    Finance and Office Assistant

    JOB PURPOS

    In this role you will provide support to the Finance Team in the organizational functions of Amnesty International's Nairobi Hub Office, to enable the efficient operation of the office's human rights work programme.

    ABOUT YOU

    As someone with experience of working in an accounts department, you will have demonstrable knowledge in accounting procedures, with a good understanding of systems, such as Microsoft Office.

    MAIN RESPONSIBILITIES

    • Provide administrative support to hub staff, particularly to the Nairobi Hub Director and Deputy Director(s) including processing invoices/expenses and making travel arrangements.
    • Work with co-located section administrative staff to ensure first point of contact for visitors and those wishing to connect with members of Amnesty International staff to ensure email, phone and in person queries are routed to appropriate colleagues and a professional welcome is provided.
    • Support the financial control of the Nairobi Hub Office's activities through the preparation of monthly balance sheet reconciliations and by ensuring adherence of office to all policies.
    • Support the Finance and Office Manager in ensuring the cash flow of the office is managed to ensure sufficient liquid reserves and minimal exchange rate risk, in conjunction with the IS London Finance team.
    • Perform timely and efficient processing of expense claims, invoices, travel advances and cash payments, via use of automated systems where possible.
    • Provide basic support for IT systems and user support including connecting to printers, password recovery etc.

    SKILLS AND EXPERIENCE

    • Experience in an administrative office role; excellent multi-tasking and time management skills.
    • Experience of dealing with suppliers, officers within government administration functions and external contacts; ideally will have maintained a relevant local network.
    • Experience of monitoring budgets and an ability to identify budget problems and communicate to the relevant staff.
    • Experience of supporting relocating international staff in settling into new location, providing immigration liaison support, organizing accommodation etc.
    • Fluent in written and spoken English
    • Bookkeeping and payroll experience are desirable.
