    Principal Office Administrator

    Job Description

    Job Summary

    Reporting to the Chief Office Administrator, the Principal Office Administrator will be responsible for day to day administrative support functions for the Vice Chancellor’s Office. This role offers the opportunity to help establish and develop new systems and processes, working closely with the university’s governance teams.

    Key Responsibilities

    • Organizing and facilitating the smooth operation of Board meetings, taking minutes and maintenance of such records;
    • Organizing and facilitating the smooth operation of University Council meetings, taking minutes and maintaining the records of all University Council meetings;
    • Organizing and facilitating the smooth operation of Management Board meetings, taking minutes and maintaining the records of all Management Board meetings;
    • Organizing and attending University Senate meetings, taking minutes and maintaining the records of all University Senate meetings;
    • Distributing Minutes and follow up of implementation of resolutions from the Board of Trustees, University Council, University Senate & Management Board meetings;
    • Management of the portals for the Board of Trustees, University Council, Management Board, and University Senate;
    • Assist with development and induction/orientation of Trustees and members of the University Council;
    • Cost-effective management of office supplies/equipment/furniture managing basic office maintenance in liaison with the Chief Office Administrator.
    • Initiate and process payment and purchase requisitions for departments and divisions which report to the Vice Chancellor’s office
    • Liaise with relevant offices to secure meeting rooms, request for audio-visual needs and organize catering needs for internal meetings of the Vice Chancellor
    • Handle and direct phone calls when required
    • Receive and execute requests for dispatch of international and local mail
    • Perform any other duties as may be assigned              

    Minimum Academic/Professional Qualifications & Experience

    • Bachelor’s degree in Business Studies or Social Science from an accredited institution;
    • Relevant Master’s Degree
    • Proficiency in computer applications
    • Certified Public Secretary (CPS-K) qualification and a valid registered member with a practicing certificate.
    • Shown merit and ability as reflected in work performance and results.
    • Served as Senior Office Administrator for a minimum period of 3 years;
    • Experience in taking minutes at Board level and in accordance with regulations on minutes.
    • Demonstrate excellent interpersonal, communication and analytical skills with good understanding of administrative and report-writing skills as well as procedures in service delivery.

    Chief Manager - Fundraising

    Job Description

    Job Summary

    Reporting to the Director of University Advancement, the Chief Manager - Fundraising is charged with the responsibility of developing strategic and operational goals of the Fundraising Department; ensuring effective implementation of the fundraising programs among corporate organizations, foundations and other strategic segments.

    The Chief Manager - Fundraising will provide leadership and supervision to the Principal Fundraising Officer, Fundraising Officer, University Advancement staff and volunteers in prospect research, database management, stewardship and donor recognition.

    The Chief Manager - Fundraising will work closely with the Departments of Alumni Relations, Partnerships and External Linkages, and Marketing and Communications; Deans of Schools, departmental heads, student government, Divisions of Finance, and ICT; and the other key functions of the University.

    Key responsibilities

    Development and implementation of the Fundraising strategy

    • Conduct appropriate research and develop sufficient intelligence on the donor market;
    • Spearhead thought and planning for effective engagement with the prospective and current donors;
    • Engage key stakeholders in developing and acquiring approval of the overall university fundraising strategy;
    • Harness resources for effective implementation of the university fundraising strategy.

    Managing the Fundraising Team

    • Set, monitor and support the team in achieving fundraising targets;
    • Create an enabling environment and culture for staff to manage their tasks;
    • Lead the team to plan, implement, monitor and report on their responsibilities;
    • Coach, mentor and train the fundraising team to deliver superior results;
    • Engage the team in seeking and running large gifts acquisition campaigns.

    Managing Fundraising programs

    • Ensure effective planning and implementation of fundraising programs;
    • Researching and approaching trusts, foundations, government agencies, development partners and other potential donors to support advancement of USIU-Africa;
    • Writing and presenting funding proposals, grant applications and donor-acceptable requests that will yield desired resources to support USIU-Africa development programs
    • Managing the grant application process and ensure effective monitoring and reporting to meet donor requirements;
    • Monitor effectiveness of fundraising programs and make necessary adjustments to achieve desired results;
    • Developing relationships with major donors, identifying potential donors and nurturing strong long term relationships.
    • Develop, manage and report on fundraising budgets
    • File periodic reports of fundraising team activities

    Managing the annual campaign

    • Employ cutting edge strategies to acquire donors and sponsors mainly through face to face, phone marketing and online activities;
    • Develop relevant collateral and giving tools to support the acquisition activities;
    • Host events and other activities that will help acquire donors and partners for the annual campaign;
    • Work closely with Advancement staff to appreciate, recognize and build strong relations with donors.

    Development and implementation of innovative fundraising tactics

    • Continually study market trends and donor preferences to develop creative, productive donor engagement strategies;
    • Market test ideas to ascertain productivity in building long lasting relations to donors;
    • Develop and manage bequest program, community fundraising program, corporate and philanthropic fundraising program, web acquisition program and all other foreseeable fundraising programs.
    Educational Qualifications and Professional Experience
    • Graduate degree in Business-related studies, communications or international relations from an accredited university;
    • Five years’ experience in fundraising, preferably in higher education settings;
    • Demonstrated management experience of at least three years in a multi-level and cross-cultural relations in an international environment.

    Principal Officer - Gender Equity & Protection

    Job Summary

    The Principal Officer will be responsible for ensuring adherence to the current legislation and international conventions in matters gender equity and protection within the university. Further, he/she will be required to provide prompt responses and effectively stop problem behaviour, prevent its recurrence and remedy the effects as per the provided guidelines. The officer will generally serve to eliminate, prevent and redress known instances of gender based misconduct or violence with fair and efficient processes that are intended to support the entire University Community.

    Key Responsibilities
    1. Community Outreach and Education
    2. Provide information to students, employees and others regarding University policies related to harassment and discrimination.
    3. Facilitating accommodations to address safety concerns and to support victims and complainants so that academic and professional pursuits may continue unimpeded.
    • Collaborating with community partners to assist with a resolution that balances the needs of the individuals involved with those of the larger community.
    1. Create and facilitate training and presentation to students, student groups and university employees regarding the university’s non-discrimination policies and integrating best practices into the complaint resolution process.
    2. Cultivate relationships with university stakeholders i.e. students, faculty and staff.
    3. Develop and maintain relationships and clear communication channels with the university and other stakeholders including the community.
    • Collaboration with on and off campus resources including law enforcement agencies and victim services in resolving complaints.

    Minimum Educational Qualifications and professional Experience
    • MA in Gender Studies or equivalent from an accredited university.
    • 5 years’ experience in gender advocacy with emphasis on diversity management, emancipation policies, inclusion/exclusion and discrimination.

    Director E-Learning

    Job Description

    Job Summary

    Reporting to the Deputy Vice Chancellor-Academic and Student Affairs, the Director e-learning will lead the University towards developing and operationalizing a strategic approach to technology-enhanced e-Learning in support of student learning outcomes.

    The Director e-Learning will work closely with Instructional Deans, the Director ICT and the DVC, Academic and Student Affairs to create a vision and strategy for successful eLearning at United States International University-Africa. He/she will provide leadership and direction for the enhancement of the student learning experience by facilitating pedagogical innovation and creativity with regard to e-Learning.

    The Director will also take overall responsibility for the management of the e-Learning support team, collaboration with the Quality Assurance (QA) team, the ICT Division, the Centre for Enhancement of Learning and Teaching (CELT) and faculty to implement best-practice e-Learning pedagogy that will support the University’s mission and vision for student success.

    Key Responsibilities

    • Establish and direct the implementation of e-Learning strategic goals, policies and standards that support the University’s core mission and vision;
    • Liaise with Quality Assurance (QA) to develop documentation on various modes of online instructional technology delivery in a manner that meets the compliance requirements of the University’s dual accrediting bodies;
    • Develop instructional technology support based on a solid understanding of USIU-Africa’s e-Learning practices and instructional strategies;
    • Lead on the selection, application, and development of technology in respect to e-Learning, consultancy, student recruitment and research as revenue earning activities;
    • Work in close collaboration with Instructional Deans and Academic Department Chairs to identify and select candidate courses and/or programs for various online delivery modes e.g. blended/hybrid learning, flipped classroom learning, pre-University practice, distance learning etc;
    • Work in close collaboration with Instructional Deans and Academic Department Chairs to develop and package instructional content, schedule delivery of the scheduled courses and/or programs considering market needs, departmental priorities, resources, and availability of personnel; assisting in decisions regarding opening and closing courses based on instructor availability, academic approval, status of development; and set enrollment targets as necessary;
    • Facilitate the use of course design standards, procedures and pedagogical practices that apply to USIU-Africa’s e-Learning courses;
    • Liaise with QA to implement quality control practices; monitor e-Learning student satisfaction, retention and faculty performance in line with best practice;
    • Train and mentor faculty engaged in designing, instructing, or reviewing online courses; research, develop, and schedule quality-training opportunities for new and continuing faculty, in the use of technology in instruction design support, for the purpose of assisting students in using e-Learning tools for effective study;
    • Supervise, guide, and evaluate performance of the e-Learning support team and other professional staff as assigned;
    • Research and implement new instructional strategies to remain competitive in the delivery of education; emerging technologies and their application to teaching and learning across the University;
    • Create, lead and communicate campus-wide discussions regarding the University’s e-Learning initiatives and practices;
    • Provide leadership for the adoption, training and utilization of the University’s Learning Management System (Blackboard) and related applications;
    • Develop strategies and inform decision-making about adoption of e-Learning practices that promote USIU-Africa’s visibility and recognition as a Centre of Excellence in e-Learning;
    • Pursue partnerships, funding opportunities and manage the University’s e-Learning budget to enhance e-Learning opportunities and support student success initiatives.
    • Encourage and facilitate a positive working environment with all stakeholders; provide positive team development and lifelong learning staff development opportunities;
    • Effectively represent USIU-Africa at forums involved with vision, outcomes, policy, implementation and future trends as applied to instructional technology and e-Learning delivery methodologies;
    • Perform other duties as may be assigned from time to time.

    Minimum Educational/Professional Qualifications & Experience

    • PhD in e-Learning or equivalent.
    • Membership of one or more reputable professional organizations.
    • At least 7 years post-doc experience in e-Learning and/or the use of educational technology (teaching and/or research) senior roles at a University.
