    Sponsorship Operations Officer

    Job Purpose

    To facilitate sponsor and child transformed relationships by ensuring satisfaction and retention of sponsors through provision of quality and timely communication.

    Sponsorship operations correspondence management

    • Print and process Gift Notifications (GNs) weekly as per the partnership standards and Support Office Requirements.
    • Process correspondences in SSUI including Introductory Letters (IL). Sponsors Letters (SL) and Electronic Letters (EL) and Birthday Cards and correctly capture the details of the gifts contained in the parcel.
    • Prepare bi-weekly GN reconciliation reports and share with the Senior Manager- Sponsorship Operations.
    • Identify child ID for unnamed sponsor mails through sponsorship data base search, key in the details in SSUI and dispatch the parcels to the respective APs.
    • Handle Support Office and Sponsors queries for APs assigned to you.
    • Provide APR quality reviews for APs assigned to you.

    Monitoring

    • Follow up with APs to submit information on RC & families affected by emergencies.
    • Conduct monitoring visits to the APs and report management issues which require follow up actions.
    • Review Annual Progress Reports and Christmas Cards for APs to ensure quality and timeliness.
    • Support field teams adhere to Sponsorship business processes & standards.
    • Support in Monitoring the utilization of   Community GNs

    Documentation and Reporting

    • Review birthday bounce back reports from APs.
    • Review APR photos & project information from the APs.
    • Prepare monthly reconciled GN reports and share with APs and Support Offices as appropriate
    • Reconcile GNs Quarterly with APs and Support Offices.
    • Ensure proper filing of GNs and other correspondence back-ups at National Office (NO)
    • Support in registration of RCs during start of new APs.
    • Support development of sponsorship MMR and provide data for CWB Annual Report
    • Support the implementation of horizon 3.0 sponsorship module

    Capacity Building

    • Support  to train NO, Regional and AP staff on sponsorship processes such as Annual Progress Reports (APRs), Christmas Cards (CC), GC initiatives
    • Support regional and ADP staff training on Sponsorship Basic Training (SBT), Peer review, TFE,  and Most Significant Change stories, Sponsorship 2.0 products -(Child Greeting Videos (CGVs), Child Greeting photo(CGP), Child update photo(CUP), Child Update Video(CUV) Children Special Moments Videos (CSMVs), Community Introductory Videos (YIVs), Community Update Photos (CUP) Single STEP & new) Global Center initiated trainings.
    • Support orientation of new staff in sponsorship department.

    Qualifications, Knowledge and Skills for the Role

    • The holder of this position must have a minimum of a Bachelor’s degree in Social Sciences or development studies degree from a recognized University
    • At least 3years’ experience in Sponsorship related field or community development
    • At least 3 years continuous working experience, of which 2 must be in in Sponsorship related field
    • The position holder must be a result orientated individual who can manage and satisfy multiple, donor and other stakeholder demands.
    • Computer proficiency including Microsoft office (Word, Excel, power point, Good understanding of Sponsorship operations
    • Good coordination skills
    • Must have working experience of Sponsorship Single User interface (SSUI) and WV Horizon system is an added advantage
    • Must have basic IT skills

    Project Planning and Implementation

    • Ensure that business processes, standards and guidelines related to Livelihood & resilience initiatives are effectively applied on a timely manner in project implementation including integration of cross cutting themes.
    • Participate in the preparation of overall and activity work plans and budgets for the county specific activities
    • Be able to systemically review DIP/budget and other key implementation tools and initiate innovative approaches that will open new frontiers for project success

    • Support the farmers to protect their development gains from climate shocks and avoid negative coping strategies such as the sale of productive assets, through indexed based crop insurance
    • Ensure that secure livelihoods are sustained through adequate capital (including human, technological/physical, financial, social, natural, political capital) all year round
    • Support creation/strengthening of Village Savings and Loans Associations (VSLAs) for creation of risk reserves through savings
    • Build the farmers capacity on insurance, financial literacy, nutrition, health and sustainable value chain development initiatives
    • Identify other opportunities in an ongoing manner that will add value to the overarching goal of the project.

    Quality Assurance - M &E, Reporting and Documentation

    • Register, track and regularly update farmers database through Last Mile Mobile Solution (LMMS)
    • Conduct regular group monitoring, data collection and analysis on seasonal crop performance, VSLA, insurance enrolment and premium in coordination with the relevant stakeholders using the standardized tools in strict adherence to WV Kenya, Kenya Government and WFP guidelines and standardized tools
    • Development of Project Designs and Annual Operation Plans. (4D matrices, DIPs, Annual Budgets) and ensure budgetary utilization is within acceptable limits/range.
    • Contextualize and use reporting guidelines to track and develop quality, monthly, quarterly, semi-annual, and annual and end of projects reports, key lessons and success stories in accordance with WFP and WV Kenya requirements.
    • Facilitate regular review and peer to peer learning meetings with government, target communities and relevant stakeholders
    • Document lessons and project impact to facilitate adoption in the course of the project implementation
    • Organize and conduct county level scaling workshops to share lessons learnt and best practices for adoption and scale out by other relevant stakeholders.

    Project Officer- Livelihoods and Resilience

    Key Responsibilities:

    Project Planning and Implementation

    • Ensure that business processes, standards and guidelines related to KOICA SEED initiatives are effectively applied on a timely manner in project implementation including integration of cross cutting themes,
    • Participate in the preparation of overall and activity work plans and budgets (annual, quarterly, monthly & weekly) for the project specific activities,
    • Collaborate with relevant ministries and other relevant partners at the County and community levels to ensure integration and high-level implementation of the planned activities
    • Be able to systemically review DIP/budget and other key implementation tools as well as initiate innovative approaches that will open new opportunities for project success
    • Conduct continuous activity and budget analysis to ensure adherence to the approved work, budget and procurement plans.

    • Support establishment/strengthening common interest groups, and coordinate economic empowerment activities within the groups.

    • Facilitate strategic partnership with Vision Fund Kenya (VFK) to ensure groups receive financial literacy training/embedded education training and business loans
    • Forge strategic collaborations with financial service providers including VFK, other MFIs, banks, government funds to ensure Savings groups members access financial services including business capital. insurance, asset financing and other selected products
    • Partner with formal financial service providers to facilitate financial literacy, business planning and group governance & leadership trainings for S4T groups
    • Together with partners, conduct regular reflection and learning sessions
    • Work with community groups to utilize advocacy approaches such as Citizen Voice and Action (CVA) to enable service users and local partners to engage directly with local government service providers to improve the quality of government services for children and to generate information and evidence for use in national level advocacy work.

    Knowledge, Skills and Qualifications

    • Minimum of a Bachelor Degree in Agriculture/Agri-business/Agricultural Economics/Agricultural Education & Extension/Natural Resource Management/ Environmental Studies/ Dryland farming Systems/Entrepreneurship/Business studies or Any other related discipline from a recognized university/institution. 
    • Minimum two years of work experience in economic empowerment, Livelihood and economic development, entrepreneurship and related sectors including gender mainstreaming in projects. Experience in implementing multi-sectoral projects will be an added advantage. 
    • Experience in Project Management including program design, implementation, monitoring & evaluation and reporting
    • Knowledge of and experience working with the Government and community structures  
    • Experience in implementation of integrated development programs with a focus on economic empowerment
    • Ability to conduct community economic empowerment needs assessment, program planning, implementation, monitoring and evaluation of economic empowerment and entrepreneurial interventions
    • Must have ability to develop good working relationships/partnership developed with all stakeholders (GoK, INGOs)

    Knowledge, Skills and Qualification

    • Minimum of a Bachelor Degree in Forestry, Agroforestry, Natural Resource Management, Environmental Science, Conservation or a closely related field from a recognized university/institution.
    • Minimum of two years on job experience working with farmers, communities and multiple stakeholders on a combination of any of the following fields Forestry, Agroforestry, Natural Resource Management, Landscape Restoration and Management Climate Smart Agriculture projects. Experience in implementing multi-sectoral projects will be an added advantage. 
    • Experience in Project Management including program design, implementation, monitoring & evaluation and reporting
    • Knowledge of and experience working with the Government and community structures  
    • Experience in implementation of integrated development programs with a focus on ecosystem restoration
    • Ability to conduct community economic empowerment needs assessment, program planning, implementation, monitoring and evaluation of economic empowerment and entrepreneurial interventions

    • Work with stakeholders and partners to promote ecosystem restoration to influence policy on complimentary activities
    • Build the capacity of stakeholders and farmers to enable them effectively intervene in natural resource management, environment and climate change.
    • Ensure integration of ecosystem restoration and natural resource management interventions with other programme activities at project level
    • Work with the project team on developing community sensitization and information material, protocols and approaches for ecosystem restoration and natural resource management interventions in their project contexts
    • Together with partners, the project team and stakeholders conduct regular reflection and learning events;

    Advocacy, Engagement, Partnership and Networking

    • Ensure representation of WV Kenya in key stakeholder forum/meetings at the County level.
    • Actively participate in County level Sector Technical Working Groups and relevant to policy and planning forums for ecosystem restoration.
    • Develop partnerships with Community, relevant Government authorities, research institutions and other stakeholders at the county level
    • Participate in the Annual County Government’s Planning and Budgeting process to influence environment, climate and NRM policy and planning for ecosystem restoration.
    • Ensure communities are mobilized and participate in the project interventions
    • Together with partners, conduct regular reflection and learning sessions
    • Work with community groups to utilize advocacy approaches such as Citizen Voice and Action (CVA) to enable service users and local partners to engage directly with local government service providers to improve the quality of government services for children and to generate information and evidence for use in national level advocacy work.

    Knowledge, Skills and Qualification

    • Minimum of a Bachelor Degree in Forestry, Agroforestry, Natural Resource Management, Environmental Science, Conservation or a closely related field from a recognized university/institution.
    • Minimum of two years on job experience working with farmers, communities and multiple stakeholders on a combination of any of the following fields Forestry, Agroforestry, Natural Resource Management, Landscape Restoration and Management Climate Smart Agriculture projects. Experience in implementing multi-sectoral projects will be an added advantage. 
    • Experience in Project Management including program design, implementation, monitoring & evaluation and reporting
    • Knowledge of and experience working with the Government and community structures  
    • Experience in implementation of integrated development programs with a focus on ecosystem restoration
    • Ability to conduct community economic empowerment needs assessment, program planning, implementation, monitoring and evaluation of economic empowerment and entrepreneurial interventions
    • Must have ability to develop good working relationships/partnership developed with all stakeholders (GoK, INGOs)
    • Excellent communication, Networking and advocacy skills
