    Administration Assistant

    Job purpose:

    The post holder is responsible for executing administrative tasks and providing administrative support to staff and related projects in line with organisational policies and business processes.

    She/he ensures that the administrative systems are functioning effectively, efficiently and in a user-friendly manner in support of smooth implementation of the project office and its field staff

    Responsibilities:
    • Manage reception activities such as answering and directing calls, receiving visitors,
    • Oversee car parking requirement, and administering ad hoc requests from users;
    • Sorting and processing of incoming and outgoing post and receipt of goods and issuance of Goods Received Notes as required;
    • In cooperation with Finance Team, maintain an effective asset register process by creating and maintaining the office inventory and schedule the quarterly inventory and report      any losses;
    • Oversees and ensures proper maintenance and functioning of office equipment and furniture
    • Reviews accuracy of bills and ensures the bills are paid on time
    • Responsible for maintaining an accurate inventory of office supplies to include stationery and Consumables.
    • Responsible for all travel and accommodation arrangements for staff members and/or visitors·
    • Responsible for creating, managing maintaining appropriate and up to date filing system of the programs, motor vehicles, stock/inventory
    • Procure staff Identity Cards, and business card issues.
    • Schedules and support activities such as meetings, arranging travel logistics for local and overseas travel, conferences/workshops, venue and resources for such activities.
    • Take notes and prepares agendas, notices, minutes and resolutions for internal/external meetings, workshops, staff meetings and distribute to appropriate staff

    Knowledge:
    Essential

    • Bachelor degree in Business Administration, Public Administration or any other relevant discipline;
    • Excellent written and Oral English Language skills
    • Evidence of competence with IT and related software packages particularly Word and Excel

    Experience:
    • At least 3-5 years’ experience administrative experience; with a strong customer focus;
    • Experience of working in office or other work environment that involves managing logistics and reports;
    • Experience overseeing a corporate switchboard – keeping the data within it up to date;

    Admin/Program Assistant

    Job purpose:

    The Programme Assistant role is primarily to support the Programme Officers implement projects, as such the post holder will be expected to implement operational plans as approved by management; this will include liaising with external stakeholders and implementing partners, monitor implementation, and contribute to developing reports.
    In addition, the post holder may be required to carry out other programme activities as required.

    Job Objectives:

    Carry out specific tasks assigned by the supervisor. These to be determined by the scope of the contracts, indicatively these could include:

    • Coordinating and facilitating field work.
    • Provide logistics support to consultants and the staff in the field.
    • Gathering and collating data
    • Liaising with stakeholders in the field and provide administrative support

    • Sound knowledge of education policies, strategies and practice at both national and international levels
    • Experience of working and partnering with ministries, donor agencies and international NGOs and an understanding of sector wide approaches
    • Experience of designing, managing and providing support to Programmes, including capacity/institutional development, strategic planning and policy development, financial management, human resource management and organizational development.

    Field Officer

    Job purpose:

    The Field Officer is a key part of the GEC Transition Kenya –Wasichana Wetu Wafaulu (WWW project) with primary responsibility of implementing the project outputs in the community, households and girl level.
    The post holder will ensure that the components of the projects as designated to him/her are completed on time and within budget and that the project component(s) objectives are met.

    Job Objectives:

    • Participate in community conversations and household visits within the WWW Project implementing areas to strengthen the capacities of the local communities in ensuring there is increased enrolment, retention and transition of girls in schools,
    • Provide model and mentorship sessions for existing community groups in confronting stable livelihoods, peaceful co-existence and on support to issues pertaining education and behavior change among children within the project area.
    • Support and strengthen the capacity of CHVs, CFS and ToTs in addressing key challenges and issues impeding transition of girls, good health of the girls within the households and at school and also addressing retrogressive cultures that affect child rights ;
    • Continuously liaise with the head teachers and school management committee and community in the general successful implementation of WWW project;
    • Organize, participate and take lead in facilitating community fora to propagate the ideals of the Project, empowering the community and forging alliances for sustainability;
    • Develop feasible work plans and ensure speedy implementation of all partners’ components in relation to the girl’s improvement of learning outcomes within the operation area under the WWW project;
    • Conduct regular and routine checks in schools to assess girl friendly environment and advice the Regional coordinator on what needs to be addressed;
    • Conduct field related training activities targeting teachers, school management committees and community leaders on Gender, community health strategy and behavior change activities for the girl child;
    • In liaison with the Regional Coordinator and the Children’s Department at the county level facilitate referrals and handling of any child abuse cases.
    • Develop and review field reports, Community Conversation and Household visit tools and Referrals’ data; and ensure timely submission of these reports to the immediate and technical supervisor
    • Work and closely coordinate education field related activities such as galas with TSC/MOE other field officers and coaches;
    • Attend stakeholder forums and enhance partnership with GOK, CSO, PTA and head teachers by attending stakeholder forums and maintaining good working relationships within the program period;
    • Work closely with the schools to track girls being supported by the Project and the success of the beneficiaries of the Project.
    • Act as the link between the Project and the community;
    • Support the running of Child to Child clubs within the Project schools by training the Patrons and champions and ensuring the clubs are functional;
    • Support project schools in developing Gender Responsive School Development Plans.

    Instruction Coach

    Job Objectives:

    • To provide leadership in teacher coaching education activities and provide termly trainings for teachers on how to improve instructional approaches in literacy and numeracy;
    • Actively provide model and mentorship sessions with teacher coaches focusing on enhancement of learning outcomes for the early grader learners;
    • Train teachers on the preparation of effective teaching and learning aids for use in literacy and numeracy lessons, specifically related to the lesson plans and student books;
    • To actively provide model lessons for teachers, which adhere to the lesson plans and which enhance pupil learning and ensures that teachers operate with fidelity to the lesson plans;
    • Check on and assist teachers in areas of proper and effective use of schemes of work, lesson plans, effective and specific teaching aids, supplementary materials and student books;
