    Sponsorship Officer

    JOB DESCRIPTION

    Div/Dept: Global Operations

    Location: Country Office

    Reporting Relationship: Sponsorship Manager

    summary

    The position is responsible for providing technical and administrative support for sponsorship in support of its goals and objectives, providing a transformative giving experience for donors and a positive sponsorship experience for children. He/she ensures that the sponsorship systems and processes are managed according to policies and standards and that sponsorship database information is accurate, up-to-date, and utilized for management decision making. Supports in the compliance by partners in time and content of sponsorship correspondence, communications, and products is of prime importance. Also critical to the position is the capability to generate in the internal process of the CO all the required sponsorship communications for the appropriate stakeholders. Works to develop in others the capacities and accountability for the delivery of sponsorship requirements and seeks to integrate actions and plans with program strategies.

    DUTIES/RESPONSIBILITIES

    Sponsorship Compliance Responsible for Day-to-day management of high quality and timely process flow of child inventory and sponsor/child correspondence to ensure that all sponsorship materials are satisfactorily processed and responded to within the content and time standards, and ensure fast, efficient and comprehensive action on requests for information. Proactively identifies process gaps; Proposes process improvements, develops testing, and works within the office and with partners to identify best practices for addressing these gaps.

    Sponsorship System Administration Ensure that the sponsorship system (Salesforce) is maintained and operated according to the organization’s prescribed quality standards. Develops and correctly uses reports from the sponsorship system and database, and analyzes sponsorship information, interpret trends and generates insights and observations for management decision and action, including recommendations to improve efficiency and quality.

    Performance Management (M&E) Provides support/analysis on sponsorship performance information for program and management action and decision making. Participates in key activities/events; sponsorship related processes and events to review the quality of sponsorship monitoring and reporting systems, tools; practices and processes. Coordination is also achieved for implementation of M&E level 1 and 2 exercises to contribute to continuous sponsorship awareness on the well-being and rights of enrolled children and promote greater program integration efforts.

    Technical Support Assures that partners receive effective guidance and orientation on technical aspects of sponsorship such as enrolment management, new pilot initiatives, awareness raising methodologies for families, and the overall sponsorship management of correspondence and communication processes and cycles etc. Responsible for the dissemination of best practices across partners.

    Capacity Building Improves the awareness and knowledge of staff in sponsorship matters to assure that CO is adequately supporting our donor engagement strategy. Works to improve the competencies of partners to develop and implement a meaningful sponsorship approach which is of value for families and children and responsive to donor perspectives.

    Coordination and integration Coordinates with other CO function areas in order to maximize sponsorship collaboration efforts in the field and in the CO itself with the purpose of implementing an effective use of time and effort that is dedicated to sponsorship tasks and activities as well as its integration with program initiatives. Manage and coordinate sponsor visits to include itinerary preparation, logistics, supervision and development of sponsor visit report.

    Child Safeguarding; Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy

    QUALIFICATIONS/EXPERIENCE

    • 3-5 years progressive work experience with children and youth in child development administration in an international not-for-profit environment;
    • Demonstrated experience in handling information and data base system;
    • Experience in design and facilitation of training programs.
    • Strong interpersonal communicative skills; ability to work and communicate with employees of all levels;
    • Above average computer proficiency in database systems and general office software applications (i.e. Word, Excel, Outlook); and
    • Familiarity with process-oriented operations and workflows, well as with policies and standards.
    • High degree of problem-solving skills and autonomy
    • Excellent organization and prioritizing skills - ability to handle and perform in fast-paced, multi-task environment
    • Desire to learn process management tools; process management experience a plus
    • English fluency

    Education

    Technical degree or similar in international development, child development or related field and/or equivalent relevant work experience

    Food Security and Livelihoods Specialist

    Reporting Relationship: Country Office Program and Sponsorship Director

    summary

    The Food Security and Livelihoods (FSL) Specialist will be responsible for providing technical leadership in all agriculture, food security, and livelihoods (FSL) programs in ChildFund Kenya. S/He will be responsible for translating all FSL related strategic priorities in the Country Strategic Plan into implementable actions and interventions. The holder of the position will lead the design and development of FSL programs and projects, identifying new business opportunities, and engaging with current and new donors regarding FSL activities. S/he will ensure that FSL programs implemented either directly or through local partners are of the highest technical quality through provision of regular technical oversight and support, program monitoring and reporting.

    DUTIES/RESPONSIBILITIES

    1.  Program Leadership and Direction

    • Lead and provide technical support in the design and development of food security and livelihoods country strategy(ies), frameworks and programs interventions;
    • Contribute and participate in the development of country strategic plan and related country level strategies.
    • Support the socialization and cascading of the Country Strategic Plan (CSP) -FSL priorities among local partners, stakeholders and donors;
    • Advise the Senior Management Team
    • n FSL strategic issues, emerging opportunities and trends;
    • Promote integration of FSL programs with other sectors priorities through creation of linkages and joint participatory planning processes.

    2. Program Management

    • Oversee country FSL portfolio, support new program/project start-ups and close-out
    • Support local partners in the mobilization and set-up processes for new FSL grants.
    • Ensure donor requirements for data collection, reporting, and targets/achievements for FSL programs are met
    • Contribute in the development of Country Annual Operating Plan and Budget (AOPB) and support local partners in the development and thorough review of their AOPB;
    • Closely work with other members of the ChildFund program and Local Partner program teams to achieve FSL program objectives;
    • Monitor program expenditure and regularly liaise with finance staff to address spending issues;
    • Carry out program monitoring and review to identify program constraints and challenges during implementation, propose solutions and accordingly oversee implementation of proposed changes;
    • Ensure all FSL interventions are completed on time, within budget and that they achieve their objectives
    • Develop technical reports (internal and external) and proposals reflective of government, organization and donor guidelines, ensuring timely submission to line management.

    3. Program Design and Development

    • Work closely with the grants team in the design and formulation of new proposals providing technical and budgetary input throughout the program development and design phase on FSL;
    • Identify, initiate, and lead on new potential FSL funding opportunities (e.g. consortiums, new calls for proposals)
    • Lead scoping missions, engage with new donors on FSL opportunities and identify potential new business opportunities for new FSL programs.
    • Ensure FSL programmes learnings are documented and shared

    4. Program Representation

    • Participate in the FSL Forums, technical working groups, networks and other coordination activities through active reporting and communication with field and national level focal points
    • Represent and promote ChildFund Kenya FSL programs externally with relevant stakeholders, including national and county Governments, donors and NGO partners.

    5. Child Safeguarding:

    • Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy-
    • Reinforce and ensure compliance with policies and procedures in child safeguarding

    QUALIFICATIONS/EXPERIENCE

    Required

    • A degree in Agriculture, Rural development, Social Economics or other related professional field; a master’s degree an added advantage
    • At least 3 years of field experience in program design, implementation, monitoring and evaluation of FSL programs.
    • Strong technical background and experience in agricultural production, value chain management, microfinance/credit, and marketing.

    • Good understanding of donor policies and procedures related to FSL programs’ monitoring, impact evaluation and reporting mechanisms (USAID, EU, DFID, UN Agencies etc.).
    • Good negotiations and communication skills; excellent writing skills
    • Ability to deliver high quality work within tight deadlines
    • Demonstrated strong management, coordination, teamwork and planning skills.
    • Excellent facilitation and coordination skills.
    • Ability to coach, mentor and develop technical capacity of staff and partners.

    Preferred

    • Experience in managing and implementing cash transfers, voluntary Saving and Loan Schemes and understanding of FSL in emergency contexts;

    Support

    The FSL Specialist can draw on the support of Country Office team members in the development of his/her responsibilities. Preferably these Country Office team members provide input into recruitment, performance planning and evaluation. The primary Country Office members for this position will be:

    • Program and Sponsorship Director, Child Protection & Advocacy Manager, Sponsorship Manager, Partnership Portfolio Manager, Program Quality Manager, Program Assistant
