    Human Resource Officer

    Recruitment:

    • Mapping received applications in line with the existing HR talent pool structure.
    • Assist with recruitment by shortlisting junior positions, scheduling interviews.
    • Compiling interview feedback from all the panellists, sending regret emails to unsuccessful candidates, conducting background checks and follow through to ensure closure of the recruitment process.

    Induction:

    • Coordinate with the relevant Department Heads to ensure the induction process is done for new employees within the stipulated timelines.
    • Conduct induction feedback from employees after the stipulated timelines, compile the reports and submit to the HR Manager.
    • Ensure all new staff joining the organization submit all the required documents to the HR Office before joining the organization.
    • Ensure the staff induction process is completed accordingly as per the process.

    Training & Development

    • Compile all training and development staff needs to be obtained from either the appraisal documents or any other channels using the provided templates.
    • Coordinate HR training sessions for staff by ensuring the training are conducted on a timely basis, training feedback is obtained and necessary action is taken.
    • Facilitate reimbursement of training costs from NITA

    Performance Management:

    • Issues performance feedback letters, action plans, and any other reports from the performance appraisals as per the stipulated templates with the guidance of the HRM
    • Coordinate any performance-related concerns between the HR Office and respective departments as per the performance management process.

    Payroll:

    • Prepare complete and accurate payroll before the 23rd of every month.
    • Meticulously process payment for casual employees twice a month.
    • Issue system-generated pay slips to all employees.

    HR Admin & Reporting:

    • Hard and soft copy filing of staff documents as per the HR filing system and the company’s knowledge management standards.
    • Prepare leave liability reports on a monthly basis as per the stipulated templates.
    • Respond or advise staff on HR policies, processes and initiatives.
    • Ensure you inform the HR Manager of welfare issues in relation to the staff e.g. weddings etc
    • Schedule HR Manager’s meetings both internal and external and ensure that documents required for the meetings are availed one (1) day prior to the meeting.
    • Providing administrative support to the HR Office on staff documents and letters as per company templates.
    • Preparation of HR reports monthly reports.
    • Participate in employee disciplinary procedure by; writing show cause letter, scheduling disciplinary hearing meetings, minutes taking and drafting the necessary disciplinary letters as per the disciplinary process.

    Qualifications, Experience and Competence:

    • B.Sc. Human Resource Management.
    • A diploma in Human Resource Management will be an added advantage.
    • IHRM membership is a must.
    • 4 years of progressive practical experience with at least 1 year dealing with payroll.
