    Business Support Assistant II (Communications Assistant)

    Overall Purpose of the Job

    To support with packaging and archiving BioInnovate Africa communications documentations that targets broader audience, through production of information, education, and communication (IEC) materials, and content for social media platforms such as Facebook, Twitter, YouTube etc. He/She is expected to research and analyse online media trends, including social media visitor data, to enhance social media presence and campaign efficacy of BioInnovate Africa. 

    Specific Duties

    • Cover BioInnovate Africa events, including taking photos, captioning and filing the photos.
    • Assist in streamlining BioInnovate Africa digital platforms (e.g. Facebook, Twitter, YouTube, Flicker, and Website), ensuring uniform content and for landing pages, graphics, and other elements within the platforms.
    • Track and monitor BioInnovate Africa publicity; filing media publications and footages that cover BioInnovate Africa events and supported projects.

    Requirements/Qualifications

    • Bachelor’s degree in Journalism, Communications or other related fields.
    • Writing and editing skills for articles.
    • Social media management skills.
    • Photography and videography, including production of podcasts.
    • Skilled in using Adobe graphics design software to develop artworks for IEC materials.
    • At least 1 year of work experience in a similar role.

    • Provide platforms for knowledge and information exchange among partners and the public, by supporting content production and management of BioInnovate Africa digital platforms.

    Business Support Officer I (Project Accountant)

    Overall Purpose of the Job

    To provide support to the Senior Accountants in accounting tasks to ensure adequate financial implementation and management of financial resources in line with the icipe financial policies and donor regulations. 

    This entails:

    • Review of financial reports from partners.
    • Assist in facilitation of projects audits.
    • Prepare invoices for funds request.
    • Create new project and budget lines codes.
    • Input projects budgets into the accounting system.
    • Other related tasks as assigned.

    Specific Duties

    Review of financial reports from partners

    • Review of financial reports from partners for Plant, Animal, Human and Environmental Themes.
    • To confirm accuracy, validity, and reasonability of the expenses, to also ensure that the partners are followed up to get fully supported documentation for expenses not fully supported.
    • Input of expenses into the Sun system for posting.

    Assist in facilitation of projects audits

    • Assist in facilitation of projects audits.
    • Retrieval of supporting documentation as requested by the auditors and clarifying the figures on the supporting documents to the auditors.

    Prepare invoices for funds request

    • Preparation of invoices for funds request for projects and other new projects that will come on board during the period.
    • Acquire the relevant information pertaining the grant disbursement from the grant agreement.
    • Prepare invoices using the information from the grant agreement.
    • Print invoices and submit for approval.

    Create new project and budget lines codes

    • Create new projects and budget lines codes for new projects that will come on board during the period.
    • Get information pertaining new project creation from the Senior Accountant.
    • Information includes new agreement between icipe and the donor, Grant number, new project code, principal Investigator, the budget, containing the budget lines and activity description.
    • Create new project using the new project excel template.
    • Forward for review.

    Create new project and budget lines codes

    • Get the approved budgets from the Senior Project Accountant/new project agreements.
    • Feed the approved budgets one after the other, on a journal importing template with the correct budget codes, lines, and amounts.
    • Journal importing the budgets to the Sun System.
    • Hand them over for review.

    Requirements/Qualifications

    • Bachelor’s degree in accounting.
    • CPA II or its equivalent.
    • A minimum of progressive experience in project accounting for at least 2 years.
    • Relevant exposure to auditing or financial management will be desirable.

    Other Desirable Attributes

    • Ability to study, familiarize with the Centre’s documents (Financial Rules & Regulations, Procurement Manual, Whistleblower policy, Anti-fraud and ant-corruption policy…etc.) and donor specific requirements.
    • Ability to interpret, resolve and adapt decisions within established guidelines and directions in the execution of tasks.
    • Ability to search for common ground to problem solving.
    • Ability to give guidance to matters related to own work area and capacity to function effectively as a member of a multi-disciplinary team.
    • Expected to handle own imprest.

    Support Assistant I (Waiter)

    Overall Purpose of the Job

    The main job responsibility for the waiter is to provide food and beverage service to guests at the restaurant, in meeting rooms and during events.

    Specific Duties

    • Present menu to guests, - provide information regarding availability of food and beverage products, make food & beverage recommendations, take food and beverage orders and provide service of the same.
    • Set up catering stations for meetings and events and provide services of the same.
    • Prepare hot, cold, and mixed beverages for guests.
    • Roll silverware, set up food stations or set up dining areas for large parties.
    • Inform customers of daily specials.
    • Prepare tables for meals, including setting up items such as linens, silverware, and glassware.
    • Explain to guests how various menu items are prepared, describing ingredients and cooking methods.
    • Stock service areas with supplies such as coffee, food, tableware, and linens.
    • Remove dishes and glasses from tables or counters; take them to the pantry for cleaning.
    • Perform cleaning duties, such as sweeping and mopping floors, vacuuming carpet, tidying up server station, taking out trash and cleaning crockery, cutlery and glasses.
    • Clean food preparation areas, facilities, or equipment.
    • Fill salt, pepper, sugar, cream, condiment, and napkin containers.
    • Prepare guest checks that itemize and total meal costs.
    • Process customer bills or payments.
    • Any other duties that may be assigned by the Guest Services Supervisor.

    Requirements/Qualifications

    • O level certificate and a certificate in food and beverage service.
    • A minimum of one (1) years' experience as a waiter in a busy establishment of comparable standard.

    Support Assistant I (Guest Room Attendant)

    Overall Purpose of the Job

    The main responsibility of the Guest Room Attendant (GRA)is to clean and service guest rooms and public areas to ensure a pleasant guest / user experience.

    Specific Duties

    • Responsibilities and essential job functions include but are not limited to the following:
    • Clean and service assigned guestrooms or public areas according to established housekeeping standards and procedures including dusting, vacuuming, cleaning and sanitizing bathrooms and changing of guest room linen.
    • Monitor and control supplies and amenities and minimize waste within all areas of housekeeping.
    • Daily sign in and sign out of guest room master keys from the manager's office.
    • Update and share room status reports with the reception.
    • Self-check allocated workspaces to ensure set housekeeping standards are met.
    • Report, properly tag and record all lost and found articles.
    • Set-up meeting rooms for workshops and other events as per user requirements.
    • Promptly report any repair and maintenance issues that may arise in area of work.
    • Perform other duties as assigned may be assigned by the Guest House Manager.

    Requirements/Qualifications

    • O level certificate and certificate in housekeeping operations.
    • A minimum of one (1) year experience as a Guest Room Attendant (GRA) in a similar standard establishment

    Support Assistant I (Line Chef)

    Overall Purpose of the Job

    The overall responsibility is to lead the food production process in the hot kitchen area effectively and efficiently while maintaining food safety and hygiene standards.

    Specific Duties

    Responsibilities and essential job functions include but are not limited to the following:

    • Setting up and stocking production stations with all necessary supplies.
    • Preparing hot kitchen menu and having it approved by the Head Chef.
    • Performing hot kitchen mise en place.
    • Cooking food items using different cooking methods in keeping with the kitchen standards and recipes.
    • Proper handling and storage of food both raw and cooked.
    • Cleaning up food preparation & production station.
    • Timely set up of Baine Marie and buffet station.
    • Food service at the Baine Marie counter or buffet station.
    • Portion control at the food service station.
    • Holding food at the Baine Marie within the safety temperature range.
    • Complying with nutrition, sanitation, and safety standards.
    • Maintaining a positive and professional approach with co-workers and customers.
    • Creativity & innovation in food preparation and presentation.
    • Work night shift from time to time to facilitate dinner and breakfast for large groups.
    • Promptly report any kitchen equipment breakdown.
    • Any other duties as may be assigned from time to time.

    Requirements/Qualifications

    • KCSE and a Certificate in Food Production.
    • At least three (3) years’ experience working in a high-pressure food production environment.

    Support Assistant I (Night Shift Attendant)

    Overall Purpose of the Job

    Perform late night check-ins and check-outs, provide overnight assistance to resident guests, and support kitchen and restaurant service functions after hours.

    Specific Duties

    Responsibilities and essential job functions include but are not limited to the following:

    • Perform late night check-ins and check-outs of expected arrivals and departures.
    • Prepare and update guest bills over the guest length of stay.
    • Input reservations into the reservations system with accurate data and perform the system night audit to update guest bills.
    • Provide guests with up-to-date bills and receive payments either by cash, mpesa or credit card.
    • Bank any cash payments received during the night shift.
    • Provide any assistance that may be required during the night to resident guests and report any night incidences to the Guest Centre Manager.
    • Set up the breakfast buffet station and brew early morning coffee.
    • Operate the industrial dishwasher.
    • Wash glassware and other implements by hand when necessary.
    • Empty and clean all trash receptacles.
    • Rotate dishes to reduce wear and tear on resources.
    • Clean dish storage spaces
    • May from time to time be called upon to support daytime food and beverage service.
    • Record and report any reported or maintenance issues in the guest rooms in a timely fashion.
    • Any other duties that may be assigned by the Guest Centre Manager.

    Requirements/Qualifications

    • O level certificate and certificate in relevant area.
    • A minimum of one (1) year experience performing similar work.
