Job Summary
The project associate will support the planning, execution, monitoring, and closure of IT projects by coordinating activities, tracking delivery, managing documentation, and supporting stakeholder communication to ensure projects are delivered in line with approved scope, timelines, budget, and quality standards.
Reporting Line
This position reports to the Project Manager / Senior Project Manager
Key Responsibilities
1. Project Planning and Initiation
- Support project execution planning upon confirmation of scope
- Assist in assigning responsibilities across internal teams and vendors
- Consolidate inputs from cross-functional teams into integrated project work plans
- Prepare and maintain project initiation and governance documents including project charter and project management plans.
2. Project Execution and Work Management
- Execute project activities in line with the agreed project management methodology
- Track assigned tasks, dependencies, and milestones across the project lifecycle
- Monitor progress against approved plans and escalate deviations, risks, or issues promptly
- Support planning and execution of assigned module rollouts and track progress to closure
3. Budget and Resource Tracking (Support Role)
- Track project budget consumption and resource utilization against approved plans
- Monitor progress toward objectives and highlight variances for review
- Support the Project Manager in identifying causes of deviations and proposing corrective actions
4. Deliverable and Quality Management
- Create and maintain the deliverable responsibility matrix (RACI / DRM)
- Track execution and completion of deliverables across teams
- Coordinate peer reviews, deliverable validation, client acceptance, and transition checkpoints
- Ensure deliverables meet agreed quality and acceptance criteria
5. Scope and Change Management
- Support scope definition, service level alignment, and user requirements documentation
- Log, track, and coordinate scope change requests
- Participate in scope review and approval meetings and track outcomes.
6. Stakeholder and Client Coordination
- Act as a day-to-day coordination point for assigned clients and stakeholders under the guidance of the Project Manager
- Support preparation and coordination of project steering committee meetings
- Prepare and circulate weekly project status reports to clients and internal stakeholders
- Maintain clear, timely, and professional communication across project teams
7. Reporting and Governance
- Prepare regular project status reports covering progress, risks, issues, and actions
- Support presentations on project health for management and governance forums
- Maintain accurate risk, issue, decision, and action logs
8. Documentation and Project Closure
- Ensure all project documentation is up to date, approved, and properly stored
- Support project closure activities including verification of completed deliverables
- Track milestone approvals, sign-offs, and milestone certificates
- Assist in lessons learned documentation and project handover
Key competencies
Professional and Academic Qualifications
- Bachelor’s degree in BBIT, Computer Science, Business Information Technology, IT or any other related.
- Professional Certification in Project Management- Prince2 Foundation /CAPM (Certified Associate in Project Management ) - Added Advantage.
- 2 years’ experience in managing ERP and Software Application projects.
