    QSSK-SI-OM-Operations Manager

    Job Summary

    To manage the execution, direction, and coordination of all transportation matters within the organization including organizing loading schedules, route planning and ensuring that vehicles are safe and meet legal requirements, and making sure that drivers are aware of their duties.

    Duties And Responsibilities

    • Planning routes and load scheduling for cargo from the points of origin to the final destinations
    • Collaborate with the customer to establish the nature of cargo available for haulage and allocate the required type of trucks for loading on priority basis
    • Directing activities related to dispatching, routing, and all-round tracking of transportation trucks
    • Ensure maximum efficient utilization of the company’s fleet of trucks to the best interest of the business
    • Planning, organizing, managing and supervising subordinate staff members within Operations department to ensure work is coordinated, executed, accomplished and consistent with the required standards
    • Prepare budget estimates for Operations department and control the expenditure related to the department in line with the approved budget
    • Approve any operational expenses required for operational purposes within the delegated approval limits as set out by Management from time to time
    • Convening and chairing daily meetings for Operations staff for purposes of setting and communicating operational priorities and evaluating team performance
    • Directing investigations to verify and resolve any customer complaints
    • Develop performance indicators that measure and show the effectiveness and efficacy of the company’s transportation operations
    • Assist in the recruitment and appointment of competent operations staff including interview, selection, training, and performance appraisal of operations personnel
    • Conduct necessary investigation(s) and inquiries to determine the cause of problems like accidents (if any arises) and to set up safety measures to avoid recurrence of such issues
    • Collaborate with the Workshop Manager to arranging repairs and routine maintenance of the company’s fleet of trucks
    • Complying with transportation-related policies, as well as safety rules, regulatory requirements and government regulations
    • Perform all duties in a professional manner which promotes the image, growth, profitability, and success of the company
    • Maintain a high degree of confidentiality with issues related to drivers (private and personal matters), rates, customers, and other proprietary items and information
    • Communicating effectively with customers/clients and responding to their needs and requirements.
    • Coordinating and booking sub-contractors and ensuring they deliver the required services within the agreed terms

    Knowledge, Skills, And Experience

    • Minimum of a Bachelor’s degree in logistics, business management, social sciences or related field
    • Mechanical/Automotive Engineering or in a related technical engineering field from a recognized university
    • In the alternative, a Diploma in Mechanical/Automotive Engineering coupled with a minimum of 10 years working experience as a Workshop Manager/Supervisor in an automotive workshop
    • Must be trained in Health and Safety / First Aid training pertinent to workshop environments
    • Valid driving license in heavy commercial vehicles is an added advantage
    • Minimum of 5 years working experience in a transportation/logistics company in a supervisory/management role
    • At least 2 years' hands-on experience as a transportation manager or coordinator in a similar industry preferably dealing with clearing and forwarding/port operations issues
    • Experience in managing a fleet of trucks and drivers traversing international borders
    • Experience working with transport management systems tracking systems and software
    • Ability to work in a flexible schedule including overtime when required

    QSSK-LGE-CADHO-Chief Accountant-Divisional Head of Finance

    Job Purpose:

    To perform professional accounting work including preparing budgets, year-end financial reports and schedules; controlling expenditure, design & implementation of Internal control structures and Information Systems Audit towards business growth & profitability.

    FUNCTIONS/KEY RESULTS EXPECTED:

    • To provide accurate and timely financial service including setting and monitoring of budgets, forecasts, cash flow analysis, management and financial accounts and advice and support to inform decision making at all levels
    • To ensure that the Finance Managers are appraised of key financial issues that need to be discussed to enable them to fully understand the financial position of the company
    • Responsible for all statutory reporting, compliance, annual accounts and VAT submissions
    • Works with the finance team to develop finance policies and procedures and ensure that these are being consistently followed - including customer and supplier contracts, purchase orders, credit control, and ensuring timely invoicing by suppliers.
    • Generate monthly management accounts highlighting performance versus budget, explaining variances, recommending solutions and implementing relevant control measure to keep the company on track towards its annual target and strategic plan.
    • Ensure bank reconciliations are done and any variances ironed out, suppliers paid on time, customers pay on time etc.
    • To manage the annual & internal audit process in conjunction with the appointed auditors to ensure statutory accounts are produced within the required timelines, and ensure that audit management letter recommendations are addressed and implemented 30 days from audit closure.
    • Manage debt collection effectively.
    • Assess and report on the overall business risk, keep a business risk register and have controls in place to limit the risks, ensure business risks are insured at all times.
    • Manage the finance department and manage performance and departmental development through coaching and mentoring.
    • Adhere to transactional completeness on a daily basis on the ERP system, checking for accuracy and timely postings.
    • Ensure that the production ERP is capturing the correct tariffs in terms of pricing/costs movements
    • Ensure high level of discipline within the team and enforce disciplinary measures are taken where applicable.
    • Maintain and evaluate the internal control system
    • Conduct the divisional profitability
    • Any other duties that may be assigned by your Supervisor

    KEY CAPABILITIES AND EDUCATION:

    • Bachelor’s Degree in Finance or Accounting
    • Must have a CPA-K and ACCA
    • Minimum of 5 years of experience in a similar role preferably in an Logistics and Transport industry.(Audit experienced will be an added advantage)
    • Ability to manipulate large amounts of data
    • Proven knowledge of bookkeeping and accounting principles
    • High attention to detail and accuracy
    • Good leadership skills with the ability to direct and supervise
    • Excellent communication skills
    • High level of integrity required
    • Proficiency in the use of QuickBooks and MS Office, SAP will be an added advantage

    QSSK-SI-SS-Security Supervisor

    Job Summary

    To oversee and coordinate the security operations of the company by ensuring that agreed levels of service and contractual requirements with contracted security firms are achieved as a minimum requirement

    Duties And Responsibilities

    • Driving the truck from one point to another through inter-city or inter-state routes for purposes of delivering customer’s cargo to the designated destination
    • Ensure secure company premises and personnel by mounting physical patrols, monitoring surveillance equipment, inspecting buildings, equipment and access points and controlling all access/entry points
    • Ensure all employees and visitors have proper credentials for accessing buildings (ID badges and passes)
    • Oversee and coordinate the appropriate and tactful deployment of security staff within the company’s premises
    • Formulation of assignment instructions for contracted security guards
    • Coordinate with the contracted security service provider to ensure compliance with the requisite Service Level Agreement between the security firm and the company
    • Ensure that security incidents are reported and investigated promptly
    • Conduct security intelligence gathering on all aspects concerning the company’s assets, premises, employees and property
    • Administer and maintain discipline amongst security staff
    • Conduct performance appraisal for security staff
    • Enforce the company’s security procedures and regulations
    • Training on the job and induction of new security
    • Plan and coordinate escort duties involving security sensitive cargo
    • Complete incident reports and required documentation for all security incidents, including observations, information, occurrences and surveillance activities; interviewing witnesses; obtaining signatures
    • Protect the company’s assets relative to theft, assault, fire and other safety issues
    • Escalate emergency situations to law enforcement agencies as and when necessary
    • Monitor alarms and security cameras

    Knowledge, Skills, And Experience

    • Minimum KSCE qualification
    • Diploma in Security Management/Criminology or related field related field from a recognized institution
    • Training in security surveillance, detection and investigations will be an added advantage
    • Knowledge of new labour laws will be an added advantage
    • Minimum of 5 years working experience in security related duties
    • Experience and proficiency in MS Office packages
    • Working experience with the police, military or other security agencies will be an added advantage
    • Knowledge of Security Operations and Procedures

    QSSK-SI-HCD-HEAVY Commercial Driver

    Job Summary

    Driving heavy commercial vehicles for purposes of delivering customer’s cargo from the point of loading to the point of offloading in a safe, secure and efficient manner

    Duties And Responsibilities

    • Driving the truck from one point to another through inter-city or inter-state routes for purposes of delivering customer’s cargo to the designated destination
    • Inspect and check the truck’s mechanical and safety condition before and after every trip and perform preventative maintenance
    • Comply with truck driving rules and regulations with regard to size, weight, route designations, parking and break periods, the highway code as well as with company policies and procedures
    • Perform joint pre-trip inspection of the truck and the cargo in collaboration with the Health and Safety Officer to ensure the cargo is well secured and safe
    • Ensure the cargo is weighed before commencement of the trip to ensure the load it is within the permitted axle-load limits
    • Ensure all documents related to the cargo being transported are taken care of and produced at the required check points as required
    • Ensure truck is fueled with adequate diesel commensurate with the weight of the cargo and the distance to the destination
    • Observe safe driving at all times in compliance with the Highway Traffic code and other safety precautions provided from time to time ensuring the safety and security of cargo until it reaches its destination
    • Ensure cargo documentation is signed by the receiving personnel at the destination upon delivery of cargo to the client
    • Report and accidents or incidents experienced on the way to the appropriate personnel and seek any assistance required
    • Hand over all cargo documentation to the Operations personnel in charge upon return to base
    • Report any truck defects to the appropriate personnel by having the defects recorded in the Job Card to facilitate repairs

    Knowledge, Skills, And Experience

    • Minimum KCSE qualification
    • Must possess a valid driving license Class BCE with Articulated Special Type E endorsement for semi-trailers
    • Minimum of 5 years’ experience in driving HCV’s with a clean driving record
    • Experience in driving within the East African region routes and destinations
    • Knowledge of the customs and border clearance formalities will be an added advantage
    • Training and knowledge in basic motor vehicle mechanics will be an added advantage
    • Training in defensive driving, firefighting and first aid will be an added advantage
    • Ability to drive long hours and travel regularly
    • Extensive knowledge of applicable truck driving rules and regulations
    • Must have no record of previous recent driving violations and misconduct
