    Executive Assistant to the Chief Programme Delivery and Impact Officer

    Principal Accountabilities 
    Core executive assistant responsibilities (priority):  

    • Manage complex diary schedules and organise meetings, ensuring all logistics are coordinated and preparation materials are available in advance.  
    • Plan and arrange comprehensive travel itineraries, including ticketing, accommodation, travel documents (incl. visas) and necessary currencies.  
    • Review and manage the CPDIO's inbox, responding to or flagging emails as appropriate, and maintaining a well-organised email filing system 
    • Handle sensitive and confidential information with professionalism, sound judgement, and discretion at all times 
    • Track actions and follow-ups arising from meetings, correspondence, and key engagements, supporting timely progress and accountability where required. 
    • Anticipate priorities and administrative needs by identifying upcoming requirements, potential issues, and opportunities to support effective planning and decision-making 
    • Prepare and submit expense reimbursement requests for the CPDIO in the financial management system in accordance with organisational policy; and review expense reimbursement requests sent for the CPDIO’s approval to ensure they are in line with policy before requesting final approval  
    • Process invoices for procurements paid directly from the CPDIO budget, always ensuring compliance with procurement policy  
    • Maintain and update departmental mailing lists and contact lists in coordination with regional teams and global team coordinators  
    • Provide occasional administrative support to the Senior Directors, especially when they are acting as Officer-in-Charge for the CPDIO   
    • Ensure effective collaboration with peer EAs, including mutual support and efficient coordination of joint meetings 
    • Manage and efficiently direct ad hoc queries; and manage questions submitted via internal employee channels  

    Additional team support responsibilities:  

    • Organise and manage departmental and leadership meetings, preparing agendas, pre-reads, and ensuring all relevant updates and feedback are incorporated. Includes the coordination of the Global Programme Directors monthly meeting 
    • Maintain the PD&I team’s gratitude & recognition process and ensure recognitions are shared with intended recipients  
    • Schedule and manage independently the fortnightly PD&I Connect sessions  
    • Manage the monthly Horizon newsletter  
    • Ad hoc administrative support to projects the CPDIO is directly responsible for 

    Experience and Skills 
    Essential 

    • Significant Experience in Diary Management: Proven track record of managing complex schedules and organising meetings at various levels of an organisation and across multiple time zones 
    • Proficient Experience in Travel Planning: Demonstrated ability to plan and arrange comprehensive travel itineraries across multiple regions  
    • Experience in Organising Meetings and Events: Competence in preparing agendas, collating pre reads, and incorporating relevant updates and feedback for departmental and leadership meetings 
    • Experience in Inbox Management: Ability to review, manage, and maintain a high-volume email inbox, flagging and responding to emails as appropriate  
    • Exceptional Organisational Skills: Ability to prioritise tasks effectively, manage multiple activities simultaneously, and ensure all logistics are coordinated seamlessly 
    • Strong Communication & Interpersonal Skills: Exceptional written and verbal communication skills, always exercising sensitivity, judgment and discretion. Approachable, a good listener, and able to build and maintain relationships with team members, partners, and other stakeholders 
    • Attention to Detail: Critical for maintaining departmental records, organising meetings, managing complex travel itineraries, and drafting, proofreading and editing documents  
    • Problem-Solving Abilities: Ability to anticipate issues, troubleshoot problems independently, and offer creative solutions 
    • Considerable Experience in Document Preparation: Skilled in drafting, editing, and proof-reading a variety of professional documents, including Board and SLT papers  
    • Digital Confidence: Microsoft 365 proficiency; comfortable across a range of digital and collaboration platforms; proactively adopts emerging tools and brings genuine AI curiosity to improving efficiency and productivity.

    Education and Qualifications  
    Essential 

    • Comfortable with learning to use and navigate standard ERP system tools (financial management system, procurement system, online travel booking system, IT ticketing system etc.)

    Vetting Officer

    Principal Accountabilities

    • Conducting daily vetting checks on the newly submitted suppliers, partners, donors and buyers, and re-vetting checks on the existing, previously vetted names.
    • Ensuring that vetting is done in line with the approved vetting procedures and guidelines and within the agreed humanitarian and development vetting service levels. 
    • Executing complex due diligence investigations to confirm or deny true matches in accordance with the agreed vetting guidelines and procedures.
    • When unsure on how to proceed with a specific case or a response, making sure to seek advice from the other team members, Line Manager or Legal Compliance, and to never make decisions based on assumptions especially when under a severe time pressure.
    • Liaising daily with the vetting requestors in the Country Offices, responding to their vetting requests by providing clearance, blocking the use of an entity or an individual, or flagging up identified risks, and asking for further information. 
    • Escalating high-risk cases in line with the approved vetting escalation procedure to Partnerships and Awards Management teams, global Supply Chain, Legal Compliance, Treasury, and Risk, to whichever applies. 
    • Actively contributing to continuous vetting process improvements.
    • Preparing and running training sessions and capacity strengthening activities with the country offices to improve their understanding of SCI’s vetting requirements and to gather information about their local challenges and different contexts.
    • Working as an active member of the vetting team, providing support to the other team members in times of increased workload and staff absence, including being able to adjust quickly to changing work-priorities or to taking on new assignments on a very short notice. 
    • Processing supplier, partner, donor and buyer vetting data in SCI-approved internal systems, such as SAP Ariba ProSave and Awards Management System (AMS), and the external sanctions and money laundering screening system.
    • Preparing vetting data for reporting, building reports in Excel and in Power BI.
    • Working in compliance with SCI’s Data Protection Policy and SCI’s IT Security and Safety procedure to ensure that the vetting data is stored safely and securely in our systems and is shared with and used for SCI’s vetting purposes only.

    • IT Proficiency: High competence in Excel, some experience with ProSave, Awards Management System (AMS), reporting software, such as Power BI, is beneficial.

    • Background in Capacity Building: Experience in implementing training and capacity-building initiatives that enhance organisational understanding of vetting processes.
    • Technical Vetting Experience: Experience of conducting vetting checks by using sanctions and money-laundering screening systems.
    • Experience in Due Diligence: Experience in conducting detailed due diligence and risk assessments within SCI’s context.

    Education and Qualifications 
    Essential

    • Degree in Relevant Field: A bachelor's degree in business, international relations, risk management, compliance, or a related field.
    • Proficient IT skills, obtained online or vie training platforms or training sessions
    • Training in Data Protection: Knowledge of General Data Protection Regulations (GDPR) standards is required.

    Desirable

    • Professional Certification: While not mandatory, certifications in compliance, risk management, or related disciplines are advantageous.
    • Experience of working in a large complex operating environment and/or a matrix operating structure across multiple time zones

    Senior Manager, Global Change –PRIME, GI Uptake & Data Insights

    Principal Accountabilities

    • Develop detailed change impact analyses to identify the difference between current and future states across all workstreams in the initiative, and ensure that all people, process and system changes are documented, understood and effectively communicated
    • Define a change approach to ensure that the desired changes are delivered effectively and in a sustainable way
    • Develop detailed transition plans which capture all necessary activities at project and country level to manage the change process and deliver the solutions
    • Develop a stakeholder analysis and ensure that it feeds into the development of change and comms planning
    • Develop and manage the change and communications plan and the stakeholder engagement plan and ensure this factors in all key requirements 
    • Develop communications and change management material to support the engagements – such as a Compelling Story, Current/Future State Analysis, and overall change impact assessments
    • Initiate various pathways of interactive communication that contribute to the acceptance, support and implementation success of the initiative
    • Define the approach, manage the workstream plan, and ensure effective delivery of the outcomes of this workstream
    • Develop and manage an ‘internal’ change and communications plan for the project team, reference groups and governance groups, to ensure they are kept abreast of plans, progress and changes and that their input is integrated into the initiative
    • Act as a key part of the Project Management team, supporting the Project Lead to ensure change is effectively managed for the project, acting as a stand in for the project lead in key governance forums etc. during absence

    Experience and Skills
    Essential

    • Considerable experience in leading the Change Management of large, global, transformation projects within Save the Children or equivalent scale organisation across both System and Non-System change. Demonstrates direct accountability for issue resolution and capacity building to empower others in problem-solving as well as a passion for achieving results and displaying proactivity 
    • Extensive experience working across multiple project phases to deliver change management oversight and interventions effectively
    • Familiarity with industry change management standards including evidence of completing formal training, with the ability to hold project teams accountable to those standards
    • Demonstrated experience in engaging and collaborating with global stakeholders across various levels of the organisation including Senior Leaders, from diverse contexts. Ability to build and maintain effective working relationships with team members, colleagues, members, and external partners
    • Demonstrable experience assessing change impact across complex system and non-system transformation including documenting as-is and to-be process and interventions to manage transition
    • Strong analytical skills with the ability to define a clear way forward, resolve issues, and secure stakeholder buy-in
    • Demonstrable coaching skills to develop others' capabilities in change management
    • Experience working in a dynamic environment characterised by high levels of change and quick turnaround times while maintaining high standards of delivery
    • Project Specific Experience: Experience leading change for a project focused on systems and behavioural change for a complex global stakeholder group where digital literacy is varied

    Desirable

    • Non-profit sector knowledge/experience (especially international development projects)
    • Second language – French, Spanish or Arabic

    • Bachelor’s degree or equivalent work experience
    • Understanding of a structured Change Management Methodology or accredited Change Management training
