    Assistant Manager, Facilities

    Job Description

    To support the planning, design, and efficient utilization of the Bank's Capital Buildings by providing architectural and space planning expertise, coordinating facilities management operations, and ensuring a safe, compliant, and well-maintained workplace.

    The role supports strategic space planning by assessing current and future accommodation requirements and preparing reports that inform decision-making on the Bank's expanding space needs. It also oversees routine and planned maintenance activities, liaises with landlords, regulatory authorities, and service providers, and ensures compliance with operational, health, safety, and fire safety standards. Additionally, the role drives workplace enhancement initiatives that improve the employee experience, promote employee engagement, and reinforce the Bank's brand identity across its facilities.

    Through effective stakeholder collaboration and project coordination, the position contributes to the successful delivery of architectural and facilities management projects while supporting business continuity and operational excellence. The role also identifies opportunities to optimize space utilization, improve workplace functionality, and enhance the overall quality and sustainability of the Bank's built environment.

    Roles & Responsibilities

    Key Responsibilities:

    • Architectural Planning & Design: Prepare architectural concepts, space plans, technical drawings, specifications and construction documentation that comply with Bank standards, statutory regulations and operational requirements for the Capital Buildings.
    • Support to the Lead Architect: Prepare space utilization and planning reports for the Space Committee (SPACECO) to support strategic decisions on accommodating the bank's growth and expanding operational needs.
    • Consultant Coordination: Coordinate architects, structural, civil, mechanical, electrical, ICT, security, fire and quantity surveying consultants to ensure integrated designs and timely project delivery.
    • Project Coordination: Support the planning, coordination, monitoring and execution of branch development, refurbishment, relocation, fit-out and maintenance projects within approved scope, programme, budget and quality standards.
    • Construction Supervision: Conduct site inspections, monitor workmanship, prepare snag lists and follow up corrective actions.
    • Commercial & Cost Support: Review BQs, valuations, payment applications, variation orders and cost appraisals, providing technical recommendations.
    • Quality Assurance: Verify completed works comply with approved drawings, specifications and statutory requirements.
    • Regulatory Compliance: Support compliance with OSHA, fire safety, environmental and internal governance requirements.
    • Facilities Technical Support: Prepare drawings and technical documentation to support Facilities Management works affecting the capital buildings.
    • MEP & Systems Coordination: Coordinate commissioning and verify HVAC, electrical, plumbing, fiber, CCTV, access control, alarms, fire systems and related services on capital buildings project.
    • Handover & DLP Management: Coordinate handovers and monitor Defects Liability Period obligations for capital buildings projects.
    • Department UORCCO Champion: Coordinate departmental UORCCO meetings & prepare meetings minutes.
    • Stakeholder Management: Maintain productive relationships with consultants, contractors, landlords, regulators and internal stakeholders. Collaborate with internal stakeholders, contractors, consultants, and service providers to ensure the timely and effective delivery of architectural and facilities management projects.
    • Reporting & Continuous Improvement: Support continuous improvement initiatives aimed at enhancing workplace functionality, employee satisfaction, and operational efficiency. Drive workplace enhancement initiatives within the Capital Buildings portfolio to strengthen employee experience and reinforce the bank's brand. This includes implementing projects such as the Wall of Fame, branded crockery, and other workplace branding and engagement initiatives.

    Job Specifications:

    Academic and Professional Qualifications:

    • Bachelor's Degree in Architecture, Building Science, Construction Management, Facilities Management, Civil Engineering, Building Economics, or a related Built Environment discipline from a recognized institution
    • Registered Architect or Graduate Architect with the Board of Registration of Architects and Quantity Surveyors (BORAQS) or equivalent professional body.
    • Membership in a relevant professional association such as: Architectural Association of Kenya (AAK), Institute of Construction Project Managers of Kenya (ICPMK), International Facility Management Association (IFMA).
    • Certification in Facilities Management, Project Management, or Occupational Health & Safety will be an added advantage.

    Work Experience:

    • Minimum of 4 to 6 years' relevant experience in architecture, facilities management, construction project management, workplace planning, or building operations within a corporate, institutional, commercial real estate, or banking environment.
