    Administrative Assistant (Temporary) ,Accident and Emergency

    Job Purpose:

    Responsible for running and coordinating the day-to-day administrative duties and clerical support to the department.

    Responsibilities:

    • Assist in all administrative tasks related to Emergency Department.
    • Maintain fee notes for all physicians on temporary basis in the department.
    • Meeting organization: schedule meetings and appointments and ensure all support and logistics for meetings are provided before the start of the meetings.  Attend meetings and take minutes; Follow up and closure of action items from meeting discussions.
    • Ensure operation of all equipment in the department, by completing preventive maintenance requirements; calling for repairs and maintaining equipment inventories.
    • Maintain a filing system of records and retrieving information as and when required.
    • Assist in organizing and preparing medical reports
    • Maintain a supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
    • Maintain and update the physician duty rota.
    • Maintain and update the pool summary of both doctors and nurses.
    • Providing periodic reports as and when required.
    • Complete any other duties assigned by the manager.

    Requirements:

    • A diploma in Secretarial Studies or equivalent/Degree in Business Administration will be an added advantage.
    • KCSE with a minimum of grade C or equivalent
    • At least 2 years of experience in a similar role
    • Excellent interpersonal/communication skills
    • Excellent organization skills
    • Attention to detail and problem-solving skills
    • Capacity to manage several tasks and requests simultaneously
    • Has initiative and is proactive
    • Possess good discretion and judgment
    • Excellent telephone handling skills
    • Good grooming and self-presentation
