    Graphic Designer/ Print Shop Operator

    Duties

    • This position provides multimedia and digital content services at Mission Nairobi, supporting a variety of departments with high-quality visual media, design, and digital production. This role encompasses the full spectrum of content creation, from creating professional-grade documents and graphic design materials to delivering high-volume outputs for reports, newsletters, and presentations.
    • The Graphics Designer/ Print Shop (Reprographics) Operator utilizes advanced software tools, including Microsoft Publisher, Illustrator, and Adobe Cloud, to produce business materials such as business cards, brochures, booklets, and posters. Additionally, the Operator oversees digital photography and graphic design for official purposes, producing high-quality images for identification cards, official documentation, and other formal requirements, while using tools like Adobe Lightroom to enhance photo quality. The role also includes maintaining and operating photography equipment, ensuring all content meets professional standards.
    • The reprographics Operator manages the setup, configuration, operation, and maintenance of multimedia equipment such as copiers, printers, scanners, and cameras, ensuring uninterrupted service through software updates, troubleshooting, and first-level maintenance. They are responsible for equipment setup, equipment maintenance, equipment software updates, procurement, time and attendance recording and yearly ICASS workload compilation.
    • Graphic and Document Design: Provide document and graphic design services using Microsoft Publisher, Adobe Illustrator, and Adobe Creative Cloud to create business cards, brochures, posters, and more, ensuring alignment with brand guidelines.
    • Digital Conversion: Convert hard copy documents into electronic formats (PDF, JPEG, etc.) for easy storage, sharing, and archiving.
    • Workflow Optimization: Streamline project workflows to improve collaboration, reduce turnaround times, and ensure efficient content production. 
    • Efficient Equipment Operation: Operate imaging and studio equipment, ensuring proper functionality and adherence to operational procedures.
    • Software Installation and Configuration: Install and configure necessary software for equipment functionality, ensuring it meets user requirements.
    • Equipment Setup and Configuration: Set up copiers, printers, scanners, cameras, and studio equipment to ensure smooth operation and readiness for users.
    • Software and Firmware Updates: Keep all software and firmware, such as Adobe Suite, copier firmware, and camera editing software, up to date to enhance performance, security, and access to new tools and features.
    • Adobe Cloud Utilization: Use Adobe Cloud products, including Adobe Lightroom, to enhance and optimize digital photo output.
    • Photography Equipment Management: Operate and maintain photography equipment such as digital cameras, backdrops, tripods, ink toners, and photo paper rolls to ensure smooth operations.
    • Official Photography Production: Capture high-resolution digital photos of Mission Staff and Eligible Family Members (EFMs), providing professional photography and graphic design services for official purposes such as ID cards, passports, and formal documentation.
    • Comprehensive Activity Logging: Maintain detailed and accurate records of all Media Production and Content Creation activities, including the specifics of incoming and outgoing faxes, ensuring all data is systematically captured for reporting purposes.
    • ICASS Billing Support: Ensure that logs are precise, complete, and aligned with International Cooperative Administrative Support Services (ICASS) billing requirements, facilitating transparent and accurate cost allocation for services rendered. 
    • Inventory Management: Maintain stock of essential materials (paper, toner, laminates, etc.) to support continuous production and avoid shortages.
    • Specialized Material Procurement: Source high-quality and specialized media, including photo paper, plotter paper, and graphic design materials for diverse projects.
    • Photography and Studio Supplies: Ensure availability of backdrops, lighting, ink, and photo paper to support professional photography services.
    • Software and License Management: Oversee procurement and renewal of licenses for Adobe Creative Cloud and other essential digital production software.

    Qualifications and Evaluations

    Requirements:

    • All selected candidates must be able to obtain and hold a: security clearance. 
    • All selected candidates will be subject to a background investigation and may be subject to a pre-employment medical exam. Selected candidate must be able to begin working within a reasonable period of time upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

    Education Requirements:

    • Completion of secondary school is required, with mid-tier computer skills essential for proficient use of digital tools, software, and multimedia platforms. A solid understanding of common office applications and design software is preferred.

    Experience:

    • Three years of administrative/ clerical experience is required. The incumbent must demonstrate prior experience with computers, along with a solid understanding of multimedia production and digital media content creation processes is required.
