tasks
    • Customer service attitude
