ROLE PURPOSE:
To provide expert coordination and administration for the Academy’s instrumental music program. This role is responsible for the end-to-end management of peripatetic tutors, the delivery of a structured curriculum, the care of musical resources, and the logistical support of performances, ensuring a high-quality, efficient, and growing musical education for all participating students. Additionally, the coordinator will provide peripatetic music instruction in their area of specialization (e.g., voice, choral direction)
ACCOUNTABILITIES:
Program, Curriculum & Administrative Coordination
- Plan, implement, and assess the termly activities of the peripatetic tutor team.
- Develop, publish, and manage the master timetable for all instrumental lessons, ensemble rehearsals (choir, orchestra, band, traditional ensembles), and sectional practices, ensuring alignment with the core school schedule.
- Oversee the instrumental curriculum, ensuring its implementation aligns with internal standards, external examination frameworks (e.g., ABRSM, LCM), and broader academic goals (IB, CBE).
- Manage the full student lifecycle for the program, including sign-up, induction, progress tracking, and exit processes.
- Maintain accurate records of student attendance, participation, and progress; coordinate termly progress reporting for students.
Tutor Management, Liaison & Quality Assurance
- Act as the primary liaison between the Academy and the peripatetic tutors/head tutor, facilitating clear communication on schedules, policies, and student updates.
- Participate in the onboarding and administrative integration of new tutors, ensuring safeguarding measures and adherences are strictly in place.
- Provide daily operational coordination and supervision, managing tutor schedules and addressing day-to-day queries in liaison with the Faculty Administration Officer (e.g., invoice processing).
- Conduct regular check-ins and facilitate bi-weekly operational meetings with the head tutor, in consultation with the Head of Arts, to ensure program cohesion.
- Monitor teaching quality through periodic observations and student feedback, sharing constructive insights with tutors to ensure consistent, high-quality instruction.
Resource, Inventory & Event Management
- Manage the instrumental inventory: oversee the issuing, secure storage, and timely maintenance/repair of all instruments.
- Liaise with the Procurement Department to source and order instruments and consumables.
- Ensure all teaching and rehearsal spaces (e.g., Music Centre) are appropriately set up, maintained, and scheduled.
- Collaborate with the Music Teacher, Head of Arts, and other key and direct stakeholders to plan, organize, and direct instrumental performances, recitals, and major productions (e.g., Christmas Cantata).
- Provide comprehensive on-the-ground logistical support for all rehearsals and performances, and prepare students for competitions and performance activities within budget.
Specialist Peripatetic Teaching Duties
- Provide peripatetic music lessons in own area of specialization – Voice.
- Assume responsibility for choral direction and training for the school choir(s).
- Manage teaching time effectively, foster a stimulating learning environment, manage student behavior, utilize resources efficiently, and use the Academy’s Learning Management System as required for all teaching sessions.
Other Professional Responsibilities
- Take ownership of own professional development and participate in Continuous Professional Development (CPD) provided by the Academy.
- Establish and maintain collaborative working relationships and relevant liaison and communication with staff and other stakeholders.
- Set performance objectives in line with the school’s appraisal system.
- Undertake any other additional tasks as may be reasonably required by the Head of Arts or Director of Teaching and Learning.
TECHNICAL AND PROFESSIONAL QUALIFICATION
- Bachelor’s degree in Music or equivallent
- Proven experience in program coordination, preferably within a performing arts or educational setting.
- Excellent organizational, planning, communication, and interpersonal skills with the ability to collaborate effectively with staff, students, and external trainers.
