    Analyst

    Role Summary

    • We are looking for an Operations Analyst who will work with the Operations Associate and Senior Manager for Strategy & Operations to help design and continuously improve the systems and processes that enable Global Client Solutions (GSC) to successfully achieve its vision.
    • The GCS team is a globally distributed team of over 60 individuals. The team sits at the heart of how we define “what we do”, and distributes the best of the Institute and our networks to global leaders through our country advisory teams. As a centre of excellence, GCS is comprised of global and regional experts, across our key functional and sectoral areas of expertise. Our experts provide valuable advice, technical support, thought partnership and surge capacity for our client work, and lead the development and evolution of our solutions, methods, and offers in service of our partner governments.
    • Through our country teams and embedded advisors working hand-in-hand with government, we assemble, tailor and distribute our offer to address specific and ever-evolving needs in the various contexts we operate in across the world. The Operations Analyst will play an important role in supporting the team with these efforts.
    • This role requires a structured problem solver and clear communicator, who is energised by working across projects, in a team central to TBI’s mission. The ideal candidate is proactive, independent and curious. Any experience in areas such as stakeholder management, project management, communications and business process design are an additional bonus.

    This role will focus on:

    • Communicating internally and supporting Global Advisory Knowledge Management
    • Supporting the design and maintenance of internal processes and tools
    • Supporting Management in running the day-to-day operations of GCS

    This role will be a part of the Strategy & Operations team. This role will also require you to work closely with the entire GCS team, and broader TBI.

    Key Responsibilities
    The key responsibilities of this role will include:

    • Communicating internally and supporting Global Advisory Knowledge Management
    • Support GCS Operations in the delivery of our internal communications plan, ensuring the wider Institute is up to date on the value GCS is delivering for TBI
      • Including: developing of comms collateral as required, e.g. newsletters, MS Teams updates, introductory PPTs or explainers, Sharepoint websites, material for presentations/events
    • Helping to ensure effective distribution and knowledge management of GCS knowledge assets (e.g. client offer summaries, How-To-Guides and case studies)
    • Proposing, designing and managing core assets that support the goal of GCS to provide enabling expertise to our Country Teams
    • Being a touchpoint for GCS for across TBI, ensuring you are up-to-date with initiatives across the organisation
    • Supporting the design and maintenance of internal processes and tools
    • Collaborating with teams across the organisation to set up common tools (e.g. Expertise Databases), processes and standards (e.g. RACI frameworks), particularly for use by GCS experts and TBI country teams in advisory
    • Supporting the design and daily management of processes required to enable our wider organisation to tap into the codified expertise and resources provided by GCS
    • Examples of tasks include e.g.:
      • Support in mapping current state processes and diagnosing pain points in existing ways of working
      • Support planning of workshops with stakeholders across the organisation to create alignment on solutions
      • Summarising outcomes and end products succinctly for distribution to wider organisation, leveraging strong analytical and visual presentation skills
      • Support in outlining required onboarding and change management needed to implement new processes successfully
      • Outlining roadmaps and other project management materials as needed to manage the implementation of new processes / systems
    • Supporting Management in the day-to-day operations of GCS
    • Supporting Senior Management with the daily operations of GCS. This could include:
      • Preparing for and leading team gatherings
      • Leveraging newly implemented management systems and tools, to e.g. respond to requests from Country Teams for Central team data or ensure effective coordination across efforts of the team
      • Preparing documents/presentations for Senior Management, including the Executive Director
      • Supporting induction and onboarding of new staff, and/or consultant experts
    • Supporting the organisation of internal GCS and Global advisory events
    • Supporting GCS unit performance management e.g. reporting against our team’s OKRs & KPIs
    • Deputising for the Operations Associate as required

    Person Specification
    The successful candidate should demonstrate the majority of the following:
    Experience/Background

    • Some work experience within an office environment welcome
    • Experience in project and change management desirable
    • Analytical and visual presentation skills, with strengths in Excel and PPT. Experience with PowerBI, Sharepoint sites, or Monday.com is a bonus
    • Any additional language skills are a bonus

    Soft skills

    • Curious and eager to learn, willing to pitch in with a ‘can-do’ attitude
    • A team player with high EQ and ability to navigate ambiguous and matrixed environments, and is comfortable at managing up and beyond hierarchy
    • Confident communicator, with the ability to tailor messaging depending on the audience/medium
    • Stakeholder management and influencing skills, able to align multiple stakeholders on new processes and developing buy-in
    • Results and outcomes focused
    • Creative problem-solving and structuring skills, and ability to identify opportunities for improvement
