    Supervisor.Expenditure

    Job Purpose Statement:

    Ensure all supplier invoices /claims are paid by their due dates and expenses are reported in the right cost-lines and cost centers in the correct financial period

    Principal Accountabilities (KEY Performance areas):

    • Ensure supplier invoices are processed and paid by their due dates to meet contractual obligations.
    • Ensure supplier invoices are subjected to statutory deductions in compliance with various tax authority’s requirements
    • Ensure supplier invoices are coded to the correct account code and cost centre and are accounted to the right financial period for proper financial reporting.
    • Liase with all outstation accountants to get supplier invoice posting and payment status report to ensure completeness of liabilities and expenses.
    • To ensure all invoices processed are well supported with a signed contract
    • Ensure timely response and update on supplier queries and internal stakeholders.

    • Follow up on timely approvals of invoices with respective approvers to avoid delays

    Accounts Assistant.Credit Control

    Description

    Job Purpose Statement:

    The role’s purpose is to monitor, follow up and secure debts on account for the company while maintaining accurate debtor accounting records at the recommended ageing levels in order to facilitate a high level of cash flow in line with the company’s credit policy. This role requires an individual with strong interpersonal skills and an understanding of the business in order to engage both internal and external customers on debt collection. The individual should be able to discern credit risk exposure that is inherent in the debt portfolio he or she manages.

    Principal Accountabilities (KEY Performance areas):

    • Interface of all accounts receivable files into the financial accounting system (ERP) to reflect the correct position of accounts receivable.
    • Ensure prompt and correct billing and subsequent dispatch to the right parties to aid in prompt payment to ensure and increase cash flow. 
    • Manage the outstanding sales balances falling due before becoming over due to confirm payment to ensure projected cash flow levels as per the company credit policy.
    • Initiate proceeding against potential defaulters to safeguard the company against bad or doubtful debts.
    • Ensure no unapproved credits are offered to mitigate the chances of loss from lack of payment.
    • Provide the correct bank information to clients so as ensure funds are banked to the right account for receipting and subsequent allocation to the right debtor’s accounts.
    • Prepare and dispatch of statements to ensure that clients are aware of the right level of debts owed.
    • Reconciliation of the subsidiary company AR (Accounts Receivables) accounts to the general ledger accounts to match the AR in the general ledger accounts.
    • Reconciliation of all the subsidiary company accounts with the holding company to ensure accuracy and correctness on the financial statements.
    • Initiate adjustments/ refunds with Revenue Accounting to mitigate loss of funds through excessive refunds.
    • Monitor the validity and adequacy bank guarantees /cash deposits against sales performance to minimize risk of exposure from bad debt.
    • Risk assessment of the debtors and guarantors to establish their credit worth.
    • Initiate placement of guarantees in the company’s custody.
    • Initiate the appraisal process of prospective clients and stations for credit approval in order to extend credit facilities to be offered.
    • Hold regular meetings with credit clients to resolve pending queries and disputes to maintain good working relations.

    Job Purpose Statement:

    To ensure and maintain a healthy, safe and secure working environment, in compliance with the relevant industry regulatory and legislative requirements, company procedures, regulatory authorities and requirement of the customer airlines.

    Operate ground support equipment (GSE) in accordance with company operating procedures and regulatory authorities while ensuring healthy, safe and secure work practices.

    Principal Accountabilities (KEY Performance areas):

    • Embrace and maintain a positive safety culture, healthy and secure working environment in compliance with company procedures, regulatory authorities and requirements of customer airlines.
    • Operate GSE within the safety regulations in adherence with standard operating procedures to avoid accidents and injuries.
    • Only operate GSE for its intended use.
    • Only operate GSE for which adequate training, and qualification has been received and if authorized by the line manager.
    • Prepare, check and position all necessary GSE in preparation of the aircraft turnaround.
    • Report any irregularities during loading / offloading to Turnaround Coordinator.
    • Note any defects on the equipment and report any deficiency to the Line manager.
    • Never operate the GSE while using hand-held portable electronic devices.
    • Ensure and maintain cleanliness of GSE.
    • ntify and report hazards, near misses, incidents and accidents whilst participating is mitigation briefings
    • Maintain required levels of certification/licensing to ensure safe and effective use of equipment. Any certification expiry should be reported to the line manager.

    Description

    Job Purpose Statement:

    Adhere to accurate Loading and offloading by delegation, as well as coordinate, oversee and supervise the activities for the overall turnaround of aircraft.

    • Ascertain all aspects of aircraft preparation in readiness for offloading/loading as per standard operating procedures.
    • Ensure compliance between loading instructions and load presented for loading whilst strictly adhering to the instructions unless authorized to deviate.
    • Provide leadership and direct supervision staff who are undertaking all loading and equipment operations activities associated with turnaround to ensure conformity with all Standard Operating Procedures.
    • Champion ramp safety by effectively enforcing ramp standard operating procedures to reduce ramp incidents and accidents ensuring healthy, safe and secure working environment.
    • Ensure on time and proper completion of offloading and loading of cargo and baggage for efficient delivery for both Kenya Airways and customer airlines.
    • Report torn, leaking and oversize packaging and defective ULD’s before loading and when offloading
    • Ensure ULDs properly with locks and bulk loads correctly with nets and approved tie downs complying to correct lashing / load spreading.
    • Ensure that special loads, including Dangerous Goods are stowed according to regulations and Carrier operating procedures.
    • Upon completion of loading, communicate the final loading to the Load controller.
    • Ensure correct baggage reconciliation procedures are met and documentation completed before aircraft departure
    • In absence of a dedicated Turnaround coordinator wide body, be the central point of liaison with all stakeholders and coordinate the turnaround.
    • Optimize maximumly all the allocated resources and tools of work
    • Raise casual operator’s forms to ensure billing for services rendered.
    • Monitor sequence activity against agreed station turnaround plan and timings.
    • Establish and maintain constant ground to cockpit communication in a clear and precise manner (if authorized and when required to do so)
    • Identify and report hazards, near misses, incidents and accident within the turnaround process. Adhere to KQ WAY principles and best practices

    Check-in Controller FMU.Customer Services

    Description

    Responsible for 24-hour helpdesk support of Kenya Airways Check-in Systems throughout the Network and Customer Airlines within the scope of the Service Level Agreement for optimal and accurate operation.

    The role holder will be required to do the following,

    • Provide efficient, high quality customer service in day to day operations for Kenya Airways, Customer Airlines and alliance partners according to the agreed Service Level Agreements and Company Policies to improve overall experience within Kenya Airways network.
    • Serve as first level helpdesk for Kenya Airways network Check-in System related queries.
    • Ensure Flight creation at Check-in System by -50hrs to STD for all Kenya Airways and Customer airlines.

    • Champion Revenue Realization and Assurance through correct flight processing.
    • Effect and co-ordinate aircraft changes, time updates, route changes and any other updates as requested by customer airlines within 48 hours.
    • Effect changes made by IOCC through Disruption Transfer for passengers affected by cancellations, diversions and re-routing within 0 – 6 hours.
    • Handle queries and complains originating from Check-in System usage.
    • Performance of Inter-Airline Through Check-in tests with partner airlines and screening flights to ensure is successful.
    • Monitor the efficiency of Check-in System by analyzing reported system generated errors for Kenya Airways and Customer Airlines and raise incident reports with the system provider.
    • Check-in System log in Security Administration.
    • Support Check-in System projects.
    • Ensure up to date compliance on all mandatory and functional trainings.
    • Adhere to Kenya Airways best practices.

    Qualifications

    • O Level C+ (Plus).
    • Diploma in Hospitality or customer service discipline or its equivalent with 3 years airline experience in Airline Check-in Supervisory Level or Equivalent qualification.

    Flight Dispatcher.Operations Control

    Description

    To provide, prepare and brief pilots with timely, adequate, updated flight documentations and relevant information in compliance with the conditions and limitations specified in the AOC so as to ensure safe conduct of flights. Keep sufficient flight watch and monitor flight progress in accordance with Operational Manual and KCARs requirements.

    Key Accountabilities:

    • Prepare process and provide all updated dispatch documentation and information for readiness of flight crew briefings.
    • Provide timely briefing to flight crew, in conformity with Company policy and Civil Aviation Regulations for safe operation of the flights.
    • Provide Aeronautical Information Service (AIS) and meteorological pre-flight briefing for all crew departing from Nairobi and other stations where applicable.
    • Advise Load Control on any payload status on the sector(s) to be flown to maximize payload.
    • File all ATS flight plans with the relevant Civil Aviation Authorities and communicate any changes thereof in good time in accordance with legal requirements.
    • Monitor all assigned aircraft for restrictive Operational MEL/CDL and plan flights considering the restrictions in consultation with the MCC.
    • Ensure implementation of safety, security and emergency standards at all times.
    • Ensure and maintain a healthy, safe and secure working environment in compliance with the relevant industry, regulatory and legislative requirements, company procedures, regulatory authorities and requirements of customer airlines.

    In carrying out the above roles, the Flight Dispatcher shall put emphasis on the following tasks:

    • Preparation and processing of flight plans for all flights departing from Nairobi and other stations as appropriate.
    • Pre-flight analysis, interpretation and briefing of meteorological data and Notams to flight crew.
    • To ensure that the flight complies with legal requirements specified by Air Navigation regulations, aircraft manufacturer’s and Kenya Airways operational policy specifications.
    • To advice Air Traffic Services of route, flight level and times as required by them.
    • To ensure that airfields nominated as destinations and alternates are suitable for each individual flight.
    • To ensure that adequate fuel is carried on every flight as per Kenya Airways fuel policy.

     

     

    Qualifications

     

    • Have a Diploma in relevant field or University graduate.
    • Must have a minimum of Grade C (plain) in KCSE or equivalent O’level certification.
    • Must hold a KCAA Flight Operations Officer’s License.
    • Must have worked in airline Operations Control/Flight Dispatch for at least 3 years OR undergone the KQ Pride Training Centre Flight Operations Officer’s Course and satisfactorily completed 6 months internship at Kenya Airways Operations Control Centre.
    • Must be a team player and able to respond quickly to changes.
    • Must be conversant with company route network.
    • Computer literate.

    Student Intern.Cargo Accounting

     

    Description

    The purpose of the Student Attachment Program is to provide an opportunity for university and college students to become familiar with the operations of Kenya Airways, and to acquire work experience at a professional level through on-the-job training during vacations before resuming your studies.

    During the internship, students shall be placed in one of the departments or units of the specified Kenya Airways department, and, to the extent possible, shall be given assignments relevant to their current studies. Before the end of the program, the interns must submit a brief report about their experience/ learning in Kenya Airways and provide ideas and suggestions that can help improve the Program in future years.

    Conditions of Internship:

    • Kenya Airways does not provide medical insurance cover for Interns. Those selected for internship will be required to submit proof of medical insurance while at Kenya Airways.
    • Since the hiring for the Internship Program is done locally, Kenya Airways does not pay transportation costs whatsoever.

    Qualifications
