    Phlebotomist (Research) Brain and Mind Institute

    Job Summary

    With oversight from BMI’s Principal Investigators (PIs) and Project Manager(s), the Phlebotomist will be responsible for managing accurate collection of bio-samples, including drawing blood samples from research study participants, ensuring their safety and comfort while adhering to study protocols. They will be expected to accurately label and process samples, maintain meticulous records, and follow ethical and regulatory guidelines. Their role includes explaining procedures to participants, obtaining informed consent, and collaborating with study managers and other research staff. The phlebotomist will be expected to ensure compliance with safety standards, promptly reports any issues, and contributes to the integrity and success of the research study.

    This position requires meticulous attention to detail, excellent communication skills, and a strong commitment to participant safety and comfort thus contributing to BMI’s overall objective for advancing scientific knowledge and improving healthcare outcomes through rigorous and high-quality research practices.

    Responsibilities

    • Participant Interaction: Explain procedures to research study participants to ensure they are informed and comfortable and confirm informed consent prior to sample collection as well as adherence to ethical standards on working with human subjects
    • Sample Collection: Collect biometrics from study participants, perform venipuncture and other techniques to collect bio-samples from study participant following standardized protocols, as well as timely and accurate collection of samples.
    • Sample Handling and Processing: Label samples accurately and efficiently, ensure samples are stored and transported correctly to maintain integrity, support with sample processing and ensure proper labelling, handling and documentation of samples
    • Data Entry and Documentation: Maintain correct and complete detailed records in compliance with study protocols and regulatory requirements.
    • Compliance and Safety: Adhere to all health and safety regulations/protocols as well as maintain a clean and organized work environment.  
    • Team Collaboration: Work closely with researchers, lab technicians, and other staff to ensure the smooth operation of research studies, as well as participate in team meetings to provide input on improving collection processes.

    Requirements

    • Diploma or degree in Phlebotomy or related field
    • Certified Phlebotomist with relevant training and certifications skilled in bio-sample collection and patient interaction.
    • Valid practice license.
    • A minimum of two years’ experience in a healthcare setting with experience in research preferred.
    • Strong knowledge of laboratory techniques and procedures, including sample collection, labelling, and storage, as well as laboratory safety practices.
    • Familiarity with regulatory requirements for handling and processing biological samples, including Good Laboratory Practices (GLP) and Health Insurance Portability and Accountability Act (HIPAA) regulations.

    Project Assistant, Brain and Mind Institute

    Job Summary

    The Project Assistant position plays a crucial role in participant management and administrative support, ensuring the smooth operation of the BMI's research projects. They work closely with Project Manager(s), Principal Investigator(s), and research teams to maintain high standards of research quality and participant care. Their responsibilities include coordinating participant schedules, managing study documentation, maintaining accurate records, and assisting in ensuring compliance with regulatory requirements and efficient execution of research protocols.

     Responsibilities

    • Assist in setting up and organizing study site(s) for participant visits and maintaining accurate and up-to-date participant records.
    • Coordinate and schedule participant visits, follow-ups, and interviews, as well as support reimbursements to study participants.
    • Support in managing and organizing study-related files, coordinate the distribution of study materials and supplies, and support in ensuring the proper functioning and maintenance of study equipment.
    • Foster effective communication and collaboration within the research team and participate in regular team meetings, contributing to discussions on study progress and challenges.
    • Scheduling meetings, support in agenda preparation and taking minutes.
    • Liaise with external partners and stakeholders, as needed.

    Requirements

    • Bachelor’s level training in a related field (i.e., health sciences, social sciences, public health, administration)
    • Minimum 1 year experience in a research or clinical setting in a similar role.
    • Excellent interpersonal and communication skills.
    • Proficiency in Microsoft Office Suite

    Pharmaceutical Technologist, Main Pharmacy

    Responsibilities

    • Receive, verify prescriptions and dispense drugs in a timely manner within approved standards and procedures.
    • Contact the physician immediately for inaccuracy and illegibility in a prescription order, document errors and communicate them to the nursing and pharmacy staff
    • Verify expiry dates of drugs prior to dispensing medication to patients/customers.
    • Check that every label placed on the medications contains the correct patient name, drug, quantity and directions.
    • Compound extemporaneous preparations and mix certain intravenous medications as per laid down procedures.
    • Counsel patients on drug administration and use of devices for optimum wellness and recovery.
    • Receive, return and update drug credits on the system in a timely manner.
    • Deliver drug discharges to patients in the ward where applicable
    • Communicate out of stock and non-stock effectively and timely to prescriber and nurse and provide alternative choice or make arrangements to order promptly.
    • Comply and observe the environmental health and safety measures and regulations by proper handling, storage and dispensation of medications
    • Record, monitor and update the expiry list of medications in timely manner.
    • Conduct nursing floor inspections once a month for all ward stock, solutions and patient medication left behind
    • Complete documentation of Interventions, Medication errors and Near Miss, Adverse events, Medication queries, Patient complaints or any other incidents and forward to relevant office
    • Perform random medication checks daily and Monitor variance levels in your respective satellites.
    • Compile daily satellite reports.
    • Carry out regular satellite stock-take exercise.
    • Report any special indicators allocated.
    • Maintain and update personal drug knowledge data base to ensure accurate provision of pharmaceutical care of general disease states as well as specialized knowledge in the assigned area of expertise

    Requirements

    • Diploma in Pharmaceutical Technology from a recognized institution
    • Practicing License from the Pharmacy and Poisons Board.
    • 1 year working experience in a busy facility, preferably a hospital
    • Computer literate
    • Able to communicate with medical professionals
    • Able to work with a team of people from various backgrounds and training
    • Excellent customer service skills and empathetic to patients of all ages
    • Good interpersonal skills
    • Culturally sensitive
    • Able to keep up with pharmaceutical developments and Continuous Medical Education programmes.

    Ultrasonographer

    Responsibilities:

    Conducting ultrasound imaging procedures as per approved protocols

    • Correctly identifying patient before procedure as per the patient identification guidelines.
    • Correctly interpreting the Request Form.
    • Explaining the procedure to the patient beforehand.
    • Assisting patients to get the examination table safely.
    • Conducting ultrasound procedures.
    • Consulting with the radiologist in case of doubt in any procedure.
    • Ensuring all consumables for selected procedures are available.
    • Monitoring patients’ condition at all times during the procedure.
    • Ensuring the patient is on sight throughout the procedure.

    Equipment Management

    • Ensuring proper machine startup.

    • Supervising machine maintenance/ repair services.

    Patient and Staff Safety

    • Assessing patients for risk of fall and implementing safety measures.
    • Always closing doors during the procedures.

    Quality Initiatives

    • Taking part in all mandatory quality training both hospital-wide and departmental related.
    • Implementing all relevant quality standards in Ultrasound Section.

    Compliance with infection control measures

    • Ensuring adequate supply of hand washing soaps and hand sanitizing gels and dispensers.
    • Ensuring hands are washed/ sanitized before and after every procedure.
    • Observing stipulated guidelines when handling infectious patients e.g. use masks, etc.

    Reporting Images

    • Reporting images promptly and informing radiologist of panic/ urgent reports.
    • Ensuring that all images are available in PACS as well as sending all images to PACS.

    Training of Sonographers/ Residents

    • Conducting orientation of residents and new sonographers when needed.

    Performance Management/ Supervision of Ultrasound Imaging Services

    • Allocating duties to staff.
    • Trouble shooting and resolving any basic issues in Ultrasound.
    • Ensuring exams requested is done on the same day.
    • Guiding the receptionist on bookings as well as planning with staff on leave schedules.
    • Reporting any issues that require attention to the Chief Technologist.
    • Communicating any information/ feedback from the Chief Tech/ Section Heads to the staff.
    • Being involved in ultrasound policies and guidelines reviews.
    • Ensuring all staff comply with relevant quality initiatives in the section

    Embrace modern technology, techniques and skills in providing ultrasound procedures.

    • Undergo training on any new technologies that are started in the ultrasound section, be it new machines, software etc.

    Performance management and supervision of ultrasound services.

    • Participating in departmental goals and objectives setting.
    • Allocating duties to staff.
    • Conducting performance appraisal.
    • Trouble shooting and resolving any basic issues in ultrasound.
    • Ensuring exams requested is done on the same day.
    • Guiding front office receptionist on bookings.
    • Planning with staff on leave schedules.
    • Reporting any issues that require attention to the Chief Technologist and/ or Manager.
    • Communicating any information/ feedback from the Chief Tech/ Section/ Manager to the staff.

    Perform other duties as may be assigned.

    • Participating in all team efforts as departmental needs arise.

    Requirements:

    • Diploma/ Degree in Medical Imaging Science / Radiography from a recognized institution.
    • Training in the field of Ultrasound Imaging.
    • A valid Basic Life Support Certificate.
    • A minimum of 3 Years of working experience in an Ultrasound related position.
    • Must possess good communication and interpersonal skills.
    • Must possess good customer care skills.
    • Must be a good team player with good leadership skills.
