Our client is a Non-Profit organization that houses, fosters and catalyzes creative and community-driven projects for social change. They seek to hire a Finance Manager who will play a crucial role in overseeing all aspects of financial management for the organization’s diverse projects. This role involves developing and implementing financial strategies, managing budgets, preparing donor reports, ensuring compliance with grant management procedures, and maintaining adherence to Kenya’s tax laws. The Finance Manager will work closely with the project teams to ensure financial sustainability, transparency, and accountability in line with the organization’s mission and vision
Key Roles and Responsibilities:
Financial Planning & Management:
- Oversee and manage the overall financial operations, ensuring sound financial practices.
- Develop and implement financial strategies to support the organization’s projects, operations, and growth.
- Preparation and presentation of monthly /quarterly/annual management reports to management
- Manage the preparation of the annual budget and ensure alignment with project activities and donor requirements.
- Preparation of donor project based budgets and regularly monitor the implementation and burn rates
- Regularly monitor cash flow, and expenditures, and provide updates to senior management regarding financial health
- Preparation of financial reports to be shared with the donors and auditors
Grant Management & Reporting:
- Lead the preparation and submission of financial donor reports, ensuring compliance with the specific requirements of each funding body.
- Track and monitor funds allocated to different projects, ensuring correct utilization and financial accountability.
- Collaborate with the Program Manager to ensure that financial data is accurately captured and reported for all donor-funded projects.
- Maintain a robust system for tracking restricted and unrestricted funds across different projects.
Donor Relations & Grant Writing:
- Support the team in preparing grant proposals by providing accurate financial information and projections.
- Assist with the financial sections of proposals, budgets, and donor communication.
- Ensure alignment of financial plans with donor expectations and organizational goals.
Financial Compliance & Internal Controls:
- Ensure adherence to the organization’s finance & Administration policies and procedures as well as legal regulations.
- Conduct regular internal audits to ensure proper financial controls are in place and prevent mismanagement.
- Advise the leadership team on financial risks, opportunities, and compliance issues.
Tax Compliance & Statutory Payments:
- Ensure accurate and timely submission of all statutory payments, including PAYE, VAT, NSSF, SHIF, and other relevant taxes in accordance with Kenyan tax laws.
- Stay updated on changes to Kenya’s tax laws and ensure the organization remains compliant with all local taxation requirements.
- Prepare and submit tax returns and ensure all necessary documentation is in place for audits or government inspections.
- Advise the senior management team on tax planning and strategies to ensure optimal tax compliance and efficiency.
Project Financial Monitoring & Support:
- Work closely with project teams to provide financial oversight and support.
- Ensure that project budgets are properly allocated, tracked, and adhered to.
- Review and analyze financial reports for project teams and offer recommendations for improving financial efficiency.
Payroll & Staff Administration:
- Oversee the payroll process to ensure timely and accurate compensation of staff and consultants.
- Manage staff benefits and ensure compliance with tax and labor laws.
Capacity Building & Training:
- Supervise, train and review the work of the finance & Administration function i.e. the finance officers, procurement officer & administration staff
- Provide training to project teams and staff on financial management best practices.
- Ensure that all relevant team members understand financial reporting requirements and processes.
Required Specifications;
- A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- A professional qualification CPA – K is mandatory.
- At least 5 years of experience in financial management, within a non-profit organization preferred
- Experience in, donor reporting, financial management of donor-funded projects and a strong understanding of Kenya’s tax laws is essential.
- Strong understanding of financial management practices, accounting principles, and financial reporting.
- Experience with financial software (QuickBooks,) and use of ERP systems.
- Proven ability to prepare and manage budgets, as well as generate and interpret financial reports.
- Excellent organizational skills with the ability to manage multiple projects and deadlines.
- Strong written and verbal communication skills, particularly in writing donor reports and grant proposals.
- Strong analytical and problem-solving skills.
