    Principal Academic Advisor

    Job Purpose:

    Providing logistical support for academic programs offered within the School

    Key Responsibilities

    • Preparing annual course schedules for the Doctorate, Masters and Undergraduate programs in the School.
    • Allocating rooms to all courses offered in the school.
    • Ensuring appropriate allocation of faculty and staff offices.
    • Ensuring that all courses offered within the school have faculty allocated to them as per policy.
    • Addressing student challenges relating to course scheduling, registration and/or facility allocation.
    • Developing student full cycle course guides for new programs developed in the school.
    • Updating the CX system with courses introduced following new program approvals, program reviews and curriculum action approvals.
    • Supervising the monitoring of the academic performance of students within the school by Academic Advisors and handling poor academic standing cases.
    • Handling student grade appeals and consideration of faculty grade change requests.
    • Implementing Curriculum Action Change approvals by updating the catalog, brochures and the website.
    • Handling student credit transfer requests.
    • Handling student courses substitution and add/drop request in line with policy.
    • Preparing operational reports for decision making by the Deans, DVCAA and other departments including course load, room utilization, text book usage, registration summary, faculty evaluation, enrollment, faculty profiles and grade audit reports.
    • Monitoring and approving requisitions for departmental stationery
    • Supervising academic advisors and office attendants within the school.
    • Other duties as assigned (by superiors)

    Qualifications /Educational/Professional/experience)

    • Educational Qualifications: Masters’ Degree
    • Experience: 3 years

    • Scheduling for the University’s academic courses annually while taking care of each student’s unique needs.
    • Dealing with large volumes of numbers during peak hours.

    Academic Advisor

    Key Responsibilities

    • Advise students on program requirements and course selection.
    • Assist in registration and orientation of new students and faculty.
    • Analyze course registration and scheduling data and submit reports to Principle Academic Advisors for decision-making.
    • Design data collection instruments and analyze demographic data of students, including employment data, and to prepare reports for the Principal Academic Advisor for the purpose of decision making.
    • Respond to program inquiries by parents, sponsors, universities, local business community and prospective students in consultation with academic deans and PAA.
    • Manage the relationship between faculty and university on all advising and administrative matters including examination, class schedules, classroom allocations and faculty class attendance.
    • Analyze local and international programs and submit reports to PAA for decision-making.
    • Prepared student advising materials and publications and assisted in updating the departmental website.
    • Analyze credit transfer applications for the PAA.
    • Prepare presentations for the PAA, and deans for student orientation and faculty meetings.
    • Prepare departmental brochures and presentations in consultation with academic deans & PAA for marketing the schools.
    • Prepare course and examination schedules in collaboration with academic deans and PAA.
    • Participate in the invigilation of students during the final examination.
    • Carry out any other duties that PAA or academic deans may assign.

    Qualifications /Educational/Professional/experience)

    • A bachelor’s degree in education, counseling, psychology, or a related field from an accredited institution.
    • At least 1–2 years of experience in a student/Client support or advisory capacity, preferably within a university or higher education environment.
    • Strong interpersonal and communication skills, both verbal and written.
    • Ability to build rapport with students and provide personalized academic support.
    • Excellent organizational and time-management skills.
    • Proficiency in using office tools such as Microsoft Office Suite, database, or student information systems.
    • Problem-solving and conflict-resolution abilities to address student challenges effectively.
    • Knowledge of institutional policies, programs, and procedures.
    • Proven track record of working collaboratively in a team.
    • An understanding of diversity, equity, and inclusion principles in student support.
    • Demonstrated ability to maintain confidentiality and handle sensitive information professionally.
