    Executive Assistant & Office Management

    Position Summary:

    Based in Nairobi, Kenya, this role will have responsibility for ensuring the effective running of the NBA Kenya office, taking a lead role in operational resilience, business crisis planning, and supporting local administration from the various departments including basketball operations, Events, and Marketing/PR. This role will also provide support as needed to the Head of NBA Kenya.

    Major Responsibilities:

    • Responsible for ongoing management and administration of the NBA Kenya office - including relationship management with building facilities, office set-up, and Covid-19 health & safety protocol implementation and adherence
    • Covid-19 Analyst & Scribe - support Crisis Management team in analyzing developments regarding COVID-19 and ensure relevant documentation is prepared to support decision making and document decisions made Health & Safety Management
    • Support local communications including crafting and distributing internal and external memos, emails, etc.
    • Provide as-needed administrative support to the Head of NBA Kenya, Basketball Operations, Events, and Marketing/PR staff
    • Maintenance of the deal-management system, KPI dashboards, and expense submissions and processing for leadership, as required
    • Support the Head of NBA Kenya in the running of the Kenya business
    • In coordination with the Global Security team, develop, maintain, and update key Operational Resilience documentation
    • Crisis Coordination - Partner with NBA Security in managing crisis scenarios when they materialize
    • Manage guest and client registration system in partnership with building security
    • Screen calls/emails relating to inquiries and meeting requests
    • Coordinate travel arrangements including, but not limited to, flights, lodging, and transportation
    • Manage the facilities and day-to-day office management including relationships with office suppliers and maintaining H&S regulations and responsibilities
    • Assisting in the collation and preparation of presentations and documentation, per the guidance of Leadership
    • Support HR with employee compliance and employee safety matters

    Required Skills/Knowledge:

    • Impeccable organizational skills with a proactive approach to anticipating office needs
    • Exceptional project management skills
    • Ability to demonstrate high levels of tact, discretion and judgement when working with confidential/sensitive information
    • Excellent communication and interpersonal skills with the ability to build relationships at all levels
    • Excellent computer skills including PowerPoint, Excel, Word, Adobe Photoshop, and Illustrator
    • Self-starter who is capable of operating in an entrepreneurial environment
    • Verbal and written proficiency in English is required. French proficiency is a plus
    • Knowledge of event marketing, experiential marketing, media, brand management, promotions, hospitality management and project management
    • The position will require occasional international travel across the African continent
    • Ability to work in a fast-paced and dynamic and focused environment.
    • A strong work ethic and business acumen
    • Personable, flexible and a proactive team player

    Experience Needed:

    • 7+ years of previous experience in an EA/PA or Office Manager role supporting senior-level executives
    • Minimum of 5 years of professional experience in events operations/management
    • Experience in general office facility management and strong coordination experience
    • Prior experience working across the African continent, preferred
    • Prior experience managing events budgets and events agencies, required
    • Experience working with corporate partners, delivering on contractual obligations, and providing exceptional client/partner experience
    • Experienced and highly proficient in using the MS Office

    Educational Background:

    • Bachelor's degree preferred, but not required
    • Project management certification is a plus
