    Head of KASNEB Foundation

     HEAD, KASNEB FOUNDATION, GRADE KASNEB 4 (1 POST) – HRM/KF/HKF/8/23
    Job specifications

    Reporting to the Trust Secretary/ Board of Trustees, the job holder will be   responsible for:

    • Advising the Board and Management on all Foundation matters.
    • Plans, budgets, implements and evaluates activities to raise and acknowledge donations from donors.
    • Developing, recommending, and administering policies, procedures and processes in support of Foundation goals and operations, in accordance with relevant legal parameters, and implementing and monitoring compliance with approved policies, procedures and processes.
    • Undertaking Donor Mapping and management of relationships with donors, stakeholders and partners, including regular benchmarking with other established Foundations. 
    • Developing and overseeing multiple resource mobilization initiatives to meet annual revenue goals.
    • Developing and monitoring the Foundation’s budget and financial plans; authorizes and approves Foundation expenditures; managing the annual external audit process and works with Foundation Board and Trust Secretary/ CEO kasneb to ensure the most advantageous investment plan.
    • Preparing accountability Statements and maintaining Grant accounts.

    Duties and Responsibilities entail assisting the Foundation in:

    • Managing operations that support resource mobilization, such as database management; prospect research and management; donor acknowledgement and communication, establishment and management of fund agreements.
    • Preparing in consultation with Trust Secretary the annual Foundation budget.
    • Developing and overseeing the implementation of short-term, long-term and strategic planning and related performance measurements and tracking processes for the KASNEB Foundation in collaboration with the Foundation Board of Trustees and relevant committee, staff of kasneb and others as needed.
    • Relaying the institutional messages effectively and persuasively to different groups and in varied form with guidance and as relayed from the Board of Trustees. 
    • Working with Marketing and Communications unit to create publicity materials and execute specialized projects.
    • Supporting the Foundation Board and designated Board committee operations; developing agendas, related documentation and minutes for meetings.
    • Participating in meetings, committees, taskforces and/or other related groups to communicate information regarding the Foundation and its initiatives.
    • Understands and remains consistent with confidentiality laws of any and all donor information, as well as industry standards in resource mobilization (yearly training).
    • Managing operations that support resource mobilization, such as database management; prospect research and management; donor acknowledgement and communication; and establishment and management of Fund agreements.
    • Supervising the staff appointed to the KASNEB Foundation.
    • Managing KASNEB Foundation activities in accordance with guidance from the Trustees, including donor record keeping and correspondence, research, planned giving, grant writing, overall support and overseeing periodic mailings. In addition, the Trust Secretary/CEO kasneb responds to inquiries from Training Institutions, the community, and/or external agencies and supervise administrative services.

    Person Specifications

    For appointment to this grade, a candidate must have:

    • The Head of Foundation requires a Bachelor’s degree in Social Sciences and accounting knowledge and Master’s degree in Business Administration, Non-profit Management or related field. 
    • Overall, a minimum of eight (8) years relevant work experience with at least three (3) years in Supervisory role.
    • A further key consideration of a minimum of five (5) years of professional level resource mobilization experience or related experience, experience in Foundation Board development, annual giving, Foundation and corporate relations, personal solicitation of major gifts, capital campaign planning and implementation, volunteer training is required.
    • Membership to any of the following recognized professional bodies: -ICPAK, ICIFA, ICS, or related relevant body.
    • Certificate in Management Course lasting not less than four (4) weeks from a recognized institution.
    • Proficiency in computer applications;
    • Show merit and ability as reflected in work performance and results; and
    • Fulfil the requirements of Chapter Six of the Constitution.

    Senior Accountant

    SENIOR ACCOUNTANT, KASNEB FOUNDATION, GRADE KASNEB 5 (1 POST) HRM/KF/SA/8/23

    • The Senior Accountant of the KASNEB Foundation will be reporting to the Head of KASNEB Foundation on day to day running of the KASNEB Foundation as outlined herein.

    Job specifications

    Reporting to the Head of KASNEB Foundation, the job holder will be responsible for:

    • Monitoring expenditure of projects and programmes based on approved budgets on a periodic basis
    • Ensuring safe custody of KASNEB Foundation financial record and assets
    • Managing KASNEB Foundation cash flows and security of cheques.
    • Preparing annual financial budget, provide technical support during budget making process by providing reliable up to date financial information of the Foundation.
    • Preparing monthly, quarterly and annual financial report to the head of the KASNEB Foundation.
    • Managing the commitments and Foundation’s expenditures within available budgetary provisions
    • Preparing reports and follow up disbursement of Foundation funds 
    • Participating in resource mobilization initiatives of KASNEB Foundation by managing donor funds

    Duties and Responsibilities entail assisting the Foundation in:

    • Participating in the implementation of performance management system of the foundation
    • Developing accounting policies, procedures, regulations and standards for operation and control purposes.
    • Interpreting and implementing financial regulations and procedures, Treasury Circulars, letters and instructions from all governments agencies
    • Ensuring expenditures are within the voted allocations.
    • Overseeing the preparation of financial reports
    • Updating the general ledger and cash books
    • Undertaking bank reconciliation by 2nd of the following month.
    • Extracting monthly trial balances by 3rd of the following month.
    • Ensuring compliance to applicable accounting standards, rules and regulations
    • Maintaining accounting system and ensuring all processes/procedures are automated.
    • Ensuring risk management in the area of operation
    • Perform any other duties allocated to you.

    Person Specifications

    For appointment to this grade, a candidate must have:

    • The Senior Accountant requires a Bachelor’s degree in any of the following discipline, Commerce, Finance, Business Administration/Business Management (Accounting/Finance Option) or equivalent from recognized institution. 
    • Passed Part III or Advanced level of the Certified Public Accountant (CPA)K
    • A minimum of four (4) years relevant experience or related experience, experience in Foundation Board development, annual giving, Foundation and corporate relations, personal solicitation of major gifts, capital campaign planning and implementation, volunteer training is required.
    • Membership in good standing of the Institute of Certified Public Accountants of Kenya (ICPAK) or any other recognised professional body.
    • Supervisory Course lasting not less than two (2) weeks.

    Job specifications

    Reporting to the Deputy Director, Administration and Property Management, the holder of the above position will be responsible for:

    • Coordination of security activities in kasneb
    • Ensuring examinations security both within and outside kasneb
    • Implementation of security measures to safeguard kasneb assets against theft, pilferage, damage and terrorism.
    • Gathering of information and intelligence analysis to inform on security situation and preparedness across Kasneb operations.
    • Liaising with the supervisor on all security matters and surveillance within kasneb.
    • Supervising the deployment of outsourced security guards and ensuring quality of services are rendered to kasneb.

    Senior Driver

    SENIOR DRIVER, GRADE KASNEB 8 (1 post) - HRM/CS/3/2023
    Job specifications

    Reporting to the Deputy Director, Administration and Property Management or a delegated appointed officer, the holder of the above position will be responsible for the following

    • Coordinate the inspection of kasneb vehicles 
    • Overseeing the implementation of the fleet management policy
    • Driving Board vehicles as authorized.
    • Maintaining cleanliness of vehicle.
    • Carry out routine checks on the vehicle cooling oil, electrical and brake systems, tyre pressure etc and undertake minor repairs including oiling and greasing.
    • Prepare maintenance/repair schedules for vehicles
    • Ensuring security and safety of the vehicle on and off the road;
    • Overseeing safety of the passengers and/or goods therein;
    • Receive /collect all used work tickets on monthly basis, maintain and ensure compliance.
    • Monitoring and reporting expiry of insurance policies for motor vehicles.
    • Detect and report mechanical faults on vehicles.
    • Ensuring adherence to traffic laws.

    Person Specifications

    For appointment to this grade, a candidate must have:

    • High school (KCSE/KCE) D+ (Plus) or equivalent qualification.
    • Valid driving licence for vehicles classes B, C, CE, D1, D2 and D3 as per the new NTSA classes free from any current endorsements.
    • Defensive driving certificate from the Automobile Association (AA) of Kenya or the equivalent qualification from a recognized institution.
    • Refresher course for drivers lasting not less than one (1) week at the Kenya Institute of Highway and Building Technology (KIHBT) or any other recognized institution.
    • Passed the Suitability Test for Drivers Grade I from the Ministry of Roads and Public Works.
    • Has passed AA Test.
    • At least served in the grade of a Driver for at least eight (8) years.
    • An accident-free driving period of five years or more.
    • Passed Suitability Test for Driver Grade 1 and Occupational Trade Test I/II/III for Drivers from the Ministry of Roads and Public Works or its equivalent.
    • Proficiency in Computer applications.
    • Valid Certificate of Good Conduct from the Kenya Police.
    • A First Aid Certificate course lasting not less than one week from St John’s Ambulance or KIHBT or any other recognized institution.
    • Any other qualifications that may be adjudged as equivalent by the Board.
