    Temporary Administrative Support – Teaching & Learning Center

    Scope of Responsibilities:

    Teaching and Learning Center (TLC) Center: The TLC hosts the Director of Teaching and Learning and the Head of Student Support Services (HoSSS). The TLC assistant is responsible for the management of the Teaching and Learning Center office. This office serves all divisions of the school and the assistant helps to coordinate student support needs of all divisions. In addition, the TLC Admin Assistant assists in the management of schoolwide projects such as consultant visits, conferences and/or accreditation visits.

    Specific Responsibilities

    Associations of International Schools in Africa (AISA)

    • Act as the ISK-AISA rep.
    • Update the information on the AISA website.
    • Coordinate the AISA-ISK learning institutes as per the contract and take lead on invoicing and communication.

    Professional Learning & TLC Events

    • Coordinate the day-to-day operations of the Teaching and Learning Center, including managing schedules, resources, and logistics.
    • Coordinate the logistics for school-wide events such as IMPACT, accreditation visits, consultant visits, conferences, and professional development workshops, both internal, and for the public.
    • Help manage the TLC budget & process invoices, related to TLC and student support services.
    • Support the development of internal websites and other media-related tasks to ensure ease of access to relevant materials and resources.
    • Order and keep a record of workshop materials for various Professional Learning Institutes (PLIs).
    • Assist with the preparation of accreditation documents and accreditation visits
    • Supporting the DTL in managing the Teaching Assistant’s PD funds.
    • Manage the information in the PL system

    Student Support Services

    • Liaise with external specialists and coordinate support services for students, ensuring that needs are met effectively and promptly.
    • Communicate with parents and specialists about student assessments, appointments, feedback, and follow-up actions.
    • Place the SSS KEN Orders in the ordering system as requested by HoSSS.
    • Maintain and update student records and internal databases related to student services (ie:
    • PowerSchool entry screens, Google Drive organization, spreadsheets, etc).
    • Work with the Admissions team to ensure smooth documentation and student record transfer for students receiving support services.
    • Coordinate logistics for SSS events such as parent coffees, vertical team meetings, and professional learning events.
    • Participate in SSS professional learning experiences and team collaborative meetings as relevant for the role.
    • Update the internal SSS websites as requested by the Head of SSS.
    • Handle sensitive student information with confidentiality, following privacy and data protection policies.

    Data

    • Collect, organize, and maintain data sets used to inform curriculum and program development across grade levels (such as MAP, Professional Learning data & Student Support Services data).
    • Prepare data summaries and visualizations that help teaching and learning teams evaluate curriculum initiatives.

    Other

    • Perform other duties as needed or assigned by the DTL or Head of Student Support Services

    Required Qualifications, Skills and Qualities:

    • Diploma in Business Administration.
    • Minimum of five years administrative experience in a busy office responsible to a senior manager.
    • Strong written and verbal English language skills; good written and verbal Kiswahili skills.
    • Proficient IT competencies in Google Docs, spreadsheets, sites, PowerPoint, Prezi, desktop publishing, database management systems, email, and file sharing.
    • Ability to process data and generate reports.
    • Media skills
    • Excellent and accurate keyboard skills.
    • Outstanding organizational and time-management skills
    • Outstanding interpersonal skills, in particular the ability to remain calm and positive at all times
    • when dealing with the public and with teachers
    • Self-motivated and able to work individually and collaboratively with others, working with limited supervision
    • Ability to take direction from multiple supervisors
    • Ability to manage a large and diverse workload under pressure.
    • Reliable and able to safeguard confidential information.
    • Demonstrates a professional and ethical approach to work.
    • Commitment to continuous personal growth.

    Preferred Qualifications, Skills and Qualities:

    • Bachelor Degree
    • Competency with Adobe Illustrator/Photoshop/Publisher.
    • Experience working in a multicultural environment
    • Typing speed of 50 wpm.
