    Front Office Administrator

    We are looking for a capable and friendly front office administrator to work at our reception office. To ensure success, front office administrators should possess the qualifications and experiences listed below.

     Front Office Administrator Requirements:

    • Formal qualification – Diploma or Degree in office administration, secretarial work, or related training from a recognized institution.
    • Associate degree in a related field.
    • 2-3 years of experience in a similar role.
    • Exceptional ability to create a welcoming environment.
    • Experience in answering and screening calls, as well as scheduling appointments.
    • Ability to observe business etiquette and maintain a professional appearance.
    • Proficiency in appointment scheduling and call forwarding systems, such as Google Calendars.
    • Good computer skills and experience working with word processing, spreadsheets, and emails, MS Office including Microsoft Word, Excel,
    • Working knowledge of printers, copiers, scanners, and fax machines.
    • Excellent interpersonal, communication skills, and Telephone skills, including fluent spoken and written English.
    • Proficiency in any internationally recognized languages i.e., French, German, Spanish and Chinese will be an added advantage
    • Attention to detail.
    • Desire to be proactive and create a positive experience for others.
    • Handling office tasks, such as filing, generating reports and presentations.
    • Providing real-time scheduling support by booking appointments and preventing conflicts.
    • Making travel arrangements, such as booking flights, cars, and hotel and restaurant reservations.
    • Screening phone calls and routing callers to the appropriate party.
    • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
    • Greet and assist visitors.
    • Maintain polite and professional communication via phone, e-mail, and mail.
    • Anticipate the needs of others to ensure their seamless and positive experience.

     Front Office Administrator Responsibilities:

    • Reporting to management and performing administrative duties.
    • Answering telephone calls, as well as screening and forwarding calls.
    • Scheduling, booking, and confirming appointments, meetings, and events.
    • Welcoming and assisting visitors in a friendly and professional manner.
    • Handling basic inquiries and sorting mail.
    • Maintain a database of suppliers/vendors and service providers.
    • Copying, scanning, and filing documents.
    • Monitoring office supplies, ordering replacements and maintenance of office stationery.
    • Prepare petty cash records and cash count monthly and send information to the line manager.
    • Maintain an updated list of staff information, names, and contacts.
    • Be conversant with office and facilities access, security features layout and physical location
    • Keeping the reception area tidy and observing professional etiquette.
    • Manage all matters pertaining to office appearance and utilities
    • Performing other administrative tasks, if required
